  3. Logistics • Forms a critical part in the success of the survey esp. data quality • It consumes a large part of the survey budget • Need to be planned and procured in advance

  4. Logistics • Prepare a detailed list of supplies and logistics items you will need • Be “reasonably generous” in calculating survey supplies • Know what you can procure locally and abroad • Be sure to have the items available before the survey implementation starts

Office Equipment and Supplies • Office and supplies • Computers • Printers • Software (MS Office, CSPro, CSPro Mobile, SPSS) • Network (data entry in case paper questionnaires are administered) • Internet • Data projector (?) • Other office supplies (Stationery) • MS Office or compatible software

CSPro • Census and Survey Processing System • Includes options for developing CAPI applications • CSPro Mobile: for applications running on the Tablet/PDA • www.cspro.org • Free download (registration required) • Data entry program templates will be provided by UNICEF HQ • Technical support will be available • Regional Office and consultants • HQ reviews

  7. SPSS • Required for tabulations and other analysis • www.spss.com • Costly • HQ to buy and supply limited copies to countries • Same version and modules should be used to ensure compatibility • HQ will provide template tabulation and other programs

  8. Printing documents • Questionnaires : Number of each questionnaire type needed at each stage of the survey • Manuals and forms • Tablet/PDA

Fieldwork Equipment • Electronic scales • Measuring boards • Salt test kits • GPS • Tablets/PDAs with additional accessories • (if used for data collection) • Other fieldwork supplies • Bags, hats, t-shirts, • First aid kits, torches Need to be ordered long in advance following MICS specifications

Transportation • Depending on countries and location, transportation means could be cars, buses, moto…. • Cars usually provided by GOV, stakeholders or rented (with drivers) • Should accommodate a team of minimum 8 persons + equipment • Should be made available for listing activities and after for fieldwork (between 3 to 6 months) • Need to make funds available in budget for fuel, maintenance, insurance • Usually 1 car/team + 2 - 3 for supervision

  11. Lodging and food • Most often in local communities (schools, health centers,..) • Responsibility of field supervisor • Provide additional DSA to team if need to pay for lodging • Provide basic equipment for cooking and eventually for sleeping

  12. Fieldwork documents • Make a list of all documents needed at each stage of the survey • Provide enough to each to team and/or plan refill during supervision missions

  13. Security • Can have a huge impact on data quality, response rate and on timing • Check security conditions (environmental, political, criminal) before sending team • In “at risk” communities, use local guides designated by leaders to accompany interviewers (avoid using police/militaries) • Be more careful when using tablets especially in urban settings and at night • Keep team informed all the time should new events happen • If cluster/region is at risk, ask team to change itinerary, reschedule or even give up

Fieldwork schedule • For each team, elaborate a fieldwork schedule as precise as possible with: - list of all the clusters to visit - best and safer itinerary - distance between clusters and time to reach - dates and number of days in each cluster - list of contacts ALWAYS know where the teams are

  15. Preparing for fieldwork Field supervisors: • Obtain all monetary advances, supplies, and equipment • Careful preparation by the supervisor is important for • facilitating the work of the team in the field • for maintaining interviewer morale • for ensuring contact with the central office

  16. Listing - Documents • Listing manual • Maps of sampled clusters/ EAs • Forms • Map information form • Map spotting • Household Listing Forms • ID cards • Letter of introduction (from implementing agency)

  17. Listing – Supplies • Markers or chalks • Stickers (if markers will be used) • GPS • Pens (blue, red etc) • Pencil - Mapper • Envelopes • Bags, paper clips, staplers etc • Clip boards

  19. Fieldwork: Documents • All staff’s Assignment and control Sheets • Complete list of current national immunization schedule • List of antibiotics (and/or antimalaria) used in country

  20. Fieldwork: Supplies • Anthropometric instruments - Weighing (SECA) scales - Measuring boards • Vitamin A Capsules • Salt test kits (only for countries that will conduct salt testing) • First aid kits • Spare batteries • If tablets, all equipment needed to keep in charge

Fieldwork: Supplies • Blue ink for interviewers • Red ink for the field editor and supervisor • Clipboards, briefcases (bags) • Paper clips, scissors, string, staplers, tape, torches, etc. • Envelopes to store completed questionnaires, • Rain coats (if raining season), cooking and sleeping equipment

Logistics during fieldwork: Preparation Field supervisors: • Study sample HH lists and/or maps for each area in which his/her team will be working and discuss problems • Become or be familiar with the area of work • Contact local authorities to inform them about the survey and introduce the team • Determine travel arrangements and accommodations when arriving in cluster

Logistics during fieldwork: Organization Field supervisors: • Assign work to interviewers • Maintain fieldwork control sheets • Make sure that assignments are carried out • Make spot checks of the household questionnaire • (with the field editor) • Regularly send completed questionnaires and progress reports to the field coordinator

  24. Logistic during fieldwork: Organization Field supervisors: • Keep headquarters informed of the team's location • Communicate any problems to the field coordinator • Take charge of the team vehicle • Be sure to develop a positive team spirit along with careful planning of field activities

Logistic during fieldwork: Forwarding questionnaires back to central office • Include all individual questionnaires into the household questionnaires • Check household questionnaires for the number of eligible women, children and men, and their corresponding line numbers and verify against individual questionnaires (and control form) • For incomplete interviews, include blank questionnaires with only the identification information and the result code

Logistic during fieldwork: Forwarding questionnaires back to central office • Proper instruction to be developed and implemented for transportation of completed questionnaires to avoid their loss • Packaging and protection of questionnaires cluster by cluster • Include all related forms (assignment and control sheets, maps, household listing…) • Ensure regular transport
