Functional Team Activities • Phase 1 Fit/Gap finalized • First round of testing of PeopleSoft HCM 9.0 completed • 88 tests completed for HR, Benefits, Payroll • All Passed except 1, which was an Oracle issue • Contacting external vendors about potential changes with data interfaces • Department solicitations for: • Location data for new PS HCM 9.0 system • PS Queries that you use

Phase 1 Business Functionality Position Management Manage & maintain position attributes, funding and approvals online Workforce Administration Employee Management (Hires, Promotions, Terminations, LOA, etc.) Recruitment Integrated PeopleSoft/JobAps solution Benefits Administration Enrollment, Financial Reporting, Changes, vendor interfaces, etc Payroll Full GEAC Replacement including Financial Systems interfaces Time & Labor pass-through Absence Management “lite” (Sick, Vacation & Floater holidays) 3

Potential Changes Throughout the Project Process changes that will be transparent to most employees Relatively little change to HR personnel in terms of job content Increased access at the local level to run reports, input data, etc. Manager and Employee Direct Access Time Entry Processes will change as we go online in Phase 2 5

Time & Labor and Absence Management • Phase 2 Fit/Gap nearly completed • Reviewed all MOUs, Civil Service Rules, etc • Talked with departments to validate findings • Working on finalizing the scope for Phase 2 • Participating in Phase 1 testing to test the time & attendance pass-through functions • Design and basic configuration is beginning

Change Management Activities • Held 5 three-hour Change Management Training sessions – trained 74 Change Leaders and Champions (out of 126) • Collecting Training Stakeholder data from every department • Planning for Brown Bag sessions • Show PeopleSoft 9.0 using UPK (User Productivity Kit) • Learn how to get around the system, before training

How To Get/Stay Involved Participate in the following Project activities: Business Process Design workshops Workshops designed to educate departments on the new HR business processes the system will support User Acceptance Testing (UAT) Users schedule time to test various aspects of the new system and provide feedback to the project UAT opportunities will be based on specific modules Will be scheduled throughout the project Attend Brown Bag sessions Opportunities to see the system and learn how to get around Essential pre-training activity To participate in these activities, contact ChangeTeam.emerge@sfgov.org 11
