1. Make it personalWhy does it matter? Because addressing your cover letter to a named individual will create a quicker connection with the reader than a generic salutation. Likewise, if you can demonstrate your knowledge of the company or its products, your cover letter will stir the reader’s interest and stand head and shoulders above the rest. 

2. Decide what makes you uniqueIt pays to differentiate between what you have to offer your employer and what your competitors can offer. Making a list will help you determine your personal point of difference, which will help not only in terms of knowing your own value, but will give your cover letter that competitive edge.

3. Think about specificsA common recruitment complaint from employers is jobseekers not addressing selection criteria - so it pays to get it right. Make a list of the selection criteria then use bullet points and the SAO technique to demonstrate where and when you gained similar experience (Situation), what you did and how you did it (Action), and what the result of your actions were (Outcome.)

4. Flaunt your achievementsEvery potential employer expects to hear about your achievements, but presenting the ones that best represent your relevant experience or transferable skills is critical. How to choose? Make a list of key achievements and only use the ones that relate best to the selection criteria and prove your abilities.

5. Think about the layoutNext to the content of your cover letter, its layout is probably the most important decision you'll make. There are a lot of things to consider, and it pays to use bullet-points for ease of reading, but one of the most important layout considerations is that your cover letter spans no more than one page in total.

6. Don’t be afraid to follow things upSo you submitted your job application on time, the application closing date passed a week ago, and you still haven’t heard a response? Don't be afraid to reiterate your interest in the job with a follow-up phone call to your potential employer. Asking if your cover letter or resume was received and gently re-stating your suitability for the job can increase your chances of being interviewed.

The manufacturing industry is going through a period of significant change and it is important that senior managers are able to devote their energies to ensuring that gains result from this change. I believe that PAs should assist in this process by freeing senior managers to devote time to the serious issues while the PA takes care of the more peripheral issues.

To do this successfully the PA must be able to develop a relationship with a senior manager built on understanding, trust and the ability to keep confidences. It is the quality of this relationship which often is as much the measure of the efficiency of a PA as the technical skills.

Resume’ - Tips

  • Do:
  • Use action words, such as developed, managed and designed.
  • Keep paragraphs under seven lines. Since resumes are often scanned by recruiters, it has a better chance of being read if it is condensed.
  • Be honest.
  • Check thoroughly for grammar and spelling mistakes. It's a good idea to have a friend look it over for unnoticed mistakes while you are writing your resume.
  • Use high-quality paper that is white, ivory or another conservative colour.
  • Use normal margins (approx 2 cms on top and bottom, approx 2.5 cms on sides).
  • Make sure your resume is clear and visually pleasing.
  • Make your resume unique. List technical skills, certificates awarded, professional memberships, military experience, travel and community work if it relates to the job you are seeking.

Employers use telephone interviews as a way of identifying and recruiting candidates for employment. Phone interviews are often used to screen candidates in order to narrow the pool of applicants who will be invited for in-person interviews. They are also used as a way to minimize the expenses involved in interviewing out-of-town candidates.

Be Prepared to Interview

Prepare for a phone interview just as you would for a regular interview. Compile a list of your strengths and weaknesses, as well as a list of answers to typical phone interview questions. In addition, plan on being prepared for a phone conversation about your background and skills.

  • Have a short list of your accomplishments available to review.
  • Have a pen and paper handy for note taking.
  • Turn call-waiting off so your call isn't interrupted.
  • If the time isn't convenient, ask if you could talk at another time and suggest some alternatives.
  • Clear the room - evict the kids and the pets. Turn off the stereo and the TV. Close the door.
  • Unless you're sure your cell phone service is going to be perfect, consider using a landline rather than your cell phone to avoid a dropped call or static on the line.

  • Don't smoke, chew gum, eat, or drink.
  • Do keep a glass of water handy, in case you need to wet your mouth.
  • Smile. Smiling will project a positive image to the listener and will change the tone of your voice.
  • Speak slowly and enunciate clearly.
  • Use the person's title (Mr. or Ms. and their last name.) Only use a first name if they ask you to.
  • Don't interrupt the interviewer.
  • Take your time - it's perfectly acceptable to take a moment or two to collect your thoughts.
  • Give short answers.
  • Remember your goal is to set up a face-to-face interview. After you thank the interviewer ask if it would be possible to meet in person.

What are your weaknesses?

The dreaded question, which is best handled by picking something that you have made positive steps to redress. For example, if your IT ability is not at the level it could be, state it as a weakness but tell the interviewer about training courses or time spent outside work hours you have used to improve your skills. Your initiative could actually be perceived as a strength. On no accounts say “I don’t have any weaknesses”, your interviewer won’t believe you, or “I have a tendency to work too hard”, which is seen as avoiding the question.

Why should we hire you?

What can you do for us that other candidates can't? - What makes you special and where do your major strengths lie? You should be able to find out what they are looking for from the job description. “I have a unique combination of strong technical skills and the ability to build long-term customer relationships” is a good opening sentence, which can then lead onto a more specific example of something you have done so far in your career. State your biggest achievement and the benefit it made to the business, then finish with “Given the opportunity, I could bring this success to your company.”

What are your goals?

Where do you see yourself in five years time? - It’s best to talk about both short-term and long-term goals. Talk about the kind of job you’d eventually like to do and the various steps you will need to get there, relating this in some way back to the position you’re interviewing for. Show the employer you have ambition, and that you have the determination to make the most of every job you have to get where you want to be.

Why do you want to work here?

The interviewer is listening for an answer that indicates you’ve given this some thought. If you’ve prepared for the interview properly, you should have a good inside knowledge of the company’s values, mission statement, development plans and products. Use this information to describe how your goals and ambition matches their company ethos and how you would relish the opportunity to work for them. Never utter the phrase “I just need a job.”

What are three positive things your last boss would say about you?

This is a great time to brag about yourself through someone else’s words. Try to include one thing that shows your ability to do the job, one thing that shows your commitment to the work, and one thing that shows you are a good person to have in a team. For example, “My boss has told me that I am the best designer he has ever had. He knows he can always rely on me, and he likes my sense of humour.”

What salary are you seeking?

You can prepare for this by knowing the value of someone with your skills. Try not to give any specific numbers in the heat of the moment – it could put you in a poor position when negotiating later on. Your interviewer will understand if you don’t want to discuss this until you are offered the job. If they have provided a guideline salary with the job description, you could mention this and say it’s around the same area you’re looking for.

If you were an animal, which one would you want to be?

Interviewers use this type of psychological question to see if you can think quickly. If you answer ‘a bunny’, you will make a soft, passive impression. If you answer ‘a lion’, you will be seen as aggressive. What type of personality will it take to get the job done?

You should always have some questions for your interviewer to demonstrate your interest in the position. Prepare a minimum of five questions, some which will give you more information about the job, and some which delve deeper into the culture and goals of the company.
