  4. BUCS Match week checklist The Thursday before the game • Fixture confirmation for the upcoming Wednesday/ Weekend games will be emailed out by Lyndsey to all BUCS Committees. • Mode of transport • Departure time • Start time • Venue & address • Playing kit colours (If at home, what the opposition will be wearing if known) • Number of seats on the coach CHECK THIS!

  5. Make sure your kit & equipment is clean & you know where it is. (The Laundry shuts at noon) Any changes in choice of transport or request for spectators travel must be requested with Lyndsey by noon Thursday. Tell your team members what is going on! Keep a close eye on your emails to see if there are any last minute changes.

  6. Wednesday check listHome & Away • Fill in Team Sheet online by Monday evening 9pm before game. • Collect clean playing kit & equipment. • Check contents and sign out Medibag (If sports therapist isn’t available) • Make sure you have confirmed your officials (text/email)– written confirmation is key

  7. Medibags • Every team has a Medibag allocated to them. • These are available from the SU & must be signed in and out. • Most teams have an allocated sports therapist. Please liaise with them in regards to your games and their availability/ travel arrangements. • If the bags need replenishing please do so with SU first aid supplies. • The bag and its contents cost approx £50 to replace and any lost bags will be charged to the club, to replace. • Please don’t use contents for anything other than first aid situations at games. The SU has a limited budget for replacing the contents. • The tape is there for first aid situations only, not pre-emptive taping.

  8. Team sheets Ensure that this is completed online by Monday 9pm. BEFORE THE START OF THE GAME: • Approve teamsheets with the opposition on the APP/website ID- All players on the team must have their Student ID card to show the opposition at every game. If you are not happy with anything on the opposition team sheet (players don’t have ID etc…) mark it on your copy of their sheet and if needed fill out a playing under protest form.

  9. Team Selection LEAGUES The first team would always be the strongest team available. Each team should be selected as though the other teams would be playing in a match of equal importance at the same time. If the first team does not have a match but the second team do, no players who would normally* represent the first team are eligible to play for the second team. *Normally is defined by establishing the individuals frequency and majority of fixtures played; e.g. a player having played 7 games, 5 of which were for the 1st team would be deemed as ‘normally’ being a first team member and could not therefore be selected for teams below first team level. CUPS Players may not play for a different team in the SAME knock out competition, of the same sport, i.e. if 3rd and 4th teams are in the same cup competition and the 4ths are eliminated; no players that have played for the 4th team can play for the 3rds, or vice versa, in any subsequent cup rounds that season.  IF YOU ARE NOT SURE PLEASE CONTACT LYNDSEY

Away • Leave when you are scheduled and take everything you need with you. • All attending must have student ID on them and will be checked onto the transport. • Check you are on the right bus and you are going where you are meant to. • If the weather looks bad, check with the SU before you depart. • Make sure the SU has a contact number that will work and be answered on the day if the team needs to be contacted in an emergency. • Confirm with the bus driver your collection time & point.

  11. Home • Arrive at your home ground/ venue in good time i.e at least 45 minutes before the start of the game. So if there are any issues these can be resolved. • Welcome the opposition, i.e. shown them where the changing rooms are, where to warm up etc... • Ensure you have the expense forms to hand out to any officials.

If you don’t know what to do contact Lyndsey ASAP Lyndsey Office 01905 543210 Mobile 07530865091 SU Welcome Desk 01905 543210 l.beynon@worc.ac.uk You will be able to get hold of me! • If a team feels, upon arrival or during a fixture, the conditions do not adhere to those outlined in the BUCS regulations, team selection or fixture confirmation they should complete a 'Playing Under Protest’ form as soon as the grievance is noted. Forms can be downloaded from the website. • If you are aware of the issues, but don’t fill out a Playing under Protest form and play the game, you can’t then appeal the game. • Providing a team gives advanced warning to the official in charge, a team is permitted to stop play at an appropriate time (natural break in play) to complete a Playing Under Protest form or equivalent during a fixture. This must be completed in a reasonable timeframe so as not to impact upon completion of the fixture (for example facility booking restrictions). • Essential Information: Fixture details, the specific grievance(s) and regulation contravention, time at point of form completion, signed by the team captain & the opposition captain (They can’t refuse).

Hospitalisation • Conscious= Own responsibility to inform ICE • Un-conscious = Accompanying person to contact • UW Main reception 01905 855000 or 07977973956 • Then contact SU • The Students’ Union will do all it reasonably can to assist with the situation. Please be aware that members are covered by personal accident insurance, however may have to reclaim expenses. • Every situation is new and different, but follow procedures, common sense and communicate!

The game has finished • Clear up • Enter your result on the BUCS website/app ASAP -by noon the next day and email Lyndsey the result: Email l.beynon@worc.ac.uk Text/Call 07530865091(Mobile) or 01905 543220 Come into the SU office, open Wed til 6pm • Launder & return kit and equipment • Return medibags and let Lyndsey know if anything needs re-stocking. • Return Officials expense forms to Lyndsey.

  16. Entry to BUCS Individual & Team Championships BUCS runs a number of individual and team stand alone team Championships, i.e. Badminton, Rowing, Boxing etc... • Entry must be made through the SU and be received at least three working days before the entry deadline to allow time for entries to be correctly submitted. • Entry will only be made for competitors who are full members of the relevant society or club. • The Students’ Union will normally fund BUCS entry fees, but reserves the right to withdraw this. • In the event of non-attendance at a BUCS event, unless a reason deemed valid is communicated to the SU within seven days after the event, the club/society will bear the whole cost of the entry fee in addition to any associated travel costs. • Entry will be made at the discretion of the Students’ Union after discussion with the club/society committee. The decision on entry will be based on a number of factors including relevance of competition, number of members able to participate and likely success. • The majority of the time the 1/2 Transport costs subsidy rule will apply.

Facilities & Training • The contact for indoor facility booking is Stuart Greaves s.greaves@worc.ac.ukor Dan Smith d.smith@worc.ac.uk • The contact for outdoor facility booking is Rob Delahay r.delahay@worc.ac.uk • SLA (Service Level Agreements) and Risk Assessments must be completed with Stuart/Rob before training starts. • If you are unhappy with something come and talk to Stuart/Rob & Lyndsey • Use your training slots, registers are kept on numbers. It looks awful when an Astro has 3 people on it. • Respect the staff and facilities. • Additional non-evening/weekend slots are available

  18. BEHAVIOUR NO ALCOHOL ON COACH TRANSPORT YOU ARE REPRESENTING YOUR CLUB, SU & UNIVERSITY There are repercussions for poor behaviour NOT ALL BAD- We do get good reports from other Uni’s
