  4. How to create PDF files from F.R.E.D. • Overview – PDF (portable document format) can be created in lieu of printed copies • They are saved on your local computer • They can be printed out from your local computer when needed

  5. Set up for PDF • Download free software • http://www.primopdf.com/ • Install according to instructions (if necessary,www.iemsupport.com) • Right click on newly installed printer(via Control Panel/Printers and Faxes) • Select “Set as default printer”

  6. Printing to PDF • Log into F.R.E.D as usual • Print as usual • Select meaningful unique name and location for PDF file ( and remember it!) • Open PDF file on local computer. • View or print as desired

Why is the funding calendar different than the school year? • Primary funding is based the P2 (period 2) attendance report. • The “The Second Period report is to be prepared immediately after the last full school month ending on or before April 15” • This is usually between 130 and 145 days into the school year

Why is the funding calendar different than the school year? • We divide 1 ADA (average daily attendance) by the number of days until P2 • We calculate what the cost of paying an ES would be depending on the day that the student starts • On the date when the difference of what is received less what is necessary to pay the ES is negative, we stop accepting students for that year.

  9. Learning Records/Rollsheets • Basics • Learning Record and Rollsheet dates must match • A Learning Record/Rollsheet period covers a maximum of 20 days • Every day of school year must be accounted for in a Learning Record and a Rollsheet

  10. Types of errors • Mismatch between LR and RS dates • Gap between two RS periods(missing days) • Overdue LRs or RSs • Bad RS ( a variety of errors, not covered here )

  11. How to resolve mismatch • Resolve any Gaps in dates (e.g.adding RS for Gap). This is done in conjunction with the attendance department • Add new LR if necessary • Go to Student Detail View • Adjust start and end date codes to match rollsheet.
