  1. INTRODUCTION TO AUXDATA #3 Useful Reports Training Management Report

  2. PDF Reader In order to view AUXDATA reports, you must have a pdf reader program installed on your computer. Adobe’s Acrobat Reader is the most popular program, and its free. There are many other free programs available as well. To get the latest release of Adobe Acrobat Reader, visit www.adobe.com Click on the Adobe Reader download link. Click to download For security reasons, it is important to keep these programs up-to-date with the latest releases.

  3. PDF Reader As with any program you download from the internet, check the page to see if any other software is selected to download and install with your program. In this case, you might want to uncheck the box for McAfee Security Scan Plus software. Click the “Download Now” button to start the download and installation, then follow the on screen instructions. Uncheck Click “Download Now”

  4. If you have not completed all the steps in the presentation “Introduction to AUXDATA #1 – How to access AUXDATA”, go back and complete the steps. Otherwise, continue with this presentation.

  5. AUXDATA Main Menu There are several reports available from AUXDATA that should be run monthly and made available to the Flotilla Commander, FSO-MT and all flotilla members. Click on the “Training” button to access these reports. Click Training

  6. Training Management Tool Click the “Reports” tab to access reports. Click Reports

  7. Training Management Reports Reports are available for an individual member or the flotilla. The Training Management report is available for the entire flotilla only. One of the most useful reports is the “Training Management Report”. Click “Training Management” to access this report. Click to access

  8. Training Management Reports Select your flotilla from the pull down list (if necessary). To get current information, Leave “Date in Cycle”, “Task” and “Report Format” at their default values and click “Submit” Change the date to end of previous year to help determine reasons for REYR status. Click Submit

  9. Training Management Reports The Training Management Report will now load in your browser window. If it doesn’t pop-up, check the following: • Often times the reports loads, but is “hidden” behind the AUXDATA screen. Check the taskbar at the bottom of your screen, and click on your browser. This should bring the reports in front of the AUXDATA screen. • Are Pop-up blockers turned on? • See slides later in this presentation on how to turn off pop-up blockers. • Do you have firewall blocking the reports? • Check to see if your Anti-virus program is blocking the report.

  10. Training Management Reports This report shows the status of all members by competency. For qualifications, it lists hours completed, exams given or program visits completed. It’s color coding allows you to see the status of a competency. A key for the color coding is at the bottom of each report. If a members name is highlighted in blue, that member is in REYR status for that qualification. If a members name is highlighted in pink, that member is in REWK status for that qualification. • Green is Good, this means a member is current for the task. • Gold is a warning that the member is current for the task, but is within 3-6 months of expiration. • Yellow is a stronger warning, the member is still current for the task, but is within 2 months of expiration • Red indicates that a member is expired or overdue for the task. • Teal indicates that the member has taken the 8 hour TCT course within the last 12 months, and therefore does not need the 1 hour TCT refresher.

  11. Training Management Report All Training Management Reports (TMR) are formatted the same way. They are sorted by competency, then the tasks required to maintain that competency are listed, along with the frequency requirement for the task. Competency Tasks Frequency Completion The completion date lists when the task was last completed – not when the task is due.

  12. TMR - Coxswain Note: Coxswain and Pilot reports are two pages. • A quick glance at this report shows the following: • One Coxswain in REYR status (name highlighted in blue). A closer look shows that the REYR status is most likely due to missing 1hr TCT refresher, and lack of ICS 210 course. • Two Coxswains who are due for the 8 hour TCT course (dates highlighted in gold and yellow) • One Coxswain due for the 5 year NavRules exam (date highlighted in gold) • Two Coxswains that need additional time on the water to remain qualified (one has only 6.6 hours and one has 4.6 hours, a total of 12 hours are required to remain qualified).

  13. TMR – Boat Crew • A quick glance at this report shows the following: • Two Crew Members in REYR status (name highlighted in blue). A closer look shows that the REYR status is most likely due to missing the 3 year QE Approval • Two Crew Members who are due for the 3 year QE Approval (dates highlighted in gold and yellow) • Two Crew Members that need additional time on the water to remain qualified (one has only 2.1 hours and one has 6.8 hours, a total of 12 hours are required to remain qualified).

  14. TMR - Pilot Note: Coxswain and Pilot reports are two pages. • A quick glance at this report shows the following: • One Pilot in REYR status (name highlighted in blue). A closer look shows that the REYR status is most likely due to missing Biannual Flight Check, lack of ANSC 7015, and lack of ICS 210. • One Pilot who is due for the Biannual Flight Checks(dates highlighted in gold). • Also, flags should be raised as to why for two pilots the Aviation Spatial Disorientation CRM Training or the ICS 210 show no dates of completion.

  15. TMR - Instructor This report for instructors shows the number of hours taught by each instructor in addition to the date the Instructor Qualification Course was completed. The hours taught are listed as lead (L) and non-lead (NL) hours. • A quick glance at this report shows the following: • Three instructors in REYR status (names highlighted in blue) • One instructor in need of hours to remain qualified (either 2 Lead hours or 4 non-lead hours are required).

  16. TMR – RBS Visitor This report for Recreational Boating Safety Visitors shows the number of visits, in addition to the date the RBS Qualification Course was completed. • A quick glance at this report shows the following: • Two RBS Visitors in REYR status (names highlighted in blue). • One RBS Visitor in need of visits to remain qualified (a total of 4 visits are required).

  17. TMR – Vessel Examiner This report for Vessel Examiners show the number of exams, in addition to the date the Vessel Examiner Qualification Course was completed. • A quick glance at this report shows the following: • Five Vessel Examiners in REYR status (names highlighted in blue). • Four Vessel Examiners in need of exams to remain qualified (a total of 5 exams are required).

  18. Reports – Special Instructions VERY IMPORTANT!! If you are experiencing problems with the reports loading properly, pop-up blockers must either be turned off or set to allow pop-ups from the AUXDATA site. The most common problem encountered is the Google Toolbar. In addition to the Internet Explorer pop-up blocker being turned off, the Google Toolbar pop-up blocker must be disabled or set to allow pop-ups from the AUXDATA website.

  19. Pop-Up Blocker–Internet Explorer To turn off Pop-up blockers in Internet Explorer: • Click on the “Tools” Pull down menu Hover your mouse over “Pop-up Blocker” Click “Turn Off” Click “Tools” Click “Turn Off Pop-up Blocker”

  20. Pop-Up Blocker–Google Tool Bar The Pop-Up Blocker on the Google Toolbar is one of the most common problems for reports in AUXDATA. When the Google Tool Bar blocks a page, you will see the “no” symbol, click the down facing arrow to the right of this symbol Click “Always Allow” Click the down facing arrow In the window, select “Always allow pop-ups from auxdata.uscg.gov

  21. Pop-Up Blocker – Firefox When blocking a pop-up, Firefox displays an information bar at the top of the window. When you click on the “Options” button on the information bar, a menu is displayed with the following choices: • Allow/Block pop-ups for this site • Edit Pop-up Blocker Options • Don’t show this message when pop-ups are blocked • (show the blocked pop-up) • Allow/Block pop-ups for this site Click “Options” Selecting “Allow pop-ups for this site”, will configure Firefox to allow the reports to load.
