  2. Scenario Since presenting your first proposal to the MD and other members of the board you have been asked to work with Sales and Marketing department to meet their IT needs. Both the sales manager and the marketing manager are relatives of the owner and are unfamiliar with the power of IT. Marketing is still carried out by leaflet drops and adverts in the paper, while sales staff travel long distances, knocking on doors to drum up business. You need to produce a proposal for an IT enabled improvement to a business system.

  3. Assessment Criteria • P1 – Produce a Proposal for an IT enabled improvement to a business system • M3 – Demonstrate originality in proposing the IT enabled improvement • D2 – Fully justify proposals for an IT enabled improvement

How to Tackle This Assignment • Throughout this assignment you have been given opportunities to carry out research , engage in activities and have understanding of the impact of use of IT and benefits of the business in using it • You will put all this knowledge to make a proposal to help the company’s sales and marketing departments work more efficiently and to a larger global market

  5. Other Tips • The proposal that you present should be fit for purpose but may be the simplest and most obvious solution • The proposal should be sufficiently detailed to show how the improvement would fit in the existing system

Merit Help • To gain a merit you need to present your proposal innovatively and creatively • It must be original so don’t be tempted to copy someone else’s idea although the technology you use may be the same • Consider the range of people in full of beans and their skill levels • You may decide to do an interactive proposal or use multimedia

Distinction Help • You should include details of cost , inputs, effects on staff and other knock on effects • It might help when you justify your proposal and solution that you provide case studies and anecdotes from other sources • You should find these on software websites where they company will provide examples of how a system has helped similar organisations

Recent Developments • Improvements in technology and also new choice of applications • Mobile phone technology and improved ways for workforce to communicate with the office when away from hole or on the road e.g. records, staff, office • Improved wireless technologies so that communication can be from everywhere i.e. train carriages, hotels, wifi hot spots, dongles • Journey planners, restaurants and hotels can be booked online • More sophisticated operating systems and not needing programming knowledge to access programs

IT Improvements • Off the shelf applications that can improve business systems • Integrated systems such as Customer Relations and Management Information System • These store information that would have been done on paper • Databases are simpler to use and its easier to make graphs and forms • Organisations can increase size of network and have a range of communication methods to help communicate with workers on the move • Businesses can have a web presence to gain a wider market and improve communications with their customers • Businesses can produce management reports • All business transactions are logged and expenditure, income and cash flow reports and graphs can be simply produced

Business Systems • CRM Management systems-Travelling Salesmen can be better informed by using CRM management systems. • It provides data on recent and past purchases, prices paid and discounts given • If the salesmen is an expert on that customer then the company will feel valued because the salesman is so knowledgeable • Supply management systems – a system can check how reliable suppliers have been and cost effective • This means a company can see at a glance who their most reliable and cost effective suppliers are

  11. Business Systems Continued • Management Systems - Project management software can manage a product or change in systems from planning to end of project. It shows deadlines, calculates costs, identifies risks and contingencies, • Service Delivery Systems – These help businesses deliver a service. They would show how communication technologies could deliver a service and ways to measure service performance

  12. Other Systems • People systems - looks after all personnel details and produces staff reports • Stock control system – this monitor stock levels and control of stock movement and ordering. More sophisticated versions analyse demand and wastage • Finance systems look after income expenditure and possibly wages
