The Office of Graduate Medical Education is evolving its business processes for managing resident and fellow data. The current system, RFS, has provided essential services but is being replaced by E*gme/E*Value to enhance efficiency and accuracy. With features like single-entry scheduling, automated reporting, and streamlined demographics management, the new system aims to simplify the appointment process, improve Medicare cost reporting, and ensure compliance. Training and support will be available to facilitate this transition and maximize benefits for all users.

The BIG Picture: Current and Future Amy Day Manager, Resident and Fellow Affairs Office of Graduate Medical Education
Current Business Process – RFS • Future Business Process – E*gme/E*Value
Resident and Clinical Fellow Database (RFS) Overview Maintains housestaff demographic and rotation data for appointment and Medicare cost report purposes Created many years ago OLPPS platform Never been a “perfect fit” Programs responsible for data entry Usually done early in appointment process (before OLPPS entry)
Medical Center IT MSO Library GALEN Accounts RFS AD/ Exchange Campus Locator (CLS) OLPPS IID iList SOM Central Database ICRD Accreditation Database Attestation Website
E*gme/E*Value Overview • Replace RFS • Maintaining housestaff demographic and rotation data for appointment and Medicare cost report purposes • Duty hours, evaluations, competencies, portfolios, scheduling, etc. • Currently customizing for UCSF needs
Medical Center IT MSO Library GALEN Accounts Benefits System AD/ Exchange • E*gme • Appointments • Medicare Cost Report • Competencies • Rotation Schedules • E*Value • Evaluations • Portfolios • Duty Hours • Amion • Scheduling Campus Locator (CLS) OLPPS IID SOM Central Database ICRD Accreditation Database
Single Entry of Rotation Schedules • Schedules entered one of two ways • E*Value • Amion (interface will pull schedule into E*Value) • Schedules will be used by program, OGME, Medical Center Reimbursement, etc. • Manually creating five different versions of the same schedule
Rotation Schedule Attestation Process • OGME duty hour/rotation schedule website will be gone • Rotation schedule attestation for Medicare reimbursement will be done electronically • Monthly paper reports
Paperwork Tracking • Checklist will be generated in E*gme at time of data entry based on type of appointment for each trainee • OGME will check off paperwork as approved • Excel spreadsheets from Amy
Provider IDs • Provider IDs will be pulled from MSO and displayed in management system • Big, long reports that can’t be sorted • Waiting for Amy to send provider IDs
Reporting Capabilities • Programs can run reports on their data and trainees • For example: • Program enrollment • Licensing • Addresses • Provider IDs • Paperwork • Anything you want! • Calling OGME for a report • Individual program databases
Benefits Enrollment, Tracking, Recharges • Benefits “page” or “tab” • Coordinator will enter all necessary insurance information • Health insurance choice • Dependents • Etc. • HR will confirm enrollment • Fund/DPA for monthly recharges will be entered by the coordinator • Monthly paper reports
And finally… • A system that works! • An usual exception has occurred • It just won’t let me do anything! • I can’t print RDOCs! • Invalid function • Not authorized • It kicked me out and won’t let me back in! • Stop working and try again tomorrow
When in doubt, remember… Anything is better than RFS!!!
2008 Appointments • No RFS – CROSS YOUR FINGERS • Disclaimer: might have to do duplicate entry • Paperwork not changing much • Merge document option like last year • Checklist in E*gme • Rolling deadlines to be determined • Amy’s getting help! • Flexibility and patience are key! • And of course…the treasure chest!
