AAL’s Web-enabled Student Information System MAIN WINDOW eSIS our student information system is a GUI (graphical user interface) program that looks and works exactly the same, no matter how you are connected. This Oracle-based product provides easy access through the system in a real time environment giving the user the power of working live across 2 years (current/next) and making transactions immediately available to all Users, across the organization, upon saving of the information. eSISprovides the tracking and processing of all current and historical data for an individual student, which can be accessed anytime for viewing or reporting.   3. AAL’s Web-enabled Student Information System STUDENT DEMOGRAPHICS Sample Demographic information tracked for an individual student is shown in this picture. Each student exists once in the database and upon registration for the first time in the District, a unique nine-digit student number is assigned. The student can only be registered at one school (home school), however through cross-enrollment they are shared with other schools, e.g. Summer School, Night School, another Day School, Magnet Schools, etc. The Administrative Assistants Ltd.

  4. AAL’s Web-enabled Student Information System STUDENT PROGRAM ASSIGNMENTS Student program assignments function provides schools with detailed tracking of individual student programs historically. A start and end date; school the program was taken at; exit reason; reference numbers and other pertinent information are tracked on each program the student is and has been involved in. Our Clients are using this function to track different types of programs e.g. ESOL, Free & Reduced Meals, Head Start, Regional Magnet, Teen Pregnancy, Hospital/Home Bound, Home Teaching, Title 1, 504 Plan, etc. The Administrative Assistants Ltd.

AAL’s Web-enabled Student Information System STUDENT WALK-IN SCHEDULING This function provides Counselors the ability to schedule individual students; check how the student is progressing towards his/her graduation requirements and immediate information on their transcript and grades. Courses in a student’s schedule can be added, dropped or transferred for current and next year’s selections. Courses displayed in blue denotes courses taken at other schools and green denotes multi-period courses (display following courses by double-clicking). eSISalso provides creation and follow-up of a student’s career path.   6. AAL’s Web-enabled Student Information System SCHOOL ATTENDANCE Attendance is taken in either Daily or Period format. The tracking of both sides of attendance (school and classroom) are achieved through multiple entry formats, e.g. Mass, Sign In/Sign Out, Classroom, Teams and Groups, Field Trips, Buses and School Closings. Student attendance is compiled historically, enabling different views and extensive exception reporting of individual student’s and classroom absences/tardies. Verification of registered students provides the school with correct enrollment head counts. The Administrative Assistants Ltd.

  7. AAL’s Web-enabled Student Information System REPORTING Reporting of data is an integral part of eSIS. There are over 200 canned reports which have very specific functionality, of which, 90% can also be used as templates. Easy extracting of specific criteria and sorting allows the User to quickly create a specialized report based on their needs. Users can do more complex reporting and extracting by selecting specific data fields and creating either an Export file or an Ad Hoc report. Users can also preview reports, before selection, by highlighting a report and clicking on the Sample Report button. The Administrative Assistants Ltd.

AAL’s Web-enabled Student Information System SCHOOL FUNCTIONS The source of all information for local, state and federal reporting originates from each school. eSIS security protects this information and maintains the confidentiality of all the school-based data. Some of the school functions handled by eSIS are: pre-scheduling preparation; school master & student scheduling; disciplinary & school safety tracking; staff duties and demographics; teams & groups and sports eligibility; school facility info; grading, ranking & GPA calculations; year-end transition; permanent record management; designing letters (mail merge function), etc. The Administrative Assistants Ltd.

  9. AAL’s Web-enabled Student Information System DISTRICT SET-UP eSIS can be configured in a single or multi-district scenario. In a multi-district environment, each district is fully secured allowing them access only to their own data. eSIS keeps consistency in updates by providing one product that can be configured individually by each district based on their local needs. Keeping the system functioning in this manner, provides current clients their choice of using or not using any new features. Security, external interfaces, student assessment tracking, curriculum standards, etc. are maintained by each District administration. The Administrative Assistants Ltd.

AAL’s Web-enabled Student Information System SPECIAL EDUCATION eSIS basic system includes Special Education Lite which provides the District with all tracking required for reporting to the State and Federal agencies for student funding. eSISalso has a full Special Education module that tracks the full due process of a student, including: Referrals, Service Providers and Service Records, IEP creation and re-evaluations, Parent Meetings, Screenings, Deployment of Staff, Process Management and all State and Federal printed reports and letters with correspondence tracking and all other Special Education Federal requirements.
