  5. 3-8 Assessments - ELA ELA – CBT Students Under Review: • NYSED had sent out memos to the schools that have students in this situation (a while ago). • When reviewing your Tested/Not Tested reports these students will show as “not tested”. This should be updated once NYSED is done with their review. There is another file update to the TNT reports that should be coming at some point. ELA – Final deadline for submitting missing assessments is today (June 6th): • If you find any other missing assessments or have Administrative Errors that had not had an answer sheet submitted (or entered into Nextera Admin for CBT)? Please let me know. • These items will go in during Year End Clean-Up.

  6. 3-8 Assessments - Math MATH Update On Processing: • Math processing done except for a few odds and ends. • Folks should be reviewing their Tested/Not Tested reports. • Please let me know if you find any missing assessments that you believe should have been submitted. This includes any Administrative Errors. Math Upcoming Deadlines: • First Straggler Deadline: June 13th (before noon) • Final Straggler Deadline: June 26th (by end of day)

  7. 3-8 Assessments - NYSESLAT & Science NYSESLAT Upcoming Deadlines: • Bulk (90%) Load Due – June 20th (by noon) We will make this deadline (goal is to have 100% loaded) • Final Straggler Deadline – July 10th (by noon) Science Upcoming Deadlines: • All answer sheets and scanned files (districts that scan) • Are due into us by end of day, June 13th. • Final Load Deadline (including stragglers) (August 22nd)

Out of Certification Reports • Out of Certification Reports are posted in IRS Business Portal • Process for changes will use ePMF forms in TAA • Administrators will be able to re-open ePMF forms to make changes • Be sure to Submit ePMF forms and Verify PMF Data when all changes are complete • Certification in TAA due Monday, July 1 • NYSED will also be contacting districts with information via the IRS Business Portal about teachers with certifications about to expire in August.

  14. Staff End of Year Reporting • Staff Tenure (Districts and BOCES Only) • Required for all teachers subject to APPR • SIRS-322 • Staff Attendance (All Schools) • SIRS-324 • Remember: Staff Tenure and Staff Attendance depend on an updated Staff Snapshot • Data is due Thursday, August 22

ESSAAccountability Data • Out-of-Suspension Indicator • Student Daily Attendance template • Out-of-School Suspension (OSS) • New Reports in Accountability Folder • SIRS-110 – Student Daily Suspension • SIRS-111 – School Year Suspension (Certify) • SIRS-112 – Student Growth (will be populated after August reporting deadline) Coming soon • SIRS-113 – ELL Proficiency (will be populated after August reporting deadline) Coming soon • New Report in Annual Outcomes Folder • SIRS-650 – Currently enrolled ELL Eligible students (program service code 0231). This data is used to collect Title III ELL/MLL counts.

CTE Reporting Reminders: • Include BOCES files from Rick & Mike • Program Fact and Assessment files • These are in addition to district based files • Once a student starts reporting CTE, rollover every SY until Graduation • District needs to track progress • Diplomas should include proper CTE diploma endorsement if applicable

PD ‘End of Year’ Reporting via SIRS The ‘End of Year’ Special Education data contained in VR’s 11-16 (and included SPP Indicators, as assigned to districts), requires the upload of this data to populate reports in the PD Data System: • SE Snapshot • SE Events • COSF Assessment (COSF = Child Outcomes Summary Form) • Program Service(TOD = Type of Disability, Early Intervening Services - 5753)

PD ‘End of Year’ Reporting via SIRS Deadline to Certify – August 26, 2019 • VR 13: ALL Public Districts Need to Report and Certify • Requires upload of SE Snapshot to the Data Warehouse • VR 15 (SPP #7): Only Public Districts Required to Report and Certify SPP Indicator #7 • Requires upload of COSF Assessment (Child Outcomes Summary Form) to the Data Warehouse

PD ‘End of Year’ Reporting via SIRS Deadline to Certify – August 26, 2019VR 16: Public School Districts allocating IDEA funds for CEIS Populates data through SIRS from Enrollment, EI Program Service (5753), and TOD data 2 Scenarios for reporting/certification of VR 16: • Required allocation due to disproportionality - Report 18-19 CEIS code (5753) when newly identified; OR if required IDEA funds were allocated in 16-17, 17-18 • Should have already received notification from the State if you are required to report; another notice when VR 16 goes into production • Voluntarily allocating IDEA funds for CEIS

PD ‘End of Year’ Reporting via SIRS Deadline to Certify – September 23, 2019 • VR 11 (SPP #11): Only Public Districts Required to Report and Certify SPP Indicator #11 • Requires upload of SE Events to the Data Warehouse • VR 12 (SPP #12): Only Public Districts Required to Report and Certify SPP Indicator #12 • Requires upload of SE Events to the Data Warehouse • VR 14: ALL Public Districts Need to Report and Certify • Requires upload of SE Events to the Data Warehouse

Other Certified PD Reporting Deadline to Certify – August 2, 2019 • PD 8 Suspension Data: All Public and Charter Schools must report • Data does not populate through SIRS, and is entered into the PD Data System by the SPED department • Data can be hand entered • Data can be sent via FTP from Frontline Maintenance area RECOMMENDATION: Starting July 1 – District Data Coordinator should share ALL suspension data with SPED department: • SPED needs to confirm number of suspension days that may exist for students with disabilities being tracked in more than one system • SPED needs to include the totals for non-disabled suspended students when reporting for the PD 8

  25. PD ‘End of Year’ Reporting via SIRS REMINDER: Level 2 repository FREEZES on 8/23/19 to all demographic, enrollment, program service (including type of disability), assessment (COSF), and SE Snapshot data. • You must have this data loaded into Level 0 by Thursday 8/23/19 for the L2 deadline to populate the data into the PD site. • SE EVENTS is the only Special Education data that can be uploaded to Level 0 after Level 2 freezes on 8/23/19.
