  6. InitialSetup The initial setup of the system could not be any simpler. This section governs the overall settings within the system and facilitates more detailed reporting.   9. Patterns Where rules are applied to determine how basic hours and overtime are calculated for each employee or a group of employees. The 2 areas highlighted are : • Schedules. • Groups.

  10. Schedules - Overview • A schedule defines the rules that are applied to an employees clocking for each day of the week. • Two types of schedules are available : • Standard. • Flexi. • Up to999schedules can be allocated. • Up to6 working rates can be assigned.

  13. A Group defines which schedule(s) an employee is assigned to. Up to 54schedules can be assigned to any one Group. Up to 3 group types are available: Auto Select. Rotating. Flexi. Weekly Overtime Setup. Pay Period type setup : Weekly. Bi-Weekly. Monthly. Yearly. Maximum Credit and Debit setup where Flexitime applies. Groups - Overview

  14. This Group type applies to most cases. The latest Start Time of the shift comes into play and allows the system to decide automatically which schedule should be used depending on the clocking provided by the employee. Groups – Auto Select

  15. This Group type applies when true Continental / Rotating shift system is in operation. Groups – Rotating

  16. This Group type only applies if a Flexi schedule(s) have been set up. The screen displayed allows you to specify the Maximum credit and debit allowed within your company rules. The Maximum Credit/Debit value will determine the balance carried from one period to the next. Groups – Flexi

  18. Further information about employees are kept and maintained in this section. The details are gathered within several pages and include the following : Holiday type and Entitlements. Address and contact details. Working Time Directive rules applied. User defined notebooke.g. Training History, Warnings etc. Authorised Options available from the clock terminal. e.g. Holiday Enquiry, Hours Worked and Flexi Balance. Employee Details – Personnel

  19. The Calendar can be viewed or printed, in either text or graphical format. It shows at a glance the following information : Absences Booked e.g. Holidays. Authorised Absences taken and type. Non Authorised Absences taken and type. Lateness history and other infringements. Sickness history. Annual Calendar

Data Correction • TA-PRO has a unique feature of sourcing Anomalies and presenting them in a simple and clear format ready for processing. • Only non authorised absences and clocking errors are displayed. • Once qualified, editing anomalies could not be any simpler or faster. • Once the correction is made the database is automatically updated.

Standard Reports - Overview • TA-PRO boasts an extensive list of reports, already set-up for immediate use. • These reports provide a powerful management tool as a valuable source of information. • Historical data relating to attendance records and personnel information can be accessed at a push of a button. • Such data can be viewed, printed or exported into another application.

  22. Employee Listing : Displays a list of employees along with their department, work pattern, badge number and code. Onsite : Displays a list of employees currently onsite. Offsite : Displays a list of employees currently offsite. Times and Clockings : Displays the clockings and total and standard and overtime hours worked over any period specified. Flexi Balance : Displays the Flexi balance for the current period where flexitime applies. TOIL : Displays the total of time off in Lieu hours for each employee assigned to flexi. Absence Analysis : Displays absence details including authorised and non authorised over any period specified. Anomalies Analysis : Displays details of clocking anomalies including lateness and core time violations where flexitime applies. Personnel Resources : Displays the manning level required by the company or particular department over any period specified. Personnel Details : Displays reports within the personnel module.
