Common Problems Regarding Technical Report Literature • Common problems: • Inconsistent or differing dissemination practices • Limited bibliographic access and control • Multi-format collections; across multiple physical locations • Poor quality media distribution; unusable pieces • No title level cataloging – series level records with no holdings • Most not available electronically; nor available through ILL

TRAIL Timeline 2006 – GWLA endorses strategic action; 1st TRAIL Meeting 2007 – Pilot collection launched at the University of Hawaii; TRAIL partners with the University of Michigan & Google; TRAIL establishes processes with OCLC 2008– Redesigned processes and workflows for higher volumes of content; began scanning content with Google with deposit in HathiTrust; modified scanning processes with Google 2009 – Established digital archive at the University of North Texas for non- Google scanned materials; transferred materials to UNT 2010 – Launched as part of the Global Resources Network at CRL 2011 – YOU help design what’s next!

Technical Reports and Archive Image Library (TRAIL) TRAIL’s Mission • Finding, collecting, cataloging, and digitizing pre-1975 federal technical reports on the verge of disappearance • TRAIL indentifies technical report series as candidates for digitization by: • reviewing “Appendix B: Federal Executive Agencies Terminated, Transferred, or Changed in Name Subsequent to March 4, 1933” from the United States Government Manual • using tools such as the Guide to U.S. Government Publications • CRL TRAIL public site http://www.crl.edu/grn/trail "Equipment for testing safety devices of electric miner’s lamp in explosive mixture of gas and air." 6. Collections are assembled & organized at institutions across the country before being transported to the Univ. of Arizona.

7. Collections processed at the Univ. of Arizona are transported to either the Univ. of Michigan or the Univ. of North Texas for digitizing.

10. Collections WG Engineering Librarians • Focus on the technical content • Search for series/resources we have used and are used by researchers Government Document Librarians • Know the organization of government resources • Have control of collections • Know the people at the agencies

11. Responsibilities of Collections WG • Develop and maintain lists of possible content • Investigate series, collections, and agencies • Determine digitization priorities • Solicit content • Organize shipments • Review series digitized for completeness

12. Collections WG Each series reviewed must be researched for: • Technical content • Physical features • Format • Size • Publication parameters • When • How much • Publication list? • Agency information • Currently active? • Currently digitizing older materials?

Everybody can help • Identify new content for the project (at PUL or not) • Monitor the needs lists on the TRAIL site and identify materials in our collections to digitize - save shelf space • Review the TRAIL priorities and provide feedback • Check TRAIL content availability for RECAP/withdraw decisions

14. Processing WG: Current Work/Responsibilities Receive and prepare all materials for scanning • Sort special handling materials • Disbind volumes when necessary • Flag items for scanning • Barcode all items (for scanning with Google) Provide inventories of all received materials • Provide overall inventory • Provide inventory at box level (for scanning) Provide original full MARC (i-level) cataloging for items • Update pre-existing records • Record OCLC numbers for all items • http://www.oclc.org/worldcatsets/sets/default.htm
