Sponsorships are helpful not only because they can provide financial assistance, but also add credibility to your event. And, if you cultivate a good relationship with your sponsors, you can count on their support for future events.  So, how do you go about landing that dream sponsorship? It all starts with the perfect event sponsorship proposal. It is critical that your event sponsorship deck stands out above the others. This doesn’t mean you have to put together a monster document.   3. 1. Create Your List of Recipients Most importantly, before even sending out your event sponsorship deck, make sure that it is going to the right people. This will of course involve some phoning around and digging. Call companies directly and ask them who the best person would be to speak to about sponsorship. More often than not, they will provide you with a name and email address.  Your list of recipients should be a list of companies that are open to sponsorship. Do enough research on the company to feel confident when approaching them.

At the very least, you and the brand should have similar target audiences.   Keep an eye on their recent campaigns and social media content. Once you have seen what their communication objectives are, you are able to discern if your event would be of interest to them.

This way, they will be able to decide whether their sponsorship will assist. There will be no point for a sponsor to partner with an event that they feel doesn’t share objectives or a target audience. 

  7. 4. Offer Different Sponsorship Tiers  Not all the brands you approach will have the same budget available. For this reason, put together different sponsorship tiers. Sponsors can get a certain level of exposure at your event for different price points.  For example, offer a diamond, platinum and gold package. Clearly list the different deliverables for each tier, and why it would work for them. Doing this shows that you appreciate different companies having varying budgets. It also shows that just because they cannot afford a diamond package, doesn’t mean that the budget they do have isn’t valued. It demonstrates versatility and your experience in event planning. 

  8. 5. Include Your Credentials in Your Event Sponsorship Proposal If this is your first, or one of your first, events you will need to provide more information about you/your company. Brands need to know that the event they are investing in is organized by reputable people. Include your previous experience, with links to work you have done if possible.

Adding in photos from similar events you have done helps the brand paint a picture of the kind of event you are planning. Depending on the nature of your event, you could include links to videos, snippets, etc. to give a true feel of the event.

What this needs to demonstrate is an interest in your events and a growing audience.  If possible, include financial information from previous events. If you made a profit, show that. Also, if you could, show which demographic stood out the most at the event. These statistics will back up your request for sponsorship and who their brand will be reaching. Show your sponsors that your events are worth the investment.

They will be able to plan and see if the event aligns with their messaging for the specific time period your event takes place in. If you can introduce the brand to a new, desired target audience, include it. When making the final call to join as a sponsor, this will be a very important point to consider. It needs to make financial sense, but also further their objectives as a brand.

Keep it as concise as possible, and display your information in a way that’s easy to read. Where you can, include graphics and images, instead of bodies of text. If you have the resources to do so, have a graphic designer design a sponsorship template for you. This way, each event you host will have a dedicated template for the event sponsorship proposal. It displays professionalism.  Your event sponsorship proposal is the key to landing extra funding and support for your event. It is not a document that should be rushed, and attention should be paid to each point or slide. Your proposal also serves as the first impression you make on the brand. If they like the proposal, they will likely request a meeting with you to discuss their involvement in more detail.
