  1. How is Cyclescheme made available to employees? Cyclescheme is available to all schools under London Borough of Hammersmith & Fulham and Royal Borough of Kensington and Chelsea. In order to provide Cyclescheme to your employees you will need to opt in by registering for Cyclescheme at the following link: https://www.cyclescheme.co.uk/register-employer-check Once you have registered and set up on Cyclescheme, you will be provided with a unique link to share with your employees. They will use this link to make their applications. Applications will need to be approved (following NMW/NLW checks and eligibility checks). To do this, log into the MySchemes portal that you will be given access to. Through here you can also promote the scheme. You will also need to provide contact details of the school for invoicing purposes The school will then need to set up deductions from the employees pay.

The application journey: Once approved, Invoice raised and once paid, certificates are sent out Employee redeems the certificate in-store for the chosen bike and equipment Employee requests to join the scheme through portal Employee calculates their savings and finds their nearest bike shop at www.cyclescheme.co.uk Employee signs the hire agreement Employer commences Salary Sacrifice deductions Employee obtains a quote from their chosen retailer for a bike and equipment

  3. Where can employees get a bike? Cyclescheme’s network of over 2000 Retailers provides access to 800+ different cycling brands, including direct access to the UK’s most popular bike manufacturers. Many of our Retailers provide electric bikes, folding bikes and other specialist cycles. Shopping in-store is ideal if you are not sure what you need (or in what size), or if you want the face-to-face interaction with industry experts (which can be invaluable for new cyclists) to ensure the package meets your specific requirements. Shopping in-store means you can also take advantage as other benefits such as a free 6-week service. If you know exactly what you want and are confident with purchasing cycling equipment, many of Cyclescheme’s partner retailers offer an online service. Please visit our Retailer Finder to search either for a physical shop, or an online retailer that you would like to use.

  4. What happens at the end of the Hire Period? At the end of the hire period the employee must complete an end of hire process to transfer the ownership of the Cyclescheme package. - Without this payment HMRC would class the agreement as hire purchase (rather than hire), and as such the tax exemption would not be available. 1. Extend The employee make a one-off deposit (of either 3% or 7% of the packages’ original value) and continues to hire the bike (under an Extended Use Agreement with Cyclescheme), free of charge, for a further 30 months at which point Cyclescheme can transfer ownership to the employee at no further cost. 2. Pay Employees can pay to take ownership of the Cyclescheme package straight away, by making a payment of either 18% or 25% of the bike packages’ original value. This dramatically reduces their savings, but does transfer ownership immediately to the employee. 3. Return An employee can opt to return the bike to Cyclescheme if they do not wish to take ownership.

  5. Do employees need to get a bike with their Certificate? No. Cyclescheme allows you to be flexible and get the equipment that suits as your needs. As such your Package can be built in 3 different ways: • Cyclescheme Package - This will include a shiny new bike and some accessories (e.g. Lights, Lock, Helmet etc.) • Bike Package - The Certificate is not used to get any accessories, but is for a bike only (it is worth noting that 80% of participants that only get a bike are back in-store within 6 weeks to purchase some accessories with their own funds) • Accessory Package - A bike is not included in the package (because the participant already has a bike), and new accessories are required to make cycling to work easier (e.g. new waterproof/ reflective clothing, Lights, Helmet)

  6. What accessories are allowed? • Cycle helmets • Bells • Lights, including dynamo packs • Mirrors and mudguards to ensure riders visibility is not impaired • Cycle clips and dress guards • Panniers, luggage carriers and straps to allow luggage to be safely carried • Child safety seats • Locks and chains to ensure cycle can be safely secured • Pumps, puncture repair kits, cycle tool kits • Reflective clothing, reflectors and spoke reflectors • This list is by no means exhaustive, so if you have questions about what accessories you can obtain our Contact Centre will be happy to help. • Bicycle components such as frames etc. are not permitted.
