  1. Ford Community Meeting II Building Use and Equipment Information November 12, 2010

  2. How do I submit requests to Facilities? • Generally, things will only get fixed if somebody in the Science Community reports it, so thank you for your help bringing issues forward. • Three types of requests: • Urgent • Standard, day-to-day stuff • Larger, programmatic enhancements

  3. 1. Urgent Requests • Urgent requests should go to: • Facilities Management Customer Service (x2400) • During off-hours:Public Safety (x2490)

  4. 2. Standard Service Requests • Standard service requests (broken stuff, smaller fixes, notifying Facilities of building issues) should be communicated to somebody in the Administrative Team: • Departmental assistants: Heather, Daryl, Kathy, Tracy, Kelly, Roberta • Stock room staff: Betty, Jack, Erin • Engineering: Michele Schaft, Sue Froehlich • Science Center administration: Karen Swiecanski, Eric Brewer, Christian Lagier, Margaret Rakas, Eric Jensen • Let me know if you want to be added to this list … training required

Larger, programmatic enhancementsor fixes • Larger or programmatic enhancements or fixes (such as knocking out walls, significant remodeling, painting) should go in the annual departmental budget request cycle in the spring. • At that time, the paperwork sent down from Provost's office also includes instructions for having projects considered by Facilities. • Sample at www.science.smith.edu/director • Both budget and work management excercise

Furniture • Furniture requests for used furniture or non-departmental spaces (e.g. classrooms, common spaces): • Contact Christian, x3802 • Furniture requests for new furniture in offices, teaching labs, research labs or any other space associated with a department: • Include in annual departmental budget cycle or contact Associate Provost.

  7. Equipment Issues • Contact the designated equipment person/people in your department • Michael Vollinger, Charles Amass, Dick Fish, JerzyPfabe • Louie/Judith/Kalina/new CABR hire) • Etc … • If unresolved, contact Christian, x3802

  8. Who can help me with what? • Projection or other classroom equipment: classroom support, x3474 • Office computers: 4ITS, x4487 • Phones and phone system: 4ITS, x4487 • Classroom computers, research computers or servers: CATS (cats@smith.edu) • Network problems: CATS or ITS • Printing help: (i.e. the printer is working but your document is not printing or printing properly): CATS (cats@smith.edu) • Printer service (broken printer): call CBS (phone number and equipment ID on sticker). Equipment ID is a letter followed by four digits. • Printer supplies: contact SR stockroom x3807 or Ford stockroom x3580. They need to know equipment ID from sticker on printer. • Copiers (Burton 103, SR135 , Bass 4th floor, Ford 255): contact the nearest departmental assistant for help with technical problems, supplies or requests for service call

FordFurniture & Furnishing Update • Blackboard handles falling out have been repaired • Notice board project complete. • Lights on articulated arms added and installed in south end labs. • Requests for cabinet locks have been completed/closed • Margaret has label holders and is organizing installation • Atrium furniture only outstanding item (policy group)

Ford Electrical Update • Red plugs are connected to emergency generator • Room numbers for all red Ford plugs is on Director's Office web site. • Red plugs should ONLY be used for items that require backup power, eg cold storage. • Grey plugs connected to occupancy sensors • White GFI plugs trip easily so don't put critical equipment on such plug • Never put equipment with compressor on GFI. • Sometimes GFI plugs are connected in a string.

  11. Water polishers • Always leave on standby! Parts very expensive. • Contact Erin if you need filter or UV bulb. • Any other issues, call Christian.

  12. Refrigerated equipment • Thermo warranty extended a year. • Let Christian know if you have problems • Or you may contact Jeremy Dickson at Fisher directly • We are researching options for remote alarm connection for -80s and environmental rooms. • Let me know if you think we can turn off another icemaker • Users are responsible for: • Removing ice build-up around door gaskets with plastic tool • Regular cleaning of air filter (vacuum or wash in sink)

  13. Autoclaves • Steris warranty extended a year • Sue is keeping them humming … • Dick Fish is responsible for SR autoclaves

  14. Access • Need access: div3-keys@smith.edu • Card problem: onecard@smith.edu – INCLUDE troubleshooting info: • Name of card holder: • Smith ID of card holder: • Contact phone number (extension): • Time where access was attempted: • Which door(s) wouldn't open? • Did the card reader light up green? • If yes, was it a short green flash or a solid green lasting for a couple of seconds? • Did you hear a 'click' from the door lock mechanism? • Public Safety director appointed; College continues policy making process • Staff and fac can double-swipe internal doors on weekends • Don’t prop open card doors – talk to me • Public safety will start coming on door alarms • Doors to season's room needs to remain closed • HVAC balancing

  15. Trash & Recycling Receptacles • A whole bunch more ordered for hallways • Let Kelly Deforest know if you have further needs

  16. Building storage • Generally, only storage is in McC, SR or Burton. • Biochem and proteomics have storage room in FH238a • If Ford people have special needs for storage, contact Christian

  17. Ford monitor screens • Screen on lower level under stairs and outside FH243 can be plugged into a laptop and is ready to be used. • Technical solutions and budget is being developed for the other screens. • Let me know your thoughts …

  18. SmartBoards • Chem common space smartboard is being repaired • ETS is organizing user training

  19. Document Cameras • There are document cameras mounted in the ceilings of Ford 146, 246, 346, the 015 Seminar Room, and a few research spaces. • To use them, find the remote control located in the room. • It controls power and zoom for the cameras, so your papers or objects can remain sitting on the table under the camera. • Set the projection in the room to use the doc camera as the source • Contact Steve Davis in classroom support/ETS for more details.

  20. Ford Policy Group Agenda • Section signeage • Is larger signeage missing e.g. when entering north and south parts? If so, what should it say and where should it be placed? • Ford common area use policy • Season’s Room, Atrium, kitchens
