  2. Housekeeping • First, a little housekeeping • Please turn off all cell phones • We will use NetOps today…let’s talk about that • We will take a break (check email then) • Check map for restrooms • During the break please use the front door of the building to re-enter

  3. Welcome • What is myUFL? • A system on the internet that only UF staff, faculty, and students can use • Contains information on UF, on departments and colleges • Protected by the use of logins and passwords • Also known as the portal

  4. The Portal Is… • Gateway to all UF business transactions for • Finance • Human Resources • Payroll • Reporting Tools • Data Warehouse • Password Management • Grants

  5. Who Uses myUFL? • Department fiscal staff and payroll staff • To record employees' time and leave • To make purchases for departments • To pay invoices or travel reimbursements • To check the department's budget • What else?

  6. Who Uses myUFL? • All employees use myUFL to: • Record leave • Check benefits • Check paycheck • Update employee information • As a source of news and information

Today’s Objectives • Become familiar with using the menu • Learn how to use myUFL to stay updated • Know how to find information in myUFL • Take advantage of the Self-Service functions as a UF employee • Learn common features of myUFL that work in any part of the myUFL menu • Today we will get to the my in myUFL!

  9. Portal Entry • What is the portal? • The portal is the "front page" of myUFL • Access it through a web browser • Internet Explorer or Mozilla, for example • In the Address bar enter my.ufl.edu • Then press the Enter button on your keyboard

  10. myUFL Website This is the myUFL website. Let’s take a look!

  11. myUFL Website This is the "Splash Page." Contains current information on a topic at UF or the community! New every Monday.

  15. myUFL Portal This is the myUFL portal. Let’s take a look at the main parts.

  16. Keeping Updated Keep updated on UF and other news by using these “pagelets.”

  17. Work Menu Links Use these menu links to get to pages to do work tasks.

  18. Modules • Each menu link on the main menu opens a different section of myUFL • These sections are referred to as "modules" • For example, if you would like to create a Grant proposal in myUFL, you would go to the Grants module • Let's go back and take another look at the menu!

  22. Security Profile • Everyone using myUFL has a security profile • This is tied to each GatorLink username and password • The security profile is made up of roles • For example, the role “UF_PY_Employee” allows me access to view my paycheck

  23. Security Profile • Roles determine our access to pages and applications in myUFL • We each have our own set of roles • Remember, we are responsible for work performed under our security profile

Roles • How do I get a role? • Some are automatically assigned to your GatorLink username • Your Department Security Administrator, DSA, can get the correct role approved and assigned to you for you to access links or pages for your work • Do not share your password with others Why is this important?

  25. Looking at My Roles To view your roles, click on My Account.

  26. Looking at My Roles Then click the My Roles link. You may use the menu on the left, or on the right!

  27. All your assigned roles will display with Role Name and Description of its access in myUFL! Looking at My Roles

  28. Exercise - Finding My Roles • Let’s try it! • Follow the steps on p.11 of your handout: • Open a browser • Enter the address for myUFL • Click on the Alert Notices • Login using your GatorLink username • Find your roles • Identify the function of a role

  36. myUFL’s Self-Service • Report time worked and/or vacation, sick, or other leave • View your benefits • View your paycheck – current and history– with leave balances • Revise your W-4 • View your employee profile • Check status of your UF travel and business expenses

  38. Navigation Notice you have two menus - links appear on the left and the right...click on Payroll and Compensation on either menu.

  39. The Home Page appears for the selected link with easy access to different functions.

  40. When clicking on a link, the pages that follow will be personalized with your information.

  41. Personalized Employee Data This page will display all of your own personalized employee data! That’s called real Self-Service!

  42. Personalized Employee Data Click on Benefits and view links that will display your personal employee information.

  48. Personalize It - Content The portal can be personalized for content. This page has the myUFL menu, and two pagelets, Staff News and UF News.

  49. Personalize It - Content To change the pagelets, click on the Content link.

  50. Personalize It - Content All available pagelets are listed for you to select - check the boxes of needed pagelets to select.
