LICENCE AGREEMENTS • Formal Agreement between Club & Council • Terms & renewals • Supported by policies • Breaches to Agreement • Essential terms are clauses • 3.1, 3.2, 3.3 – Payments by the Club, 4 – GST, 7.1 – Cleaning & repairs, 8.1 – Insurance, 9.1 – Permitted Use, 15.1 – Assignment, 16.1 – Club’s obligations at end of lease

CLUB TENANCY Council allocated months • March & September • Ground maintenance • Allocation of finals • Pre-season training Tenancy Periods • 5 month tenancy • Summer – October to February • Winter – April to August • Times & days as per annual tenancy requirements Co-tenancy • Use facilities to optimum capacity • Sustainable usage of reserves • Issue for Clubs – sharing facilities, utilities, security, storage, seasonal changeover School Bookings • Before 4:00pm weekdays • Council support of junior sport • Liaison with Horticultural Services & Clubs as required. • Access to pavilion facilities

  5. CLUB OPERATIONS SEASONAL CHANGEOVER • Association finals & pre-season allocations. • Ground changeover • Pavilion inspections. • Key allocation. • Liaison between tenant Clubs. • Ground maintenance.

  6. COUNCIL Repair of external broken windows Roofing Electrical wiring Plumbing fixtures & drainage Fixed kitchen equipment. Removal of external graffiti Hot water systems Cyclical painting Structural maintenance Servicing Emergency Equipment General rubbish disposal CLUB Security systems/Alarms Air conditioning Dishwashers Industrial ovens Telephone PA systems Pest/vermin control General cleaning internal & external Hard waste disposal PAVILION MAINTENANCE

TENANCY REQUIREMENTS ANNUAL REQUIRMENTS Current documents submitted to Council each year • Public Liability Insurance • Liquor Licence details • AGM Report • Competition fixtures • Team Details • Incorporation Stamp or certificate • Emergency Management Plan • Food Registration • Club contact details

  8. OTHER RELEVANT POLICIES & GUIDELINES • Alcohol Guidelines for Clubs • Food Registration • Noise • Good Neighbour Guidelines • Signage • Smoking • Permitted use/Sub-letting • Turf Grounds

  9. FEES & CHARGES • New fees & charges ratified by Council each year in June. • Usually up to 4% increase each year - CPI. • Reserves & pavilions are graded. • Fees based on usage of pavilion & reserve per team. • U 13 teams nominal fee • Importance of providing accurate team details each season. • Invoicing procedure.
