  1. FINAL MEETING AGENDA QUÉBEC 2013

  2. THE MORNING OF DEPARTURE • ALL STUDENTS SHOULD BE AT SCHOOL BY 5:30 A.M. FOR A 6:00 DEPARTURE • ALL STUDENTS SHOULD CHECK WHO IS THEIR CHAPERONE AND CHECK IN WITH THAT PERSON WHEN THEY GET TO SCHOOL • EVERYONE SHOULD HAVE HAD BREAKFAST OR SHOULD HAVE SOMETHING WITH HIM/HER FOR THE BUS RIDE • ALL STUDENTS SHOULD BE SURE TO USE THE RESTROOMS JUST BEFORE LEAVING TO AVOID MAKING THE RIDE UNPLEASANT • STOPS WILL BE MADE ALONG THE WAY BUT THE FIRST WILL ONLY BE WHEN WE ARE OUTSIDE OF THE GREATER NEW YORK AREA (similar to Frost Valley) • THERE IS A DVD PLAYER ON THE BUS SO PLEASE BRING SOMETHING TO WATCH. IT MUST BE APPROPRIATE FOR M.S.

  3. Bonjour Gilles! • The weather is fantastic and I just hope mother nature sticks to the plan : ) • All our guides are experienced and responsible, and can definitely deal with anything that may come up during the trip. If any situation arises during the time that the group is in Montreal, we can always adjust things around on site to make sure the group gets where they need to go safely and in a well-organized way. • Please also reassure parents by letting them know that Prometour is not only a phone call away, but that we are in the same city. You are all in good hands! • Once I have the tour guide’s information as well as the bus driver contact information I will send it over….  • Bella Colgan & Maria Konstas  |  Tour Project Managers • PROMÉTOUR • 339, rue St-Paul Est, Montréal I Québec I H2Y 1H3 • Tel  1-800-304-9446 |  Tel  514.848.7292 ext. 234  |  Fax  514.848.0284 • www.prometour.com •  Hotel Information: • Montreal – Holiday Inn Midtown 420 SherbrookeWest 514-842-6111 www.rosdevhotels.com • Quebec City – Best Western 330 Rue De La Couronne 418-649-1919 www.bestwestern.qc.ca/hotelquebec/main.html

  4. PHONES AND TECHNOLOGY • International calling • Calling plans that include Canada • Credit or debit cards that can be used to make calls • Calling cards that are accepted in Canada • Students are allowed any & all electronics but must know they are responsible for them • Night time protocol: It is important that all students get their rest!! • All phones and electronic devices will be collected and secured until the next morning • Phones will be charged at night in chaperones’ rooms, and of course returned to them in the morning

  5. IDENTIFICATION • If your child has a passport they do NOT need any other form of identification • If they do NOT have a passport they will need: • Their original (or notarized copy of) their birth certificate • Their school photo id card from school portraits taken earlier in the year • All identification must stay with students until we cross Canadian customs • Once we are cleared I collect all passports and forms of id and keep them with me throughout the trip • Please make extra copies for yourself and if you can make one for me that would be great

  6. THE BUS • Food and snacks are permitted but please be mindful of cleanliness • Following breakfast there will be stops for a meal and b/r breaks • Everyone must take pride in keeping the bus clean and clear of garbage and clutter • There will be garbage bags placed along the aisle • There will be “barf” bags so make sure to use them if necessary • It is a coach bus, equipped with all the amenities…BUT… • Ventilation is only as good as the space provided for the lavatory • Students are encouraged to use the restroom as often as possible before we leave • There are “pit stops” along the way so we encourage all students to consider that

  7. INCIDENTALS • MONEY • Please be sure to include the $20.00 cash for standard tipping of bus driver and tour director • Cash or credit/debit cards for spending – amounts vary according to families • Secured credit card with a specific amount allows for protection • Be sure that it can be used in Canada • Most banks offer it but there have been times when children have been prevented from using their card • MEDICATION • Be sure to have all medication in original bottles • Advise the chaperones of anything specific about your situation • Nothing will be given to a student unless there is prior consent (Tylenol, Advil, etc.) • Please see attached documents regarding emergency insurance and procedures • SCHOOL • Please be sure to attend school on the Monday following our trip • Teachers and the school district are gracious enough to allow this trip so please respect the dates scheduled • SKATING NIGHT • Everyone has a great time at the rink – even those who have nothing so before – so it’s really important to pack a pair of long “tube” socks to protect your ankles and legs from blisters • SPORTS AND ATHLETICS • Coaches are aware and should not penalize an athlete for missing practice or a game. Please notify me should that happen
