  1. Library Moves Moving the Todd to the Mulva

  2. In the Beginning… There was Norb from Miron installing the sign as the old Campus Ministry house is demolished on the Miriam B. & James J. Mulva Library site.

  3. How did we do it? • Planning – Long & Short Term • Communication – meetings, web page, emails • Preparation for the physical move • Hire a moving company that specializes in libraries !!!! • Be prepared to get dirty and sweaty!

  4. Plan! Plan! Plan! Planning is the most important step in moving a collection.

  5. TO HIRE or NOT TO HIRE • Will you do it yourself or with professional movers? • If you decide to go with movers, do an RFP. Do NOT reinvent the wheel!

  6. Not All Movers are the Same • Remember that movers are there to make money and may not always live up to their promises. • Make sure that you and your movers are speaking the same “lingo” in measuring, shelves, collections, etc.

  7. What about the Collection? Hints, tips, techniques…

  8. Do a walkthrough of your collection and make sure you get every, single, location. Now is the time to consolidate if you can. • Measure, measure, and measure again. Be sure you know what your growth rate is and how much shelving you will really have. • Put it on paper. Connect the current location to the new location. Have someone check your calculations. • Know your directions! Are you going serpentine or across the aisles. Where are you starting and stopping?

  9. Public Services • What services will you provide during the move? • IF you will cut down on services, which ones and for how long? • Problems/Issues we faced.

  10. Technical Services • Switching titles from Technical Services to Collection Management • Cataloging • Ordering/Processing Materials • Serials – will you purge? • What will you do about locations?

  11. Technology Issues • Not everything will be ready on time. • Will you need to move a little at a time? • Some problems will take a while to fix, prepare for the unexpected. • You may need to live in the building to find problem areas or equipment. • What about equipment? Are you bringing some old equipment and/or adding new? • Who will be responsible for what? • Adopt a “Fly by the seat of your pants” mentality.

  12. Lessons We Learned

Double & Triple check your numbers. • Make sure the moving company knows only one person should be the contact on the decision making. • Be sure to meet with the ACTUAL movers themselves and stress what is important to you in the move. • Make sure that you and the movers know what the fill rate looks like. Eyeball it AND measure it. • Always have a Plan B. (and C and D!)
