  2. QUESTION PAPER DISTRIBUTION NETWORK MSBTE , MUMBAI (SOURCE) RBTE MUMBAI PUNE AURANGABAD NAGPUR DISTRIBUTION CENTRES (DC) EXAMINATION CENTRES (EC)

  3. Preparations needed at Institute Each institute should identify the question paper codes needed for examination. Sources for working the question paper codes needed are; Date wise examination time table for the institute. Report of examination forms confirmed at institute level. Corrected seating chart at the institute. Study of institute wise question paper inventory.

Preparation at examination centre • Check the attached centre’s time table. • Compare the question paper requirement submitted by attached centre with the question paper inventory for the EC. • Report at the earliest any shorts to concerned distribution centre. • Send a copy of report to concerned RBTE.

  8. Preparation at the distribution centre • Check the inventory requirement submitted by examination centre and attached centre. • Hold a meeting of connected examination centres before receiving the question paper stock from RBTE. • Report to concerned RBTE about the additional requirements and urgent needs.

  9. Sequence of question paper distribution activity Msbte receives the printed question papers from security press Msbte carries out the inward inspection and stores the question papers at the strong room RBTEs Visit the strong room at msbte and receive question papers needed for the region, segregate it distribution centrewise and store at the strong room itself RBTEs Hold meeting of DCs To assess any additional requriements after the DCs Carry out analysis of the question paper inventory in consultation with ECs And attached centres RBTEs Receive the stock of question papers from MSBTE Along with additional requirements communicated just a few days before commencement of examination and distribute the same to DCs. The ECS get question papers on the day of examination through DC.

  10. MEETING NEED FOR QUESTION PAPERS AFTER RECEIVING THE STOCK AT DC DC Has to communicate the need to RBTE. RBTE Communicates the need to D 42 At MSBTE. MSBTE Arranges to send the needed question paper to the required location through RBTE. EC OR DC Have to route their request through the concerned RBTE.

  11. MEETING URGENT NEED FOR QUESTION PAPER AT THE EXAMINATION CENTRE Don't panic. Don't send the students reported for examination back by saying question papers are not received. Don't do any thing which puts the students under any sort of pressure. Contact the DC / RBTE / D 42 at MSBTE Immediately. Keep communication modes like fax / internet ready for receiving the information. The request will be handled witout fail and all necessary instructions to solve the problem will be issued.

  12. HANDLING SHORTAGE OF QUESTION PAPER DUE TO MISCOUNT, BLANKS, DAMAGED PAPERS IN THE PACKET • Contact the concerned RBTE and act according to the directives received. • Report the entire case along with the steps taken as per RBTEs directives in writing to the secretary MSBTE. • Don’t take any action voluntarily without informing the concerned RBTE.

  13. HANDLING SITUATION WHERE WRONG QUESTION PAPER PACKET IS OPENED Such situation arises when the examination team is not attentive to the changes in examination time table. If the question paper packet opened is not for the scheduled slot on the scheduled date as per time table, immediately inform (Verbally as well as in writing) the matter to concerned RBTE. Send a copy of the written communication sent to RBTE to MSBTE through FAX or through e_mail.

HANDLING SITUATION WHERE WRONG QUESTION PAPER EMERGES WHEN SEALED PACKET OF DESIGNATED QUESTION PAPER FOR THE EXAMINATION SLOT IS OPENED. • Such a situation arises due to error on printer’s side. • If the question emerging from the sealed packet is not for the scheduled slot on the scheduled date as per time table, immediately inform (Verbally as well as in writing) the matter to concerned RBTE. • Send a copy of the written communication sent to RBTE to MSBTE through FAX or through e_mail.

  15. HANDLING THE SITUATION WHERE STUDENTS COMPLAIN ABOUT MISSING DATA IN QUESTION PAPER OR ABOUT QUESTION BEING BEYOND THE SCOPE OF SYLLABUS. Ask the students to continue their writing work. Take the opinion of subject expert at the examination centre / institute. If the subject experts feels that data is short, question is out of syllabus, take their opinion in writing. Take a written complaint from the students after the examination and inform them that the matter is being referred to MSBTE for further necessary action. Don’t speculate the possible outcome to the complaint before the students. Forward the students complaint along with the expert’s opinion to D 42 at MSBTE through chief officer in charge of examinations / Principal at the institute
