  2. Meeting Agenda Updates from the board of directors Boiler Room #5 Laundry Rooms New Mailboxes Landscaping Maintenance Work Update Bylaws Update from our attorney Questions/Comments from Shareholders

BOILER ROOM #5 We have scheduled a date for a mechanical engineer, from Kuegler Associates, LLC located in Trumbull, to come out and inspect boiler room 5 and our other boiler rooms He will then draw up recommendations and plans for the project, which companies will bid on We also hope to have him assist with choosing the best bid and overseeing the project until completion
  4. LAUNDRY ROOMS MacGray is in the process of providing an additional cost proposal for another card machine On the existing card machine they did increase the money amounts to $10 and $20 and posted a sign on this on the machine. Total Security has fixed the entrance door to the laundry room in building 4 We have been advised to instruct our residents to call the MacGray Customer Service # 1-800-622-4729 if there are any further issues
  5. NEW MAILBOXES Mailboxes were ordered March 18th and should arrive in 2-4 weeks There will be scheduled distribution times to hand out keys for the new mailboxes before they are installed You will need to provide ID to prove you are an owner or a documented renter with Westford in order to receive your key  We must make sure that no one gains access to anyone’s mailbox that does not have authority to have access
  6. LANDSCAPING We have received landscaping bids from 4 companies and we will be reviewing these bids tonight and making a decision Once the contract is signed, we will be scheduling a spring clean up on the property
  7. MAINTENANCE UPDATE New backboards have been installed on the basketball court Santa came out to check the gas meter in building 9. The following is their report: We dispatched our technician to Dreamy Hollow Apartments on 03/14/2013 in response to a request from Westford Real Estate for a gas leak and a noise from building #9.  Upon arrival our tech went into the boiler room and checked all gas piping for leaks as well as the meter room. He found no gas leaks. He also checked and performed a combustion efficiency test on all gas/oil burners and monitored their operation. He found all systems to operating correctly and detected no noises other than normal operation of the systems.
  8. ELECTRICAL WORK The board met with a representative from Tarala Electric to review items in a recent estimate for work and discuss other issues on the property We are going to approve their proposal to improve and replace the pool lighting system, which are out dated and require significant maintenance In addition they have advised us to have CL&P install an addition light on the telephone pole near building 13 for a more cost effective way of improving lighting in that area
  9. ELECTRICAL WORK We are going to be receiving 2 additional estimates from them for the following issues: Adding an additional lamppost in between building 12 and 11 Installing security cameras to survey the area behind the garages near building 3 and at the entrance and exit of our property We will have more information once we have the estimates
  10. REMINDERS Please do not leave garbage or other trash items next to the dumpsters Clean up after your dogs As the weather gets warmer, incidents of car theft and break in activity increases everywhere Do not leave valuable items visible in your car Keep you cars locked
  11. BYLAWS The bylaw committee held 3 community meetings to gather feedback and suggestions on the proposed bylaws from residents in our community The feedback and suggestions will be turned over to our attorney for review Our attorney will also be drafting a sublease for all residents to review We will then be scheduling another meeting to update residents on changes and allow them to review the sublease before the bylaws go out for a vote
