  1. Lesson Two: PMP Phases • In this exercise, you will learn about the 3 phases of the performance management process. • To complete the related exercises, please print out the following forms: • PI Form • PMP Form • Training and Development Planning Sheet

  2. Phase One: Beginning of the New Performance Cycle • By referring to the current PI (Position Information) form, the supervisor communicates how the employee’s performance is going to be measured. • The PMP form is “tailored” to fit the employee’s job. (Individual Performance Factors, Manager/Supervisor Performance Factors and Operational Objectives are used and weighted, as appropriate.) The employee may be asked for suggestions or feedback on importance weightings and specific goals. • A training and development plan should be developed and tied into the PMP.

  3. Exercise #2 • Print out the Position Information form. • Working with your supervisor, complete the form. • Email your Position Information form to the instructor (as an attachment) utilizing the email link on the home page. • When approved, a copy of your updated Position Information form will reside in your personnel file in the Human Resources department.

  4. Phase One: Customizing Your PMP Form • Working with your supervisor, the employee should: • Identify major performance areas applicable to their current position Section 1). Sign and date form after discussing factors/objectives. • Identify the performance factors which are key to the position. (Sections 2 and 3) by indicating the performance weighting (High, Medium, Low). These will be the factors on which the employee will be evaluated. (Note: a Low weighting does not mean the factor is unimportant, only that it is less important than other factors). • Write operational objectives and standards (Section 4) and indicate importance weighting. • Employee and supervisor will retain a copy of the PMP form.

  5. Exercise #3: Customizing the PMP Form • Print out a copy of the PMP form. • Working with your supervisor complete the information that was outlined in the previous slide. This includes: weighting performance factors and creating operational objectives. • Send the completed form to the instructor (as an attachment) utilizing the email link.

  6. Phase Two: During the Performance Cycle • Coaching, coaching and more coaching! • Modify PMP: Update, modify or delete requirements, as appropriate.

  7. Coaching for Performance Steps • Observe and analyze employee performance. • Open the meeting and set the employee at ease. • Get agreement that there is an opportunity for improvement or maintenance of current job performance. • Discuss alternative solutions. • Set up a review date. • Give recognition.

  8. Exercise #4: Coaching • If you are supervisor, schedule a coaching session with your subordinate. If you do not supervise, schedule a coaching session with your supervisor. • After the coaching session, write a 2+ page reaction paper commenting on the various techniques that were utilized based on the steps outlined in the previous slide. What went well? What could have been better?, etc. Note: if you supervise, you will reflect on your own behaviors/techniques, if you do not supervise, you will reflect on your supervisor’s behaviors/techniques. • Send the completed form to the instructor (as an attachment) utilizing the email link.

  9. Phase Three: The End and the Beginning • Supervisor and employee plan and prepare for performance review meeting. • Supervisor and employee discuss how to maintain and improve high level of performance. • Supervisor and employee plan for next review period.

  10. Preparing the Employee • Reinforce importance of input and provide samples. • Provide a copy of the Employee Preparation Worksheet for the employee to complete prior to the discussion. • Discuss the PMP process. • Emphasize the developmental outcomes. • Encourage feedback. • Offer support and assistance.

  11. Exercise #5: Employee Preparation Worksheet • Complete the Employee Preparation Worksheet. • Note: although the performance cycle is from 0401-03/31 each year, it is recommended that the employee continually updates this worksheet prior to the end of the performance cycle. • When worksheet is complete, send it to the instructor (as an attachment) utilizing the email link.

  12. Exercise 6: Completing the Form • During this exercise, you will complete your own PMP form. • Utilizing the PMP form from Exercise #3, evaluate yourself based on your performance from the past 6 months. • Provide any helpful comments based on your ratings. (see Writing Effective Comments) and complete the employee performance development planning section. • Email your completed PMP form to the instructor (as an attachment) utilizing the email link. • Feedback from the instructor on the completed form will reflect on overall completion of weights, operational objectives, comments and performance development planning.
