Promotion and Tenure • Promotion – Advancement to higher academic rank • Tenure-Earning Track (TE) • Non-Tenure Earning Track (NTE) • Tenure – “An affirmative commitment by the Board of Trustees … of a right to continuing employment except upon dismissal for cause, retirement, bona fide financial exigency of the institution or division ….” (Faculty Handbook 2.15.1) • Current “probationary” period at UABSOM is up to 10 years • Typically uncoupled from promotion decisions; not always • When coupled together in one promotion cycle, two distinct decision making processes occur

Criteria for P&T • In general, the criteria are built around the three traditional academic areas: Research, Teaching, Service • TE track requires demonstration of excellence in at least two of the three areas. • NTE track requires demonstration of excellence in only one of the three areas. • 10 years to obtain Tenure • Need to be submitted by the promotion cycle of their 9th year. • If not awarded by end of 9th year, final year shall be a terminal appointment • Extensions possible for extenuating non-professional circumstances • Faculty can move between TE and NTE, though there are limitations

  5. Assistant to Associate Professor • Three or more years in the rank of Asst. Professor • Regional/national recognition • Research • Grant support (does not have to be NIH) • Presentation/Publication of Research • Teaching • Documented teaching activities with evaluations • Documented mentoring activities; leadership in residency/fellow programs • Grants/Publications in area of education • Service • Patient care, committee participation, administrative responsibility

Associate to Full Professor • Three to five years in rank of Associate Professor • National/international recognition • Research • Sustained productivity in grant support/publication • Awards/Recognition, invitations to preside over meeting sessions • Participation in external review committees/study sections • Teaching • Sustained Excellence in teaching • Course design/curriculum development/course direction • Visiting professorships/recognition of teaching • Service • Continued excellence, service responsibility, Chair committees • Service outside of UAB (civic boards/organizations)

Excellence - Research • Grants • Sustained success over time • Does not have to be NIH only • Documented critical contribution to research team • Manuscripts (~20 for Assoc, 35-40 for Prof) • Book chapters • Invited oral presentations • Service on thesis or dissertation committees • Editorial boards, ad hoc reviewing • National planning, grant review, etc.

Excellence - Teaching • Leadership/Coursemaster in divisional, departmental, or SOM teaching programs • Participation in above, including lectures, seminars, preceptor, etc - document • Mentoring • Tangible/measureable (ie:, MS/PhD students, residents, advisorships, etc.) • Names, dates, results • Testimonial letters from trainees • Teaching evaluations (student and peer) • Peer reviewed publications about education

Excellence - Service • Development, leadership, or provision of unique clinical care or service • High volume of patients/ high RVUs; document clinical service activity • New programs (service line, clinic) • Committees (UAB, regional, national, etc).; document level of participation • Community outreach activities

Tenure • Achievement of rank of at least Associate Professor • Academic credentials consistent with the missions of the department and the UABSOM • National reputation reflected by peer recognition, presentations at national professional meetings, and productivity in published works • Evidence of positive institutional citizenship, manifest as effective participation in service activities, mentoring of more junior colleagues, support of university missions and values, collegiality and leadership initiative • Evidence of sustained, significant scholarly achievement in at least two of the three areas, including research, teaching, and service

SCHOOL OF MEDICINE/DENTISTRY 2017 CALENDAR FOR SUBMISSION OF PROMOTION AND TENURE AWARD PROPOSALS Department of Surgery December 5, 2016 Deadline for submission by Division Directors of candidate proposal packets to APT Committee Chair. Proposal packet should include UAB Promotion/Tenure Action Summary Form, CV, and bulleted lists of accomplishments in each of three areas of excellence: Teaching, Research, and Service. December 21, 2016 Department of Surgery Leadership Council candidate review and approval to proceed with promotion process. February 1, 2017 Full promotion packets are due to the Chairman’s office for review. 1 Electronic Copy is due on Wednesday, February 1, 2016 so that the submissions can be reviewed by the Departmental APT committee before being sent to the Dean’s office. February 13, 2017 Departmental APT Committee will meet to review and approve promotion packets. March 7, 2017 (SOM Deadline for submitting promotion/tenure award proposals, departmental deadlines will be earlier) Departments submit all faculty promotion and/or tenure award proposals to Anne Graham, Sr. VP and Dean’s Office, 12th Floor on or before the established deadline. All promotion/tenure award proposals submitted for review must include an original plus one copy. Note, the accompanying copy should be an exact duplicate of the original proposal and should reflect the appropriate approval signatures and include copies of any and all reprints submitted as part of the original proposal for promotion and/or award of tenure. Departments should have all proposals uploaded into the SOM Faculty Promotion and Tenure Management website by March 31st. April (Full month) The SOM Faculty Council reviews the promotion and tenure packets during the month of April that have been uploaded into the SOM Faculty Promotion and Tenure Management website. May May 2nd & 3rd Faculty Council will meet Monday and Tuesday, to review the promotion and tenure award proposals as submitted by the departments. May (Second week) Letters will be sent to department chairs with recommendations for approval/denial of promotion and/or tenure award. May (Third week) Requests for appeals for denied promotion and/or awards of tenure are due to the SOM Dean’s Office. June June 13th & 14th Meeting(s) of the Faculty Council to hear appeals for denied promotion and/or awards of tenure, if necessary. June (Third week) Faculty Council will make recommendations to the Dean for approval/denial of promotion and/or awards of tenure. July (First week) Dean submits recommendations for approval of promotions and/or awards of tenure to the Provost July The Provost submits recommendations for approval/denial of Schools of Medicine/Dentistry faculty promotion and/or tenure award proposals to the President. AugustThe Provost and/or President’s Office provides notification to the Dean(s) regarding approval of Schools of Medicine/Dentistry faculty promotion and/or tenure award proposals. Approved proposals are then forwarded to Personnel Records. Proposals denied at this level are returned to the School of Medicine Dean’s Office for appropriate action and/or follow-up as necessary. September Written notification from the Dean is distributed to department chairs/administrators, and Faculty Council regarding the upcoming promotion/tenure award cycle including projected calendar. Department administrators submit ACT documents for each faculty member reflecting the appropriate change in rank as approved and any associated salary increase in the prior promotion/tenure award cycle.

Key Points • Clearly state the academic areas under which promotion/tenure are being considered • Evaluate packet and then decide; make sure • Documentation is essential • Focus on the portfolios • Best are one-page bulleted list followed by supporting material • Use portfolio to annotate or supplement the CV • Know where your Tenure-Earning faculty are on the tenure timeline

If the proper format and/or forms are not used, the proposal will be returned to the department to be resubmitted with the correct, revised forms and/or format. Each section should be limited to 2 pages, single spaced and 11 point font, and also include as supplements formal evaluations and letters documenting effectiveness in teaching, research and service, as applicable.
