  1. Starting June 25th, 2018 the Flow Cytometry Core Facility is switching scheduling system to our new site: https://yaleflowscheduling.internal.yale.edu To Log in to the site, users will need the e-mail and password associated with their yaleflowscheduling.internal.yale.edu account.

  2. https://yaleflowscheduling.internal.yale.edu/ is located behind Yale’s firewall. You will be able to access and use the website as you normally would using the Yale Secure wifi or a direct ethernet connection at Yale.   If your Yale wifi signal is not strong, or if you are off campus, then a Virtual Private Network (VPN) app must be engaged first. The VPN connection requires Multifactor Authentication which can achieved through the Duo App. Both the VPN app Cisco AnyConnect and Duo app can be downloaded for free.   3. Once a user logs in to yalescheduling.com, they will be directed to the member Profile page which displays all their information – phone number, YCC/Non-YCC status, supervisor, and COA numbers on record.

  4. By selecting the Home tab in the upper left-hand corner users will be directed to the calendar for the current day.

  5. The Home page displays all the scheduled analyzer and sorter times for that day. Users are only allowed to schedule times on the machines you have been trained to use. Sort times will continue to be scheduled directly through the individual sort operators.

  6. To view a day other than the current calendar day, user can select the calendar icon next to the date and then the day of interest. Users can also go one day forward or backwards on the calendar by selecting the arrows at the top left or right of the calendar.

  7. Hover the curser over a particular block and the time of that block bill be displayed. Clicking the block above will reserve the LSRII Green from 2:30 PM– 3:00 PM.

  8. To schedule more than the 2:30- 3:00 time, the user would select the end time they would like to schedule (4:30 PM- 5:00 PM).

  9. The block of time user would like to schedule will now Be highlighted (2:30 PM- 5:00 PM), then select the Bookthis slot button in the upper right corner.

  10. Users will automatically be redirected to the Add Schedule page where you have an opportunity to edit their event or add a note before adding it to the schedule. To add the event to the schedule click the Add button at the bottom of the page.

  11. After clicking the Add button, users will be brought back to the Home page. Hovering the curser over an event will allow you or other user to see the user’s contact information for that event.

  12. By selecting the My Booking tab at the top of the page users will be able to view the events they have booked. If a user made an error or needs to adjust their time select the Edit button.

  13. In this instance, the booked machine was switched from the LSRII Green to the LSRII TAC5. To finish any modifications select the Update button at the bottom of the page.

  14. The Home page will now display the updated event.

  15. From the My Booking tab, users can also cancel a scheduled time by selecting the On-Going button next to the event they would like to cancel.

  16. After selecting the On-Going button, the above pop-up will be displayed. Select Cancelled from the Status dropdown box to cancel the event and then the Update button.

  17. The My Booking page will now show the event as cancelled.

  18. The event will also be removed from the Home page.

  19. To view charges, users can select the Billing Information tab at the top of the page. Users will be able to see the start and end times, rate, and amount charged for each event.

  20. Users can edit their profile by selecting the Profile tab at the top of the page and then the Edit Member tab in the left-hand column.

  21. The user can edit their phone number, supervisor name, and the start and end time displayed on their calendar. If a user does switch supervisor please inform the FACS Core of this change. You will need to update COAs when switching labs.

  22. The Contact Us tab will allow users to send the FACS Facility staff messages after hours or on the weekends informing us of problems or questions they might have. Be sure to Sign out of yaleflowscheduling.internal.yale.edu when you are finished with your session with the tab in the upper right-hand corner.
