BACKGROUND • The Corporate Identity Manual was approved on September 15, 2015 through SBMA Board Resolution No. 15-09-5506. • It contains information and guidelines on the proper usage of the Agency's corporate logo and other visual symbols and representations with which the public associates it. • It also contains guidelines on the official colors, fonts (typefaces), and other visual elements, and how they are to be applied to come up with uniform documents and other materials. OBJECTIVE OF BRIEFING • To guide all employees on the proper usage of the Agency logo and its other graphics for a standardized visual portrayal of the Subic Bay Metropolitan Authority as a government agency and the Subic Bay Freeport Zone as a destination. • To stress the importance of standardizing and protecting the Agency's corporate identity • To ensure that the integrity of the Agency's logo is preserved and respected at all times SUBIC BAY METROPOLITAN AUTHORITY

Correspondence a) General Fonts and Spacing - Arial 11 pts, Single space b) Paper Size - International ISO standard A4 (8.27” x 11.69”) size for regular correspondence and memoranda - Legal size (8.5” x 14”) for legal documents and horizontal spread sheets only c) Format - Block Format, text aligned to both left and right margins d) Spacing - Single line spacing used between sentences and double line spacing between paragraphs SUBIC BAY METROPOLITAN AUTHORITY

Other Standardization Guidelines • Memo Protocol • Heading Segments • FOR / TO • Use TO when your memo is addressed to a subordinate. • Use FOR when your memo is addressed to a peer or an officer of higher rank. • If your memo is intended for more than one recipient, make sure you list them in the order of their status or rank in the Agency • Specify the recipient's position or title below his/her name. Other Standardization Guidelines • Memo Protocol • THRU • When the THRU addressee needs to be informed; or when the THRU addressee needs to endorse (i.e., approve, concur, coordinate) the document prior to its receipt by the main addressee • As much as possible, limit THRU addressees to only two (2), unless absolutely necessary • Aside from signing the memo, route it thru the THRU addressee so he/she may also add any comment such as “Noted”, “Concurred”, etc. SUBIC BAY METROPOLITAN AUTHORITY

Other Standardization Guidelines • Memo Protocol • FROM • Use your full name (Note: You may sign your initials after your typed name to verify that the memo comes from you and/or sign your name at the end of the memo). • Specify your position or title below your name. Other Standardization Guidelines • Memo Protocol • SUBJECT • Summarize your message/purpose precisely. • Capitalize all words and use bold typeface within the subject line. • Avoid using “AS DISCUSSED BELOW” as your memo subject. • If acronyms or abbreviations are used in the subject, spell them out, followed by the acronym in parentheses (Note: Once this is established, only the shortened form is used in the memo body but if the full title is to be used only once, there is no need to identify the acronym in the subject field). Other Standardization Guidelines • Memo Protocol • Body Segments • Begin the memo with the most important information. • State the purpose of the memo. • Identify the exact reason for writing the memo and make it clear to the reader. • Include only as much information as needed. • Provide a brief statement or the key points of the memo. • Include all details that support the key points of the memo and your recommendations. • Close the memo stating what action/s you want the recipient to take. • There is no need to write “Thank you” at the end of your memo. Other Standardization Guidelines • Memo Protocol • CC • If you intend to furnish other officers or staff copies of your memo, make sure you list them in the order of their status or rank in the Agency. • You may also furnish copies of your memo to one or several offices in which case, make sure you list them alphabetically. • Must be appended at the end of the document.   46. ACTIVITY II: MEMO WRITING • [10-20 minutes] • SCENARIO • Your department/office will hold its annual Team Building soon. • Due to the recession, the activity would be scaled down. Your bosshas • asked you to write a memo to all staff, informing them of the upcoming event. • INSTRUCTIONS • Working in pairs, write a memo to your department staff. Ensure your message is clear, • concise, courteous and complete. Include in your memo: • Date, location & duration of the Team Building. • Instructions on how to get to the location. • Some information on the activities they can expect. • ADDITIONAL INFO • DATE: July 2, 2016 • VENUE: Blue Rock Beach Resort & Dive Center (along Baloy Long Beach Road) • DURATION: 5:00 PM to 11:00 PM • ACTIVITIES:- Presentation by section heads • - Open forum • - Karaoke competition • - Magic show SUBIC BAY METROPOLITAN AUTHORITY

  47. ACTIVITY III: CORRESPONDENCE WRITING [10-20 minutes] SCENARIO Your department/office is spearheading this year’s Water Summit and needs a resource speaker for the event. You have been instructed to get in touch with the Olongapo City Mayor for this purpose. INSTRUCTIONS Working in pairs, write a letter addressed to the City Mayor. Ensure your message is clear, concise, courteous and complete. ADDITIONAL INFO Name of City Mayor : Hon.   50. Always Remember! The logo must be used as is without any alteration – whether in color or proportion. In other words, all elements of the logo, including its colors, must appear in their fixed relationship and proportion, and must not be adjusted or modified in any manner that distorts or alters any element.
