EDUCATION SECTOR IN INDIA • Post Independence in the last 65 odd years the education levels have moved from 12% to 74%. • Compared to the world average of 84% we still have some length to go before we are at par with the best. • It is a sector to which government allocates the highest spends, 20% of the total budget. • Expected growth rate of the sector for the coming decade is slated at 14~15%, CAGR which atleast twice the rate of growth of GDP. • Over all spends on education in India are around 60 Bn USD and will grow further at a rapid pace. • It still churns out the largest talent pool of professionals in form of engineers, doctors and other related fields. • India is going to turn out to be the next global knowledge center! DEPLOYMENT ARCHITECTURE – LOCAL, SINGLE INSTITUTION EDUCATION MANAGEMENT SYSTEM The ERP is loaded onto the local server and is accessed through terminals and tablets within and outside the premises of the institution, with requisite authorization. Management Parents The managment and staff accesses their modules from local server while in institution, and through the web interface while away from the institution. The parents access their module through a web interface, while students access it through local server when in institution and through web interface when away. More security and application is available anywhere across the globe with necessary authentications.   6. GOVERNING MODULES ADMIN This is the module where in the management creates all the masters and sets up the nature of transactions to be handled by everyone. This is the only module where the management / requisite authority can change details or de construct / re construct the entire institution(s) or a part of it virtually. EDUCATION MANAGEMENT SYSTEM The module that is accessed by the staff. For teaching staff, they will be able to assign work to students, check assignments, manage attendance; for non teaching staff they’ll be able to assign tasks or update the status of various tasks assigned. They can also manage their leaves, view their payroll and other details. STAFF STUDENTS This is the module that is accessed by students. They can view their profile, assignments, tests, performance, activities, notices and memos by anyone from the staff with requisite authority or from the Management. They can also communicate with other students through emails using this module. PARENTS This module is accessed by parents, using their credentials. They can view the performance/ attendance / activities / events of their child, communicate with the teachers and management regarding their concerns. REPORTING Basis the rights given to various stakeholders, they can view standard MISes or can customize and obtain MISes fulfilling their requirement. ADMIN MODULE – INSTITUTE SET UP EDUCATION MANAGEMENT SYSTEM • The administrator sets up the educational institution (s). • Input the details of the institution in terms of Name, Address, contact co ordinates and other relevant details. • In case of multiple institutions – add branches or institutions and create those too. • Also input the details government identifications like PAN number and any other legal details. • Create the board of trustees of the school. • Capture details like the day of start of the yearly session, name of the Principal and other related details. • Importantly, various departments, classes, sections, subjects, can be created that will be run out of the institution(s). • The list of holidays can be set for a year / session. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – DASHBOARD EDUCATION MANAGEMENT SYSTEM • As a promoter / CEO / person responsible for running the institution like a Strategic Business Unit, we are all concerned with key indicators that will give a birds eye view of the entire institution. • The CXO can choose the parameters that need to be displayed on the dashboard. • For a given parameter, the CXO can decide if a combined snapshot of all institutions is required, or a single institute or a part of an institute. • For a given parameter, the CXO can decide the time frame for which the snapshot is required. • The information can be available on the dashboard either in a tabular format or in graphical format, depending on choice of the CXO. • For the chosen parameters, alarms can also be displayed on the dashboard it performance deviates extremely from the expected. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – STAFF SET UP EDUCATION MANAGEMENT SYSTEM • Any new joinee in the staff, teaching or non teaching is onboarded using the STAFF SET UP Module • All relevant details like Demographics / education / Previous Experience / designation / banding / responsibility etc are captured here. • The member is also allocated to the department /section using this module. • Details of the supervisor – reporting and reviewing are inputted here. • Details of the sub ordinates are also inputted here. • Scanned images of the all the relevant documents of the new joinee are captured, chronicled and archived for future usage. • Allows the supervisor, reporting and reviewing, to approve of goals and do appraisals, promote the staff in terms of banding, designation et al. • A search box allows requisite authority to search and see the profile of various staff members. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – FEE MANAGEMENT EDUCATION MANAGEMENT SYSTEM • This module allows various kinds of fees to be defined . • It allows for the fees to be associated with the respective sections, classes. • Fees created, can be either mandatory in nature or optional. • Optional fees are created either for extra curricular or for electives that can subsequently linked with various sections and classes. • Dates / intervals at which the communication should go for the fees to students and parents can also be set . • Reminders can be generated and sent in case of non or part payment of fees. • Penalties for non payment can also be defined and reminders for the same can be sent to the students and parents. • Option to waive off Fees, completely or partially, in case of exceptions in form of scholarships / economically backward /physically handicapped and other reasons. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – AUTHORIZATION MATRIX EDUCATION MANAGEMENT SYSTEM • Having defined the structure and the staff, the next most crucial part is giving rights to use and operate the ERP to various stakeholders in the benefit of the institution(s). • This module allows the super admin to define the approval matrix for various workflows like leaves, purchase of any asset, issuance of any asset, in short any item that incurs expenditure of requires an approval from the seniors. • Using this module, the super admin can also define what modules will be accessed by various stakeholders. • Within the modules that various stake holders can access, the extent to which they can access the information , and only view or edit it completely or partially is also done through this module. • These rights and approval matrices can also be edited, annulled and re created as and when required by the institution. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – EXAMS MANAGEMENT EDUCATION MANAGEMENT SYSTEM • In this module the master of exams of various subjects can be created. • The exams can then be allocated to various classes, sections, sessions and terms. • A schedule of exams with date, time, venue, class number can be prepared, across sessions and terms. • On submission of the schedule by the super admin, it will get reflected to the staff members, students, parents for their classes. • In the higher version, exams can also be conducted online, using objective and subjective questions. • Allocation of the test papers for classes / sections / subjects can be done to the teaching staff with number of test papers to be assessed and timelines for the same. • It allows a result template to be created that will be sent to all the stakeholders on completion of the assessment of the test papers of the exams held. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – TIME TABLE EDUCATION MANAGEMENT SYSTEM • In this module, the entire time table can be created for various classes, sections of institution(s). • Time table created can be assigned teaching staff. • The inset logic ensures that there is no overlap for any teaching staff or timetable doesn’t get created for the days taken as holidays for the year. • On the timetable is submitted it reflects in the personalised pages of the students and staff. • There is provision for proxy in case any teacher is on leave. • The allocation of the teaching staff happens basis their skill sets, subject specialisation and capability to ensure a best fit time table. • The length of various periods /number of breaks / length of breaks can be set. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – ACCOUNTS EDUCATION MANAGEMENT SYSTEM • This module is the most important module for any institution as it includes capturing of every single financial transaction of institution(s). • For every entity of the institution(s), a ledger can be created. • Various income / expense heads can be created and can be associated with the BL and P&L. • For the purpose of account, various vouchers, receipts can be generated against ledgers and can be accounted under various expense/income heads. • Generated BL and P&L statements for stipulated periods, make provisions for previous expenditure done, but not paid for and income generated but not yet received. • It is a holistic module that allows an institution to keep a tab on all financial transactions. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – EVENTS & ACTIVITIES EDUCATION MANAGEMENT SYSTEM • This module allows the admin to create various events, planned and unplanned and proliferate the same to all the requisite stake holders. • Similarly, activities like sports / arts / crafts can be planned with an entire schedule and timetable for it and can be disseminated to all the stake holders who are required to be informed about it. • There is also a provision to publish an event and activities calendar for the regular activities while ad hoc can be added to it. • Responsibilities for an event / activities can be assigned across staff / students as individuals / groups and reminders for the same can be sent. • An event / activity newsletter can be created with photographs and can be disseminated to all the required stakeholders within and outside the institution(s). n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – TRANSPORT MANAGEMENT EDUCATION MANAGEMENT SYSTEM • This module is used to manage the transport facilities of students in the institution(s). • With this module the admin can configure transport vehicles, details of the contractor in case the transport is outsourced. • Routes can be configured for each of the vehicles, and number of seats for each of the transport vehicle can also be configured. • Reminders for road tax / service of the vehicle / PUC can be set. • If required we can also provide the institution(s) with our customized high end vehicle tracking & control system which can be used to track and control various parameters in the vehicle. • Various alarms and information can be disseminated to students, staff and parents using the Vehicle tracking & Control system that will help all the stake holders keep a tab over the vehicle during itinerary. • We can offer audio, images of what’s happening in the vehicle and more. n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE – HOSTEL MANAGEMENT • In case of institution with residential facility, hostels can be created using this module. • The governing council can be created for the hostel using this module. • Within the hostel, rooms per hostel and number of occupants per room can be configured. • Items like beds, chairs and other consumables can be assigned to students living in the hostel using this module. • Students can be allocated rooms, and at any given point of time vacancies available in the hostel are available, for registration of a transfer case or a mid term joinee. • This can be coupled with attendance / entry access / entry exit timings using biometric device to keep a check on student activity within the hostel. • Student out entries can be done in case of known overnight stay outside the hostel premise. ADMIN MODULE – ASSET MANAGEMENT • All assets of institution(s) can be acquired and liquidated using this module. • All the assets can be indented and purchase orders can be raised to enlisted vendors directly. • Any incoming asset can be bar coded to ensure it’s traceability through out it’s lifecycle. • The module has a bar code generator for non bar coded assets, new and old both. • Assets received can be registered against the indent number and PO number to ensure successful closure of the transaction. • Photographs of all assets can be stored, chronicled and archived for future usage. • Details of all assets like warranty, cost, AMC/service details and more can be configured against each of the asset. • Assets can be sold using this module to enlisted vendors. • Various assets can be searched for using an advanced search box. ADMIN MODULE – INVENTORY MANAGEMENT • Using this module various assets can be allocated to different departments / class rooms / branches of an institution / individuals. • While allocation of the inventory, details like date of return, purpose of usage, perishable / non perishable item and other specifics can be captured. • Reminders for Inventory items not returned by due date can be sent to the relevant staff members using sms and emails. • Indents generated by various entities for inventory reflect in the queue till closure. • Minimum required level for any inventory item can be configured and on reaching the minimum level, automated reminders to purchasing authority can be sent for replenishment. • Various items can be searched using an advanced search box and the available quantity can also be viewed. • Manage the storage of inventory across sections of a warehouse / multiple warehouses for physical traceability of the inventory. ADMIN MODULE – COMMUNICATION MANAGEMENT • Various modes of communication like email, can chat client can be configured using this module. • Ids for email and chat client can be created for entities automatically using this module which can be communicated to the respective stakeholder. • Sending / receiving rights within and outside the domain of the institute can be can be assigned using this module for email and chat client. • A record of all communication happening can be stored for a designated time period for the inspection by the management to ensure hygiene of operations. • We can also create an intra school network for voice calls and video conferences in case of high end versions. • Hence voice and video calling within the network becomes inexpensive while communication outside the domain can happen using legally approved communication mediums like PRI / SMS etc • Recipients of various kinds of communications and mode through which the communication will be disseminated can also be assigned using this module. • Certain pre decided formats like joining letter, transfer letter, leaving certificate and more can also be configured using this module. ADMIN MODULE – LIBRARY MANAGEMENT • This module is used to create the library of any institution. • Categories like subjects, publishers, authors and more are created and any book is categorized accordingly apart from it’s title. • The module has a bar code generator to ensure that every book, old and new, is bar coded, for ease of operations. • All books are loaned and submitted back to the library, which can be done using a bar code reader or manually, through this module. • It also allows the input information on the physical presence of the book in terms of section, rack number, book number etc. • It allows the students to search for the books online in terms of availability. • Using this module, the librarian can penalise the students for non submission of books within the due date either by levying a fee or recovering the entire price of the book, whatever the situation merits. • It also gives a view to the librarian in terms of the books issue, available, requested etc. EDUCATION MANAGEMENT SYSTEM n e m . c o n G r a n d e u r P v t L t d

ADMIN MODULE –VENDOR MANAGEMENT EDUCATION MANAGEMENT SYSTEM • Vendor for any supply, be it product or service, can be enlisted using this module. • Categories and subcategories of products / services can be created, which can be further used to categorize a supplier of any products /services. • Assign unique identification numbers of vendors and also capture details of the vendor like various government registration numbers, address and other contact details. • Allows enlistment of new vendors, blacklisting of vendors, delisting of vendors etc. • It also enables to define the maximum financial transaction value for a given period with a vendor. n e m . c o n G r a n d e u r P v t L t d

STAFF MODULE – STUDENT SET UP • Using this module, the staff member entrusted with the responsibility of giving admission to students, can do so. • Creates the profile of the student at the time of joining with details like DOB, contact details, parent details, previous education history – in case of a transfer joinee and more. • Assigns a roll number, and a GR number to the student which are the identifiers for the student while in school. • Assigns standard, class, section. • Assigns various extracurricular activities basis the choice of the student. • Captures and scans images of all the relevant documents / Photos of the student and parents. • Captures medical details of the students to understand the previous history of ailments which can come in handy in case of any contingency. • Can search for any student using advance search with parameters like name, middle name, last name, roll number, GR number and more. STAFF MODULE – PERFORMANCE - SELF EDUCATION MANAGEMENT SYSTEM • This is the module that is used for the staff performance management. • Employees can upload their goals as required by the management which then reflect in the supervisors performance management module for approval. • The employees can do self appraisal and submit it for review by reporting and reviewing manager. • The reporting and reviewing manager can appraise their sub ordinates and award ratings to them as per the rating grid. Can recommend promotions et al. • Employees can access their previous performance appraisals. • Employees can continuously update their performance. • Supervisors can create improvement plans with timelines and monitor the same. • Functions like HR / Line heads / Business head can have a view of the appraisal status / rating status / using this module. n e m . c o n G r a n d e u r P v t L t d

STAFF MODULE – PERFORMANCE - STUDENTS EDUCATION MANAGEMENT SYSTEM • Using this module the teaching staff can update the performance of the students. • They can input the subject wise, test marks, exam marks and rate their extra curricular activities. • They can also rate the students on cognitive parameters like behaviour, social skills, soft skills, interpersonal skills etc. • They can also view the history of a student’s performance over a period of time. • They can create / monitor improvement plans for academic performance and otherwise in discussion with the parents of the students. • They can pass or fail a student basis the marks scored by the students. n e m . c o n G r a n d e u r P v t L t d

STAFF MODULE – ATTENDANCE EDUCATION MANAGEMENT SYSTEM • Using this module the attendance of staff and students is managed. • This module can have automated attendance in form of bio metric scanning of finger prints or through active / passive RFID technology. • Our ERP is compatible with any of these technologies. • Teaching staff can also take attendance doing a roll call and marking absent only those who are not present. • SMS / emails can be configured to be sent to parents / guardians of the absentee informing them about the absenteeism. • Alarms / alerts can be configured in case any stakeholder, staff member, student or otherwise doesn’t have the requisite critical attendance and can be shared with relevant people. n e m . c o n G r a n d e u r P v t L t d

STAFF MODULE – LEAVE MANAGEMENT EDUCATION MANAGEMENT SYSTEM • Leave management for all the employees of the institution(s) is done using this module. • While this module displays the available leaves to an employee it also shows the past leave history. • Employee can raise a request for a leave, through the web, through sms in case of a sudden leave. • The approver, in turn can approve/disapprove of the leaves either through the web, or through smses. • Other features like setting up of mandatory leaves etc can be done and reminders can be sent in case of non set up of mandatory leaves. • Alerts and reminders through emails and sms can be sent for balance leaves or if someone is nearing the threshold of minimum leaves in the account. n e m . c o n G r a n d e u r P v t L t d

STAFF MODULE – PAYROLL EDUCATION MANAGEMENT SYSTEM • This module enables any employee or staff member to view their payroll. • Within the payroll they can view various components like their basic salary, HRA, and remuneration under other heads. • The employees can also view the changes in their payroll post appraisal cycles and visit and download previous remunerations. • They can also query the necessary payroll generating entity in case of any query. • It also displays the tax deducted and paid statement. • At the end of FY it also allows the employee to access Form 16 for the purpose of filing the annual IT returns. n e m . c o n G r a n d e u r P v t L t d

STUDENT MODULE – DASHBOARD EDUCATION MANAGEMENT SYSTEM • This is the front page when the student logs into the portal. • It shows the student’s holistic performance across the entire gamut of academic and non academic activities that a student is involved in during the year. • It without fail displays parameters like scores in exams and tests, attendance % pertaining to a particular student. • The dashboard allows them to customize the look and feel, some parameters and also interact with other students through an internal social forum meant for students. • They can use the forum to upload any content that adds value to the students as a fraternity and institution as a whole. • The dashboard will also display any note, memo or communication from teaching and non teaching staff and the management. • They can also access their internal mails using the dashboard. n e m . c o n G r a n d e u r P v t L t d

PARENTS MODULE – LOGIN & DASHBOARD EDUCATION MANAGEMENT SYSTEM • Using the web interface, parents can log into their personalised module. • The module has a dashboard which displays information about the school and their child(ren) as under: • Start and end of session. • Holidays for the year • Fees Status – paid and unpaid • Any general message from the management towards the parents. • Information about the teaching staff of the class that the child studies in. • They can personalise their own page in terms of look and feel. • They can see the photographs of any activity posted by the teaching staff or management on the dashboard. • Many other such information will be shared with the parents using the dashboard. n e m . c o n G r a n d e u r P v t L t d

PARENTS MODULE – CHILD INFORMATION EDUCATION MANAGEMENT SYSTEM • In this tab they are able to view all the information about the child. • Information like • Name of the child as registered in school records, • Other demographic details • Child’s performance on assignments and tests. • Child’s performance on the terminal and final exams. • Appreciation and recognition that the child has received from the institution. • It will also share information softer aspects of the child like • Soft Skills of the child • Interpersonal skills • Behavioural issues if any • Update on activities and events that the child take parts in. • It will also have the feedbacks given by teachers to the child and many more such information. n e m . c o n G r a n d e u r P v t L t d
