Layout of the Booth • Triple wide booth with room enough for banners, training sessions, online demos, etc. • Training area was useful for helping people outside of the scheduled training sessions. • Training monitor was set up for training and not used for information during non-training times. Layout: Lessons Learned • This arrangement kept us spread out and was more inviting to people to approach and learn more about PDS • Representation from many nodes was a benefit for directing and answering questions • Training area was useful for helping people outside of the scheduled training sessions • We conducted scheduled training sessions covering (T, W, Th) at one end of the booth including: Preparing a DMP Basic PDS4 intro materials Finding data in the PDS GIS and PDS PDS MC F2F, Las Cruces, NM

Layout: Lessons Learned (continued) • Screen and table area for training worked great for engaging people there for the training and for passers-by. • Non-training, informational video/slides should be shown during off-training times. • Training area was used by ‘off-duty’ PDS people, and would have to be ‘reclaimed’ for scheduled training events.   5. Training Approach • Nancy set up a training schedule based on the few number of sign-ups ahead of time. All scheduled sessions were on topics provided by the initial sign-up and based on availability of the trainers. • No NEW materials were prepared for the Training Sessions, except for minor tweaks to some of the intro materials (Joe) and the DMP Handout (Nancy). • Schedules were printed out and distributed for the planned training sessions. Schedules were posted on all information boards outside the conference rooms and at the PDS Booth at each of the tables. • Several people also dropped by the booth for one-on-one questions outside of the schedule training times. • Nancy set up a training survey for the attendees to fill out at the end of their training experience, which was used intermittently. Training: Lessons Learned • We are reaching people in positive ways with the BASIC training and one-on-one conversations at meetings. • Expertise (perceived or otherwise) is variable across nodes and lack of distinct best practices and completed examples for most base cases is hurting us. (Preparation of materials and comments from participants via survey) • People asked about finding data in the PDS (training and general visitors to booth) – Search and retrieval of desired data is of the utmost importance and the lack of a reliable universal search tool is frustrating to many users. (Focus on improving search in progress…) • Dictionary support with better descriptions of the process for using and creating dictionary and dictionary entries should be more transparent and easy to use.   18. Training: Lessons Learned (continued) • Scheduled training sessions were attended in the morning sessions and not as well-attended in the afternoon. Afternoon time slots may be better spent with scheduled appointments. (could be function of LPSC talk schedules or advertisement) • Earlier organization and better advertising in conference materials may help populate training sessions better. Timing of our planning needs to be earlier – perhaps easel-type advertisement posters? • Relying on individual nodes for training materials and not having coordinated efforts makes it difficult to provide consistent training experiences for providers and users. – Used past training materials because no new materials had been collated/produced. • Moving forward it would be nice to see coordination earlier and more consistently for what the PDS brand message is to be for all training materials and scheduled sessions.   19. Training: Future Efforts • Training Booth setup has been steadily improving. Larger booth offers more flexibility but training prep needs to be more efficient. • Community perceived worth of training is getting better as DMP requirements mature. • In order to continue to get better at this, more consistent materials, earlier, with consistent planning with trained trainers. • Suggests the need for a Training Coordinator - Familiar with PDS (at least basic functionality and procedures) - Leverages node expertise for training materials - Planning and scheduling trainers and training efforts earlier - Capture and maintain web-based versions of the training materials Push towards complete online tutorial/training system or webinar formats PDS MC F2F, Las Cruces, NM
