  1. User Office News UO temporarily moves Visas New Account Management System Parking regulations on the CERN sites Forgive us ACCU 8 December 2010 José Salicio – Physics Department – User Office

  2. User Office temporarily moves Today, 8 December the UO is moving from the current placement in B61 It will be temporarily located in B510 during the refurbishing works that will take place in the corridor between the cafeteria and the UO Beginning of March we will be back in B61 José Salicio – Physics Department – User Office

  3. Visas • Switzerland, having signed the Schengen Agreement had to adapt their rules to the Schengen rules. • Please visit the url: http://hoststates.web.cern.ch/hoststates/en/Welcome.htmlto find important information for your arrival and stay in the Geneva area and for the stay of your family while you are a member of the CERN personnel. • For matters concerning Visas, the following link contains a rather complete information: http://hoststates.web.cern.ch/hoststates/en/VisasAndResidence/Welcome.html • See also note published in CERN Bulletin issue 38-39/2010 of 20 September 2010, url: http://cdsweb.cern.ch/journal/CERNBulletin/2010/38/Official%20News/1291960?ln=enIt instructs on how visas for France and/or Switzerland can be obtained for current and future members of the CERN personnel. José Salicio – Physics Department – User Office

  4. New Account Management System • New Account Management System may have a undesirable impact in the automatic delivery of e-mails from the UO. Remember to UO has an automatic system to warn Users on a variety of contract issues like early warning on expiration of contract, expiration of residence permits and others. • If a new User ignores the content of the Flyer in the url: https://account.cern.ch/account/Help/Contents/Files/NewComerFlyer.pdf and decides to keep his/her home institute e-mail account without taking any action, they will not receive any official communication from CERN services. • Legal service and IT security agreed to our proposal of giving a two months grace period to accounts assigned to expired contracts of Users. Michael and I convinced them that the 1 month issue should be discussed in ACCU. José Salicio – Physics Department – User Office

  5. Parking regulations on the CERN sites Now that the Xmas period is close this is a reminder of the Parking regulations at CERN • Vehicles can not be left on a CERN parking for longer that 5 consecutive working days • Users could benefit of longer parking periods in a special car parking near B588. They must apply to the Reception and Access Control Service completing a “Request for a long-term parking permit” form. • Parking places in crowded areas must not be occupied by abandoned vehicles. GS Department has published a note with details in the CERN Bulletin issue 42-43/2010 of 18 October 2010. It can be found in the following url: http://cdsweb.cern.ch/journal/CERNBulletin/2010/42/General Information/1300234?ln=en The following is a short summary of the note José Salicio – Physics Department – User Office

  6. Forgive us • You all have passed by the UO and know that the personnel is young, kind and efficient. • However the work load is big and the resources are low. We handle more than 5000 long term contract renewals/year (25 renewals/Day), some 2000 short-term contracts/year (10 contracts/day), checking circumstances and legality of contract, and many other things like insurance and adequacy of salary or subsistence in the Geneva area. • Currently only 4 staff and some learning TL are handling registration, verification of data, contract and cards delivery. • It is clear that human resources are low and insufficient for all the tasks assigned to the UO. • I seek for your help to find a solution to this lack of resources José Salicio – Physics Department – User Office
