  1. Users can login to StaffConnect at: www.deakin.edu.au/staffconnect They will now have access to the “Training” folder under the menu options available Training Course Search & Nomination via StaffConnect

  2. Searching for Training Courses To search for a training course: Step 1: Click on the Training Nomination link on the menu Step 2: Click on the Search & register for a course link Step 2 Step 1

  3. Searching for Training Courses (continued) Users will be able to enter Training Course search criteria via the form shown below. Any combination of the fields*shown can be included in the search: * Please Note: When entering the course date fields, either a Course Start Date OR Course Closing Date can be entered (with or without other fields), but NOT both within the same search

  4. Keyword Search Criteria Entering a keyword search in the “Course Title” field will produce all results containing this keyword. For example, a user can search for courses that include the word “Plan” and click on the “Find” button as shown below. Note 1: search fields are not case-sensitive 1 Note 2: If the user clicks on the “Find” button only (i.e., enters no search criteria), a list of all currently available courses will be displayed. 2 The results can be further refined according to other search criteria that have been entered along with any keywords (eg course location, course category etc).

  5. Keyword Search Criteria (continued) A list of courses containing this keyword will now display. To find out more details about a particular course, select the course link under the “Course” column. For example, a user can select the first course (H0012) shown below. Note the number of instances (sessions) of the course available

  6. Training Course Summary Information page After selecting a specific course, a table providing summary information about the course will now be displayed Users now have a number of options: 1. For more detailed information about the course, a user can click on the “Details” link as shown. 2. The user can also “Nominate” for the course here. OR 3. The user can return to the list of courses from the previous search, via the “Back to Courses” link.

For more information about the course, users can click on the “Details” link as shown. • More detailed information about the course will display (see next page) and includes: • Facilitator details • Time and Venue (Room/Campus) • Course Content • Objectives • Pre-requisites • Course Conditions and • Contact Details.

  8. More Information about the Course (continued) Additional course information will display as shown in the example below. To return to the Training Course Summary Information page click on the “Close Window” button

  9. Nominating for a Training Course After closing the course Details page, the user is returned to the Training Course Summary Information page, where they are able to Nominate for the course 2. The user has the option here to “Nominate” for the course (or be added to the Waiting List) via this link

  10. Being Wait Listed for a Training Course Where the maximum number of participants for a course session has already been reached, users will have the option to be “Wait Listed” for this specific course session. Note: the course availability is ‘No’ and number of vacancies = 0 2. The user has the option here to be added to the “Waiting List” for the course instead of being Nominated Whether Nominating or being Wait Listed for a course, clicking on this link will open up the standard Training Nomination form (see next page).

  11. Completing/Submitting the Training Nomination form The ‘Training Nomination’ form will now display. Users are required to complete a number of fields on this form, including some mandatory fields, then submit the nomination to their manager/supervisor for approval. NOTE 1 NOTE 2: Mandatory fields Once the form is complete, click ‘Nominate’ to submit to your Approver

  12. Nominating for the Course (continued) Relevant Warning and/or Success messages will now display. A warning message will display where the maximum number of nominations has already been reached. NOTE: If the Maximum or Minimum number nominations is not an issue, then warning messages such as this will not display In such circumstances, the user will be wait-listed (and they will be notified of this by email). Note: A warning message will also display where the minimum number of nominations has not yet been reached. The nomination will be accepted, however users should note there is no guarantee of the course being scheduled without sufficient numbers.

  13. Approval for Training Nominations After the user has submitted the nomination (incl. wait-listed nominations), approval from the user’s manager/supervisor (ie, Approver) is required. Until it is approved, a nomination can be viewed by the user in StaffConnect under “Pending Transactions”. Note: It is possible for a user to delete a pending transaction prior to approval, by ticking the “Delete” check box and then clicking the “Delete” button

  14. Approval for Training Nominations (continued) After submitting a training nomination request, an email will be sent to the Approver with summary information about the course. The email will include a link (URL) to StaffConnect so that the Approver can go straight to this application and action the record (Approve, Reject or Escalate the request).

  15. Approval for Training Nominations (continued) The following screen is what the Approver will see in StaffConnect once a training nomination has been submitted. Training nomination requests follow a similar approval process to leave requests, but appear within a separate “Training Nominations” section on StaffConnect. Approvers have the option to Approve, Reject or Escalate the request accordingly.

  16. Approval for Training Nominations (continued) With training nominations the approver has 3 days to action the transaction before it is escalated directly to the Staff Development Team, HRSD. Note: unlike leave requests there is no second level approver A member of the Staff Development Team will endeavour to contact the approver to determine the action to be taken for this request. Once a record is updated, a subsequent email will be sent back to the user advising them of the action, as shown in the example below.

  17. Updating/Cancelling an Approved Training Nomination Once a nomination is approved, and a user wants to Update or Cancel (Delete) their registration from the course, they must modify and resubmit the nomination via the Training Nomination link. NOTE: As with the original training nomination, any update or cancellation must also be approved by the Approver before the change is effective. Step 2: Click on the Nomination Date of the course to update or cancel your registration Step 1: Select Training Nomination

  18. Updating/Cancelling an Approved Training Nomination (cont’d.) To Update a nomination, make the required changes to the form, ensuring the checkbox indicating you’ve discussed this with your Manager is ticked, and resubmit the nomination by clicking on the “Update” button. (Note: Any change needs approval) Checkbox To Cancel a nomination, tick the checkbox indicating you’ve discussed this with your Manager, then click on the “Delete” button (Note: Any cancellation needs approval)

  19. Moving from the Wait List to the Course Participants List When a staff member has been approved to attend the course, but is initially added to the Wait List, they will stay there until a sufficient number of participants cancel their nominations, allowing for a vacancy on the course participation list. Once a vacancy for the course becomes available, the first person on the wait list will be transferred to the course participant list, and will receive an automated email advising them that this has happened. An example of the email is shown below:

  20. Viewing Training Nominations (Approver view) As an Approver, any training courses that staff reporting to you are scheduled to attend, will appear in the Team Leave Matrix in StaffConnect. Training records are signified by the letter “T”, and will be shaded in a different colour depending on whether they are Attended, Confirmed, Pending or Wait-listed nominations Note: to view Training records, ensure the “Show Training” box is ticked

  21. Clicking on the ‘View Staff Development Program’ link will open up a separate web page that displays a summary of the training courses and other staff development activities available to staff during the year. Users can toggle between this web page and StaffConnect as required. Viewing the Staff Development Program
