  1. SUPPLIER NEWSLETTER 2012 DATE: AUGUST HEADLINES Builders Profile Supplier Non-Conformances Face Fit Testing Subcontractor Orders SUPPLIER NON-CONFORMANCES We are now monitoring and analysing non-conformances arising from our H&S inspections which relate to our supply chain. As part of our continuous improvement we are trying to provide our supply chain with feedback and assistance on areas which require improving or better performance. This information is sent out separately, by email, to the supply chain in graphical format and we hope that you find this information of value. If you require any further details, or are not receiving the email, please feel free to contact Carmen Condliffe. BUILDERS PROFILE In order to simplify our Pre-Qualification process, we are planning on moving to exclusively utilising Builders Profile which is an online database service which enables suppliers to upload Pre-Qualification data against specific Main Contractors questionnaires rather than sending in lots of paperwork and emails. The service also allows suppliers to pay a fee to have their information made available for all Main Contractors who have access to the system. We are planning to go live on the new system in early October and from this point we will only accept new suppliers through this system. Existing suppliers will be contacted in due course and asked to Pre-Qualify for us again using Builders Profile, however we will allow them sufficient time to complete this. We will also be using this service to assist us with undertaking our annual health checks on the supply chain and this will include but not be limited to: Up to date Insurances Signed H&S Policy Statement Training Matrix For more information about Builders Profile, please contact Carmen Condliffe or Jenny Whittingham in the Procurement Department or visit their website: www.buildersprofile.co.uk. TRAINING & COMPETENCIES We would like to take this opportunity to remind our Supply Chain of the importance of ensuring that all operatives, including subcontractors, can prove their competency and provide copies of training certificates when working on S&W projects. As you are all aware, S&W insist on all operatives, working on our projects, have the relevant Ukata Asbestos Awareness training and it is current. SUBCONTRACTOR ORDERS We would like to remind you the importance of ensuring that you have a subcontract order in place prior to you carrying out any works on a S&W project. The risks associated with working without an order in place are high. H&S and compliance with legislation is of paramount importance. Also you are at risk of not being paid if you have not signed and returned your subcontract order.
  2. Procurement BRAG RATINGS – League Tables SUPPLIER AUDITS We have been conducting Supplier Audits over the last couple of months and are in the process of compiling the audit schedule for Quarter 4 of 2012. The audits provide us with opportunity to build on our already good relationships and encourage communication, feedback and sharing best practice. We are actively monitoring the performance of our supply chain via our RAGB rating process. This is an opportunity for Procurement to identify suppliers that perform consistently well, or identify those with issues so we can deal with the issues and offer assistance to resolve. If red/amber ratings are submitted without a comment, a member of procurement will ask for a comment to be made. If one isn’t made after 2 weeks, the rating will revert back to green and site lose their chance to make a comment. These ratings are communicated to our supply chain on a weekly basis and can be discussed with the Account Principal if any comments/ratings are disagreed with. FACE FIT TESTING All RPE worn to protect an operative from dust should be face fit tested to the individual. Face fit testing also includes training how to wear the mask properly. They only need to have the qualitative test (taste test) completed whereby they wear a mask under a hood and a bitter spray is added, if they can taste the spray then a mask doesn’t fit. Several PPE suppliers such as Arco will conduct free testing if the subcontractor purchases sufficient masks following the testing. Following the training and testing each person is issued a certificate showing which type of mask fits their face and confirms that they have been trained to wear it correctly. A Safety Alert will be issued to our Supply Chain shortly with additional information and outlining the importance of getting the face fit testing carried out. As of 2013, S&W will be monitoring and carrying out checks on the RPE worn by the site teams on our projects. SITE DISICPLINARY/ RECOGNITION CARDS S&W Wins Award There has been an increase in the number of Yellow & Red cards issued within the last 2 months. Most of the reasons are related to performance on site whether it be H&S, Quality of Work or lack of resource. Examples are: Incorrect use of handtools Working without permits Working at Height However, we are pleased to report that there has also been an increase in the number of Platinum Cards issued – keep up the good work! S&W were presented an award by UKOS, our Stationery Supplier, at their recent sustainability event for purchasing a high percentage of products that have an ‘environmental benefit’ (this includes everything from recycled materials, to ethically sourced goods). Overall we came second, with a total of 41% of all our items ordered having an environmental benefit. Jefco came first with 64%.
