SPC Security Access • Individuals needing access to RAVEN SPC Inquiry are to complete the “RAVEN Access Request” • The new form, effective 4/19/06, includes the choices for RAVEN roles that were previously found on the eUMB Financials Roles form. • Form found at http://www.fincsvc.umaryland.edu/images/ravenaccess.pdf • Send forms to Christy Kopchinski in Financial Services

SPC Security Access • SPC Access does not require a HRMS role or a Financials role • Access can be granted based on Department, Award, or Project • You will see employees from other departments paid from your funding source • You will NOT see your employees if they are charged to other dept funding sources

  5. SPC Inquiry Views • On-line view • Provides summary totals in a cascading format • Can be downloaded to Excel

  6. SPC Inquiry Views • Download view • No totals- just data that can be easily imported into shadow systems or manipulated in Excel • Can be viewed on-line

  7. Data in SPC • Data is only from the HRMS module- JEs are not reflected in SPC • JEs can be manual transfers, check cancellations, overpayments, tax adjustments, etc. • JEs will be reflected in the payroll totals in the RAVEN Inquiry pages

  8. Data in SPC • Data was converted for the period 7/1/05 – 2/18/06 so inquires can be run back to pay period 06-01 • Encumbrances will eventually be there but they are not posted yet

  9. Data in SPC • Data is only updated every two weeks • Generally you’ll see it on the Tuesday after payday (same as now) • Reminder- PCD report in HRMS is updated every night for retro distributions so the two reports may be out of sync

  10. Pay Period Ranges • Reports can be run for: • One pay period • A range of pay periods during the fiscal year • A range of pay periods crossing fiscal years • An exact fiscal year (7/1-6/30)

  11. Pay Period Ranges • Year to date balances do not automatically appear on the report for the current pay period- you must run a separate report for the YTD balances • When running YTD inquires you should narrow your scope to one department or project since it takes a while to run

  12. Posted vs. Affected • Posted- the period that the charges are entered in the General Ledger • Affected- the period when the charges are incurred • The two are different for retroactive distributions only • Current charges: Affected = Posted • Retro charges: Affected < Posted

  13. Posted vs. Affected • RAVEN SPC can be run by Posted or Affected • HRMS Payroll Charges Detail (PCD) by pay period is Affected only • HRMS Payroll Charges Detail (PCD) by accounting period is Posted only

  14. Demos • RVSIT- names are scrambled for confidentiality purposes • Refer to handout for component details

  15. Demo • On-line view • Good source for quick informational needs • How much overtime by dept • What projects are C2s paid on • What percent of salary is State vs. Restricted funding

  16. Demo • Download view • Good for downloads to shadow systems • Good for custom sorting and summarizing in Excel for specific purposes
