Objective: To create a computerized tool that pharmacy managers can use to efficiently and effectively manage daily outpatient prescription verification workload. Using a Pivot Table to Help ManageDaily Outpatient Prescription Verification WorkloadDance Smith, PharmD, Frank Yunker, PharmD, MBAVA Puget Sound Health Care System • Methods: • Create Excel PivotTable • Obtain data from Pending Outpatient Orders file via FileMan sort/print template • Paste FileMan data into PivotTable • Update table • Review results • Number of pending orders > 2 days old • Identify type, location, and routing • Assess orders to prioritize verification • Distribute pending workload to point of care pharmacists • Right side of PivotTable used to log related metrics important to outpatient operations • Archive data for QA • Background: • VHA Handbook 1108.05 requires verification of routine mail prescriptions within 2 working days and reports to facility directors for backlogs > 7 days. • VistA Rx menu (PSO RX) provides the total number of unverified outpatient prescriptions. • The optional Order Summary breaks down the number of pending orders by institution (or clinic), number of patients, and route (Mail/Window/Administered in Clinic).  • No Vista report breaks down pending orders by length of time in pending. • No Vista report provides the data necessary to assess the significance of a verification delay. • Results : • Successfully utilized since 1996 • Consistently meet order verification target times.
