  2. History of HKCAN Project January 1999 • Lingnan University initiated a collaborative project among HK academic libraries to perform Chinese name authority control • A workgroup was formed : Hong Kong Chinese Authority (Name) 香港中文名稱規範工作小組

  3. History of HKCAN Project September 2001 • HKCAN Project was recognized as a JULAC (Joint University Libraries Advisory Committee) project • Costs shared by members

  4. Objectives • Build a union Chinese name authority database for resource sharing purpose • Enhance efficiency and effectiveness in authority control among HK libraries • To accommodate CJK vernacular headings Jin, Yong, 1924- or 金庸，1924-

  5. Objectives • To develop Chinese and English headings to solve the problem of authors having bilingual publications Gao, Xingjian & 高行健 Cheung, Steven N. S. & 張五常

  6. Founding Members • Chinese University of Hong Kong (Database host institution) • Hong Kong Baptist University • Hong Kong Institute of Education • Hong Kong Polytechnic University • Lingnan University • University of Hong Kong City University of Hong Kong (Observer)

  7. Technical standards • AACR2-- Standard for creation of headings and references • MARC21 for Authority Data-- Creation of MARC records

  8. Record Structure 1999-2000 • Exploring a MARC tag to store equivalent heading double 1xx 880 19x (Chinese form in 1xx, LC or pinyin form in 19x)

  9. August 2000 • Adopted 7xx model with modification • Field tag clearly defined in MARC 21 Format for Authority Data • 1xx main heading-- Authorized Chinese form • 7xx equivalent heading (repeatable)-- English form / pinyin form

  16. Progress of the Database January 2001 • Members started to submit records to the Database • Chinese University of Hong Kong and Hong Kong Baptist University records loaded to the Database September 2001 • Hong Kong Polytechnic University records loaded

  17. November 2001 • Hong Kong Institute of Education records loaded January 2002 • City University of Hong Kong records loaded De-duplication • September 2001 : guidelines prepared • 2002 : de-duplication completed

  18. Statistics (as of 12 September 2002) • Personal name : 71,500 records • Corporate name : 13,166 records • Meeting name : 962 records • Series/Uniform title : 16,696 records Total : 102,324 records

  20. Library System Vendors • Some vendors support other tags e.g. MultiLIS system in Canada August 2001 • Innovative agreed to support 7xx model • 7xx indexed and searchable on OPAC • Redirections for Equivalent headings

  24. Co-operation with China/Taiwan With Taiwan in November 1999 • Software and data exchange agreement With China in June 2000 • HKCAN Workgroup acquired data file of authority records from National Library of China • Records in CN MARC format • Data mounted on the test site

  25. Summary • CJK Enhanced records benefit both users and cataloguers • Bilingual publications of Chinese authors can be accommodated within one name authority record

  26. Summary • Names with same pinyin can be differentiated easily Wen, Jun  文均 Wen, Jun  文軍 • Labor intensive, but cost and time will be justified in the long run because the quality of cataloguing is improved

  27. Future Development • Building a dynamic database • member libraries contribute new records and update existing records • Building a noise-free database • maintain the standard of name authority records • eliminate inconsistency among member libraries

  28. Resource sharing • build up data and MARC format suitable for the exchange and sharing among HK and overseas libraries • recruit new members in the future • More future collaboration • Has provided a good foundation for further cooperation • Become a discussion forum for Hong Kong cataloguers and take joint action if necessary
