  1. GIL Express Best Practices GUGM 2012 Mollie Armour, Daron Mitchell, Viki Timian University of Georgia Libraries

  2. How can I check to see if a patron has outstanding GIL Express obligations?

  3. Patron Information Report

  4. UBList Question: • Why are some GIL Express books due at certain times during the day instead of midnight?

  5. Unfortunately, patrons cannot view the due date time from their My Accounts. • For this reason it is important to encourage patrons to renew their books the day BEFORE they are due.

  6. What does the Patron Information Report look like when a patron has returned their lost system-applied GIL Express book?

  7. What does the Patron Information Report look like when a patron has NOT returned their lost system-applied GIL Express book?

  8. Tips for smooth GIL Express transactions

  9. Mark missing no-fill requests so that they cannot be immediately re-requested. After 3 searches, UGA marks no-fills as ‘Missing’. About a week later, we will remove the “Missing” status.

  10. Discharging lost system-applied GIL Express books Returning Library: • Item has to be discharged to be put “In Transit” to Holding Library. • Lost status should not be removed.

  11. Discharging lost system-applied GIL Express books Holding Library: • Discharge item to remove “In Transit” and “Lost” statuses then forgive Lost Book Fees

  12. Discharge GIL Express holds as soon as they expire. • Once a GIL Express “hold” expires, it has the status of “Not Charged” • Books must be discharged to put them “In Transit.” • Otherwise another patron can request them through GIL Express before they return to the Owning Library.

  13. CallSlip Preferences

  14. Default settings

  15. Correct Setup

  16. GIL Express Oddities • Phantom Charges • Cluster Error • No title information on patron account

  17. UBList Question: • Renewing overdue GIL Express books: When is it appropriate? • UB policies / Local practices

  18. Are staff overrides ever allowed? • Policy: In general, no. Overrides are never allowed when dealing with other libraries' material or patrons when the override concerns a delinquency. Until other options can be found, and according to local policy, overrides may be acceptable when dealing with material on Course Reserve. http://gilexpress.usg.edu/staff/gepolicies.html#limits

  19. Can GIL Express items be renewed? • Policy: Two renewals are allowed. Each renewal is also for 28 days as long as the patron remains eligible and the item is not recalled through the local catalog. Self-renewals are allowed. Staff overrides of the two-renewal limit are not allowed. The item must be returned to the Holding Library and the patron must request the item again This proves to be especially fair if the item is owned by multiple libraries.
