Team consisted of Finance Controllers of the States: Arunachal Pradesh, Chandigarh, Gujarat, J & K, Karnataka, Madhya Pradesh, Punjab, Rajasthan, Uttar Pradesh and Chief Consultant, TSG, Delhi • Finance Controller, SSA Rajasthan – Team Leader • Assisted by Shri Tilak Raj Chaudhary, SO / F & A and Shri Ashok Sharma, BRC / Primary • Team visited - BRC Office, Shimla, May Field, GPS/GSSS, Phagli, Chaura Maidan

BRC Shimla • Cash Book maintained but not properly. • Saving Bank Account in UCO Bank. • Pass Book updated 4th May, 2011. • Cheque Issue Register not maintained. • Asset Register not maintained. • Vouchers are kept loosely in a file without defacement. • Bank Reconciliation is not carried out. • Accounts of BRC not yet covered in internal audit.

  4. Contd…. • No Account personnel at BRC level. • Training in maintaining of Books of Accounts is needed.

  5. Govt. Sr. Sec. School (Phagli) • Enrolment 153 from Class-VI to VIII. Consists of 46 SC girls and 48 SC boys. • There are 22 teachers (5 males and 17 females). • Cash Book is being maintained in double entry system but not properly. Cash Book is not closed periodically. • Ledger is maintained but not the Journal. • Cheque Issue Register is not maintained. • Advanced Register is not maintained. • Bank Account is being maintained in Cooperative Bank with a closing balance of Rs. 11421.00 as on 17.05.2010.

  6. Contd…. • Updation of Pass Book is required. • Saving Bank Account in Cooperative Bank needs to be closed immediately. • Vouchers are kept in a file. • Stock Register and Asset Register not maintained properly. • Physical verification not done.

  7. Govt. Primary School (Phagli) • There is an enrolment of 125 students in the cluster consisting of 42 SC boys and 53 SC girls (Phagli 73, Nobha 25 and Ramnagar 27). • Cash Book is maintained but not in a chronological order. • Cheque Issue Register not maintained. • Stock Register, Asset Register and Advance Register are not maintained.

  8. Govt. Primary School (Chaura Maidan) • There is an enrolment of 69 students. • There are 3 teachers. • Cash Book is maintained properly and timely updated and verified by the Head Teacher. • SMCs minutes register is available. • Stock register is maintained.

  9. Govt. Sec. School (Chaura Maidan) • Cash Book not prepared properly and not closed even on yearly basis. • Ledger is maintained. • Asset Register, Cheque Issue Register not maintained.
