  3. Agenda: Explain the Chai Match 2 requirements in greater detail. Introduce you to, and train you on the Chai Match 2 forms that must be completed and submitted to JCamp 180 to receive matching funds. Questions and discussion
  4. Follow-up: Find today’s information on JCamp180.org Our website also contains the Chai Match 2 documents shown in this webinar
  5. Funding Process Our pledge / gift reporting requirements are stringent and (by some first time participants) considered involved, convoluted or rigorous. Nothing could be further from the truth!
  6. How do we fund Gants? Funds are RESERVED based on pledges that meet the program requirements Dollars are FUNDED To the phase 1 pool based on payments of phase 1 pledges that meet the minimum required gift level of $9,000 and to the phase 2 pool based on payments of phase 2 pledges that meet the minimum required gift level of $1,800 Dollars are RELEASED based on phase 2 payments of $1,800 or more
  7. Phase 1 Pledges Payments Payment of the pledge MUST be received in full by the camp by March 18, 2014. Phase 1 payment verification documentation must be submitted to JCamp 180 (within 30 days but no later than 3/18/14). Timing Pledges must be dated after November 3, 2012 and before October 18, 2013. A phase 1 pledge Donor Information Form document must be submitted (for each gift) by October 18, 2013
  8. Phase 1 GiftAdditional Information Program OverviewPhase 1 Gifts: Phase 1 pledges must be paid to the minimum level of $9000 before the JCamp 180 matching contribution is funded We pay on proof of payment, not on proof of pledge Plan for unpaid pledges If a phase 1 pledge is not paid due to unforeseen circumstances, you cannot go back and replace a phase 1 pledge after October 18, 2013. You should consider submitting more than the phase 1 goal in fulfillment of phase 1 pledges. JCamp 180 will allocate “excess” phase 1 pledge payments to phase 2 to maximize your program qualification.
  9. Phase 1 Pledge and Gift Reporting Program OverviewPhase 1 Gifts: For EACH phase 1 pledge (or gift if payment is made in full) you must complete and submit to JCamp 180 a Phase 1 pledge Donor Information Form A donor information form must be submitted for all phase 1 pledges by October 18, 2013 Include the completed Participant Information Form the FIRST time you submit a phase 1 Donor Information Form. Periodically, but no later than March 18, 2014, submit a Chai Match 2 Payment Reporting Form with phase 1 pledge payments recorded Important Phase 1 Dates: Pledges must be dated AFTER 11/3/2012 Pledges must be dated BEFORE 10/18/2013 Pledges must be paid BEFORE 3/18/2014 (a minimum of $9,000 must be paid before we begin to match phase 1 pledges)
  10. Phase 2 Pledges Timing Phase 2 pledges must be dated after November 3, 2012 and before March 18, 2014 (a year from now) A phase 2 pledge Donor Information Form document must be submitted within 60 days of the pledge. Payments One-third of the pledge MUST BE paid within 60 days of the pledge. The balance of the pledge must be paid by September 18, 2016 Phase 2 payment verification documentation must be submitted to JCamp 180 (within 30 days of payment but no later than 9/18/16).
  11. Phase 2 GiftAdditional Information Plan for unpaid pledges If a phase 2 pledge is not paid due to unforeseen circumstances, you cannot go back and replace a phase 2 pledges after March 18, 2014. You should consider submitting more than the phase 2 goal minimum dollar value of pledges. Phase 2 pledges must be paid to the minimum level of $1800 before we release JCamp 180 matching funds We pay on proof of payment, not on proof of pledge Although you have until 3/18/2014 to submit phase 2 pledge information and two additional years to submit proof of payment of the last 2/3 of the pledge, we encourage you to submit documentation in a timely manner and on a regular schedule. JCamp 180 makes quarterly payments against matching grant commitments.
  12. Phase 2 Pledge and Gift Reporting Program OverviewPhase 1 Gifts: For EACH phase 2 pledge (or gift if payment is made in full) you must complete and submit to JCamp 180 a phase 2 pledge Donor Information Form A donor information form must be submitted for all phase 2 pledges by March 18, 2014 (No additional pledges can be reported after 3/18/14) Periodically, submit a Chai Match 2 Payment Reporting Form that shows phase 2 pledge payments received since the prior report. Important Phase 2 Dates: Pledges must be dated AFTER 11/3/2012 Pledges must be dated BEFORE 3/18/2014 Pledges must be paid BEFORE 9/18/2016 (a minimum of $1,800 must be paid before we begin to match phase 2 pledges)
  13. More on Submissions JCamp 180 requires proof of payment in order to provide matching grant payments. Proof of payments to the camp is accomplished by forwarding a copy of the payment document received by the camp. A proof of payment is: A copy of the check before it is deposited (feel free to redact check routing numbers) A copy of your credit card receivables statement A copy of a bank EFT transfer documentation Others as may be appropriate that show: Name of payee (camp) and donor Amount of the gift Date of the gift
  14. ExamplePhase 1 Phase 1 pledge made in the amount of $60,000 Payment schedule of $5,000 per month for 12 months JCamp 180 reserves $54,000 (triple Chai) at the time the pledge is communicated to us After the 2nd payment (total now $10,000) JCamp 180 allots $10,000 to the phase 1 match pool. Upon each subsequent payment of $5,000, JCamp 180 deposits an additional $5,000 into the phase 1 match pool to a maximum of $54,000 If no payments are received other than the first $5,000 payment, no JCamp 180 funds are available. If payments are delayed or deferred so only $25,000 is received by March 18, 2014, JCamp 180 matching funds are limited to $25,000 Payments in excess of the original pledge will not be matched by JCamp 180funds.
  15. ExamplePhase 2 Phase 2 pledge is made in the amount of $5,000 Payment schedule might be: $500 at time of pledge $500 in 30 days $667 in 59 days (to meet minimum requirement of 1/3 of pledge being paid within 60 days). Balance of $3,333 paid in $500 installments until paid off JCamp 180 payments from the matching pool are released when the sum of the phase 2 payments reported to us for this pledge meets or exceeds $1,800 In this case, after the 4th payment ($500), the total paid would be $2167. At that time, JCamp 180 releases our share of the 1:3 match or $361.17. The camp already has its share of the matching pool funds.
  16. ExamplePhase 2 If no payments are received other than the first $500 payment, no JCamp 180 funds are released. If 1/3 of the pledge is not paid within 60 days, JCamp 180 funds reserved for matching this gift will be forfeited. If the sum of the payments for this pledge never exceed $1800, there are no JCamp 180 funds released. If payments are delayed or deferred so only $2,667 is received by September 18, 2016, JCamp 180matching funds are limited to 1/6 of $2,667 or $444.50 If payments against this pledge EXCEED $5,000 JCamp 180 does not reserve, fund, or release dollars greater than the $833.33 originally reserved to be paid against this pledge.
  17. Other Considerations All gifts must be cash or cash equivalent Cash or stocks Land, art, other property, in-kind contributions are not eligible for matching funds JCamp 180 does not match contributions in excess of submitted pledges.
  18. Notifications It is our intent to send out notification prior to each important deadline Notification by e-mail Sent to two people at each participating camp Generic, not specific to your camp Will include a reminder of the upcoming deadline Will include contact information at JCamp 180 There will be only one reminder sent for each deadline Please be sure we have up-to-date contact information Let us know of changes in contact over life of the program
  19. For our Canadian Participants All payments by JCamp 180 are in US Dollars Program dollar minimums and maximums are the same in Canadian dollars as USA dollars Canadian $9,000 is Phase 1 minimum, Canadian $1,800 is phase 2 minimum Single chai is $18,000 Canadian, double chai is $36,000 Canadian and triple chai is $54,000 Canadian Pledges should be communicated to us in the currency in which they are made JCamp 180 will adjust the pledge and payment amounts to account for parity between US and Canadian currency based on the date that pledge are paid and payments are made. Payments from JCamp 180 are limited to the US dollar maximum and are paid through our standard payment channels.
  20. Questions: Yes, but it isn’t the intent of the grant. We are looking for Camps who will use the campaign to reach out to more Alumni and camp supporters and increase the base of philanthropic support for camp. To encourage phase 2 outreach, a bonus will be given to the camp with the most phase 2 donors. Here are two examples: If you solicit and receive four gifts of $25,000, all four should be reported as Phase 1 gifts if they are intended to be paid by 3/18/14. If any are not paid in full within that time the others (with payments of at least $9000) will assure that the phase 1 pool from JCamp 180 is maximized. The payments in excess of $54,000 and any payments received after 3/18/14 but before 9/18/16 will be counted toward phase 2 gifts. Alternatively, If you solicit and receive pledges that total $75,000 in phase 1. JCamp 180 will only match the first $54,000. The other $21,000 will be considered phase 2 gifts. However, at least $54,000 in payments against these pledges must meet phase 1 requirements. Can a few major donors fulfill Phase1 and Phase 2 and finish the whole campaign quickly? What do you mean by encouraging participants to plan for unpaid pledges? How will excess phase 1 payments be carried over to phase 2?
