  4. Food Service Reminders EOY Processing – Reminder to change year • Time to Change Year to SY 13-14! Must be changed in Campus and POS system. • Instructions will be provided. New Mapping for Data Import of POS Meal Status • Campus update of FRAM module requires a new POS data import mapping for SY 13-14. • Follow the instructions provided with 2/11/13 KSIS Notification to create a new POS data import mapping. Posted on-line here.

  5. Safe Schools Extract Changes Coming Release E.1310 includes changes to the Safe Schools reports for compliance with KRS 158.444. Requirements aren’t new; however change is required for compliance. • Separates extract into sub-reports: • SS1: Assault or Violence • SS2: Possession of Guns or Deadly Weapons • SS3: Possession/Use or Distribution of a Controlled Substance • SS4: Bullying or Harassment • SS5: Resolutions of Suspension, Expulsion or Corporal Punishment not reported in SS1-SS4 • SS1-SS4 sub-reports produce records on events that include the specified law/board violation regardless of resolution. • Resolutions of INSR (In-School Removal) will now generate records on the extract. • All data is shared with Kentucky Center for School Safety (KCSS) and Office of Education Accountability (OEA) each year. • Safe Schools data will continue to be published each year in School Report Card. • Training and documentation will be available on the Safe Schools website by April 5th.   6. Kindergarten Readiness • Schools: • Administer the assessment. • Enter prior settings data into Infinite Campus. (Once the custom tab is available, 2012-13 data can be entered). • Enter assessment data into OMS within 30 calendar days of the 30th instructional day. Note – do not enter data on students not retained. • Improve data quality. Common errors include test dates out of screening window, improper entry of student first name/last name and duplicate SSIDs. • BRIGANCE: • Processes data from schools. • Provides data files to KDE. • KDE: • Loads BRIGANCE data to Infinite Campus. • Loads prior settings and BRIGANCE scores into CIITS

Data Standards - Reminder • Data Standards are available on-line here -or- search KDE website – keyword, “data standards.” • The standards are available in two formats - individual documents by topic or a single document that includes all topics. • The standards are updated when: • state/federal reporting requires change • data quality issues are identified • new functionality is added to Infinite Campus • A KSIS Notification is sent to districts when any major change is made to a standard. • Following the guidelines contained in these documents helps to ensure data quality, consistency and comparability across districts. • YOUR INPUT IS WELCOME!!!!!

Data Standards – What’s New • Enrollment Data Standard – March KSIS & More Newsletterprovided guidance on entering dual last names. • Grades Standard – End of Course (EOC) • Link to instructions on EOC Assessment set up for calculating final grade. • Works well for those that do post final grade, but not so well for those that post term grades. • Reminder – Districts that don’t include EOC as 20% of final grade are required to report that to the Commissioner of Education. • Teacher of Record – stress need to ensure teachers and students are properly aligned. Includes: • Elementary schedules • Contributing professionals • Long-term substitutes

Assessments Update • What’s New: • 2012-13 PLAN and EXPLORE assessments have been imported into IC and pushed down to districts. • Kindergarten Readiness and Self-Help/Social Emotional scores have been pushed down to districts. • 2011-12 Assessments Loaded – ACT, Explore, Plan, KPREP, EOC, CCR and Growth • 99.6% match on state assessments when importing into IC • Files for the .4% errors/mismatches will be sent to districtsto resolve errors.

  10. Data Quality • School Report Card - Expect data to have to be validated by August for 2012-13 card. • Health Condition flag cleanup needed for end-of-year reporting and grant submission. Reference 3/18 email sent by Cheri Meadows to DPPs and health coordinators. • A new state-published transportation code ad hoc was made available on 2/19 to assist districts in finding students with missing transportation codes. • A new Combine Person tool was made available in Campus to combine duplicate student records (documentation coming soon). • Selective Sync tool now available to sync one to multiple person or enrollment recordstoState Edition. See Campus Community for documentation on using this tool.
