  5. HSGQE Retest Test Window Test Window: October 1-3, 2013. The three subtests must be administered in this order: October 1 – Reading October 2 – Writing October 3 – Mathematics

  6. What if… Our district has not received transcripts for a student who transferred into our district and we are unsure which HSGQE subtests he/she needs to pass?

  7. Then… Contact Kari Quinto or May Palomo at EED to request HSGQE results for student(s). NOTE: Results provided by EED are not official. Official scores can be obtained from student transcripts.

  8. HSGQE Retest Participation • Enrolled grade 11 or 12 students who failed to pass all subtests of the HSGQE in previous administrations, • Enrolled grade 11 or 12 students who have never taken the HSGQE, or • Returning adults with Certificates of Achievement. Note: a returning person with a Certificate of Achievement should be tested in your district’s “Adult School.” District/School Labels from School ##9999 are to be used for returning adults only.

  9. Secure Test Centers • All schools are secure testing centers • Alternate Test Centers (ATC) must be approved by EED in advance • Requirements for ATCs (4AAC 06.755) http://education.alaska.gov/tls/assessment/ATCs/ATCSearch.cfm Check for existing sites Apply for site approval

  13. Verifying Box Count Confirm the total number of district and school boxes received. Delivery Verification Form Fax or Email to DRC

  15. HSGQE Retest Form I HSGQE Retest Fall Form 1 • Districts will receive packs of 10. • Reading, Writing, and Math all in one test book.

District Overage Boxes • Contents: • Administrative Labels Packet • School Box Range Sheet • District and school packing lists • Return Materials Instruction Packet • Manuals (DTCM and TAD) • Overage • Secure the Return Materials Instruction Packet for later reference. • Find the School Packing Lists. This is your record of materials for each site. District Materials enclosed DTCs are responsible for the security of all materials listed on the School Box Range Sheet.

  17. Determine DTC & ATC Responsibilities

Inventory Contents of Boxes • Box 1 for contains : • School Packing List • School Security Checklist • Use packing list to inventory materials in each box. • Compare security checklists against ranges of security numbers on security range sheets (enclosed in shrink-wrapped bundles). • Count spines enclosed in shrink wrapped bundles.

  19. What if… • materials have rips, folds, creases, or any kind of printing irregularity? • there are only 9 books in a shrink wrapped bundle? • boxes are missing? • boxes are received that should have been delivered to another school? • materials are received that are not on my list?

  22. What if… I don’t have enough test materials? • Test books • Test Administration Directions

  23. Then… Complete a Secure Materials Transfer Form and email/fax it to the Alaska Project Team. Keep the form for your records. • Use district overage materials first to cover shortages at schools. • If necessary, extra materials may be transferred between schools. • For security reasons, keep DRC aware of all materials transfers – Email or Fax Secure Materials Transfer Form (located in your DTCM).

  24. What if… After using district overage and transferring materials from school(s), I still don’t have enough test materials?!

  25. Then… If there is not enough district overage or more school-specific materials are needed, complete and email/fax the Additional Materials Request Form to DRC. LAST DAY TO ORDER ADDITIONAL MATERIALS: September 19, 2013 Procedures can be found in your DTCM

  26. 4. Check Accommodated Quantities Materials for students receiving accommodations were ordered through eDIRECT’s Enrollment System. • Large Print • Braille • Audio CDs • DVDs Verify your roster of all students with disabilities and English language learners scheduled to test.

Accommodated Materials • Large Print: per subject • Braille: per subject • Audio CD • Reading, Writing, and Math • Sign Language DVD • Reading, Writing, and Math All students’ responses to accommodated materials require transcription into a Form I standard test book (procedures for transcription are in the Test Administration Directions).

  28. Important Note: Audio CDs If a student requires a read aloud accommodation in the form of audio CDs, note that the reading assessment requires 2 Audio CDs: x 2 Ensure both discs are provided to students during testing.

  29. Labels • Precode • District/School • Do Not Score • Shipping

  30. 1. Student Precode Labels • A precode label is created as a result of the file submitted to DRC’s eDIRECT Precode system in July. • The precode label saves test administrators and proctors time and eliminates errors caused by hand-bubbling. • If a precode label is used, the bubbles on the front cover of the test remain blank.

  31. Verify Precode Labels for Accuracy The DTC or ATC(s) must compare precode labels against student demographic information in the district enrollment system and guarantee that there are labels for all students who need to test.   32. What if… a student with a precode label also bubbles in his/her name on the front of the test book?

  33. Then… Don’t worry! The student precode label will override all bubbled information.

  34. What if… • student information is incorrect on the precode label? • I have new students who enrolled after the precodewindow and need to test? • the precode label is torn? • label is positioned incorrectly on test book?

  35. Then… When a precode label does not exist for a student, is incorrect, damaged, or placed incorrectly, a district/school label can be used in place of a precode label.

  36. 2. District/School Labels The label assigns the student to the correct district and school for reporting purposes. When a district/school label is applied, all student demographic information must be bubbled on the test book.

  37. What if… one of my schools runs out of district/school labels?

  38. Then… More can be ordered using: Additional Materials Request Form

  39. Labels Yellow labels are to be used only for HSGQE Retest Test Books. Precode Label District/School Label

  40. Subtests • The HSGQE Retest precode label includes the HSGQE subtests to be taken. • If only the subtest(s) listed are inaccurate, the label may still be used – this will not impact data collection.

  41. IMPORTANT! • Every test book to be scored needs a label, whether it is a precode label or a district school label. • Test books returned without a label will be considered unused and WILL NOT BE SCORED. Precode Label or District/School Label

  42. 3. Do Not Score Labels Do Not Score labels should only be used under specific circumstances. • A label is not positioned correctly on the test book (redo with another test book and district/school label). • An inappropriate label was placed on the test book (may need to transcribe student answers).

  43. Do Not Score Labels (cont.) • A precode label was placed on the test book, but the student did not show up for testing and there is not a bubble correctly marked in the “Teacher Use Only” Box. • Test book with a precode label for a student who moved.

  44. Do Not Score Labels (cont.) When notto use a Do Not Score label: • A student is absent • Unused, unlabeled test books • If any bubbles are correctly filled in the “Teacher Use Only” box

  45. What if… a Do Not Score label is inappropriately applied to a test book?

  47. Your Decision – Keep Do Not Score Labels? Remove Do Not Score labels from boxes and keep secure at district office – or – Keep in box 1 of school materials. Provide explicit instructions for their use.

  48. Bubbling Testing staff will need to fill in bubbles in the following circumstances: • When using a district/school label • As defined by the “Teacher Use Only” box

  49. Bubbling: District School Label When a district/school label is used, student demographic information must be bubbled.

  50. Bubbling: Teacher Use Only Box The Teacher Use Only box (located on the front cover of the test book) documents specific testing situations and accommodations.
