  1. Enhanced UserSearch Experience • TheeDOCSDM10includesseveralsearchenhancementsto reducethenumberofactionstheuserisrequiredto perform in their day-to-day searchoperations. • The primary features in this release that improve the users search experienceare: • Search within afolder • Search within DM DynamicView • Outlook toolbar search to further filter the DM search results list • New simplified search forms providing more prevalent content searchfunctions • Combined Metadata and Advanced Boolean search builderwizard • Enhanced Hybrid searching against the profile metadata and documentcontents • Calendar pop up for date fieldsearches • The following screen capture shows the new DM Dynamic Views search action which brings up a pre- populated search form with the Dynamic View metadata that was used to from that node of the tree. The end user can now easily narrow or expand the search query to find the documents they are lookingfor. Microsoft Word and Excel Footer Enhancements The DM Insert DM Footer for the Microsoft Word and Excel integrations has been enhanced to provide you with more control over the layout, metadata, text, font, and alignment of the information in thefooter.

  2. When first Inserting a footer, the checkboxes will be blank. As you select an individual option that will also be the  sequence of what order the label and text appearin. When selecting which data to include in the footer, select All and then Deselect Select All and it will blank outthe  settings. You can then reselect the items in a different order for how you want them toappear. You can edit the labels that you want to appear in the footer instead of thedefaults.   You can change the font touse Once you have edited the Footer information you can validate the changes and make the corrections before using the new Footer layout. Consult the Using eDOCS DM 10 Extensions.pdf guide Chapter 14 for additional details on howto use the new footerintegration. Hyperlink URL on the Profile Form The DM Profile forms have been updated to support URL’s on a profilefield. As an example, DM folders can be shared and can now include a URL on the profile form that can bring the user to a web site with content relating to the project folder when the user selects theURL. The Recent Locations list is now available in the upper left of the eDOCS DM Tree in the new Save UserInterface. This reduces the number of actions required to select and inherit metadata from the location compared to the DM 5.x location drop down listapproach. The number of locations in the list is configured by the DM Administrator and dynamically update as the user performs their day to day save operations with the oldest locations that exceed the configured values automatically dropping off the selectionlist.

The user will also be presented with a Pop-Up Tooltip with the full path of the location they hover over in the recent locationlist. 4.3 Breadcrumb Trail The Save User Interfaces includes a new breadcrumb trail that the user can select to inherit the metadata when saving a document DM if they want to save to a higher location then previouslyselected. SearchEnhancements Contributing content is one part of a DM system. Being able to easily find content already within the repository is also key to productivity when it comes to use of priorwork. Search Within a DynamicView The new Dynamic View Search feature will populate the profile form with the search criteria from the selected Dynamic View node allowing the user to further refine or expand the search to find the document they are lookingfor.

Search Within aFolder TheSearchWithinafolderwillperformasearchwithinthecurrentfolderandsub-folderswiththesearchcriteriatheuser entered and only return items that meet the search criteria within the selected folderstructure. Outlook Toolbar – Current MailboxSearch When the eDOCS DM node or one of the nodes of the DM tree is selected and you enter text in the Outlook Toolbar search, Outlook will filter the results list based on the entered search criteria against the text in the displayed columns in the Outlookview. This screen shows the users RED list filtered to only show emails with Brief in the document namecolumn.

Edocs InfoCenter MobilityAPP: • About the Home page for smartphone andtablet • The Home page for a tablet provides the tiled interface of the Desktop application, enabling you to access eDOCS DM content. The tiles show the names and IDs ofitems. • The smaller screen size of a smartphone offers very similar functionality to when eDOCS InfoCenter is used on a tablet or desktop, but with links replacing tiles on the Home page. Tap on a link to display the contents. • Recently Edited • A list of the items you edited within a timeframe defined by your administrator. The default is 30days. • PublicFolders • A list of the public folders you created or canaccess. • FlexFolders • A list of the FlexFolders to which you aresubscribed. • Workspaces • A list of the Workspaces you created or that have been shared withyou. • Note: You cannot create a Workspace using the eDOCS InfoCenter Mobileapp. • SavedSearches • A list of the searches you havesaved. • Downloads • A list of the files you have downloaded to your mobiledevice. • About the Navigationmenu • On the mobile device, tap the Navigation menu at the top of the screen to display thefollowing: • Searchoptions • UseSearchandProfileSearchinthesamewaythatyouwouldwhensearchingviatheInfoCenterDesktop • application. For details, see “Searching” on page18. • Savedsearchesdisplaysalistofthesearchesyouhavesaved.Tosaveasearch,firstrunasearchbyselectingthe Search option from the • Navigation menu. Then in the results listing, click the three horizontal dots at the top of the screen to display the Save searchoption. • Upload files to eDOCSDM • Tap Upload files to upload files from your mobile device to eDOCSDM. • Viewing the files you have checkedout • Tap Checked out to display a list of the items that you have checkedout.

  6. Setting yourpreferences • In Preferences you decide your primary library, the home tiles to display on the Home page, and choose options for opening and sharing documents. The mobile app adds the followingpreference: • Select Remove file from Downloads after upload to remove the downloaded document from the InfoCenter Downloads folder when you check in or upload the document to eDOCSDM. • Note: The Always check out on open preference is not available as a preference in the mobile app. • Display and changesettings • The Server Address is usually set automatically when you first configure theapplication. • Tap Change Offline Pin to change the PIN to access files you have downloaded, when an Internet connection is not available. • Tap Use Touch ID to access files that you have downloaded, when an Internet connection is notavailable. • The Version of the eDOCS InfoCenter Mobile app isdisplayed. • Turn on the option for Debug mode to provide enhanced logging fortroubleshooting. • Sign out of the eDOCS InfoCenter app • Tap Sign out to disconnect you. To sign back in, type your credentials in the OpenText login screen. • Working withdocuments • When you install the eDOCS InfoCenter app, a folder is created on the device to enable you to do the following: Upload documents to eDOCS DM that you have created on yourdevice. • Download documents from eDOCS, update them, then upload the changed version to eDOCSDM. • The Downloads tile lists the documents that you have downloaded to the device, and also the documents that you have placed in the eDOCS downloads folder for uploading to eDOCSDM • Saving • To save documents on an iOS device, open the Office application, tap Open>More and under Locations, enable eDOCS as alocation. • Uploading a document to eDOCSDM • You can create a document on your mobile device and upload it to eDOCSDM. • To upload a document to eDOCSDM: • Create a document in an application, then place the document in the eDOCS folder, asfollows: • IniOS,savethedocumentonthedevice,thenopenthedocument,andfromtheFilemenu,tapSendwithAnother App and choose Copy toeDOCS. • In Android, tap Save As, then browse to the eDOCS folder and save thedocument. • To upload the document to eDOCS DM, do thefollowing: On a tablet, tap the Upload files link in the Welcometile. •

  7. On a smartphone,tapthe Navigation menu and tap Uploadfiles. • 3. In the Choose a file dialog, tap the document you have created and tapOK. Complete a profile for the document. When you have provided values for all required fields, tapCreate. 4. WhenthedocumenthasuploadedtoeDOCSDM,itappearsintheRecentlyEditedlist.Onatablet,thedocument 5. appears in the Welcome tile enabling you to quickly accessit. To view and work with a singledocument: • Topreviewandworkwithasingledocument,taponthedocumentinthetile.Thedocumentopensinpreviewmode. If the item is large, you may only see a portion of thecontent. • Tap to view the properties of the document and access Versions, History and Security information. From this view you can do thefollowing: • Tap to email the document to one or morerecipients. • Tap to edit the profile of thedocument. • Tap to check out thedocument. • Tap to copy thedocument. • Working withdocuments • Tap to open a menu with the followingoptions: • Subscribe •   Addto... Download   Makeread-only Delete  To work with more than onedocument: Navigate to the list of documents that you want to workwith. Click Options in the top right corner of thescreen. Tap Select, then tap the documents that you want to workwith. 1. 2. 3. Tap the required option. For example, to email the documents to one or more recipients, tap. The range of options described above are available by tapping on the icons at the bottom of the screen. Tap to open a further optionsmenu. Editing a document To check out a document, update it, and check it back in to eDOCSDM: 1. Open the eDOCS app and tap the document that you want to edit. The document opens in previewmode.

  8. Tap to check out the document. A red check marks appears within the application icon for thedocument. • Start the application for the type of document that you have checked out, for example, MicrosoftWord. • Navigate to the document, asfollows: • In iOS, under OTHER LOCATIONS, tap More. Then, tap the eDOCS location, and the eDOCS folder. In Android, browse to the eDOCSfolder. • Tap the document that you have checked out to open it in theapplication. • Update the document, then click the Back button in the top left of the screen to close the document. The document is saved automatically if AutoSave is on, or you are prompted to save thedocument. • Open the eDOCSapp. • If the document is still open in preview mode, tap at the top of thescreen. • If the document is not open in preview mode, tap the document inthe • Recently edited tile, then tap Options at the top of thescreen. • Tap the Check inoption. • In the Check in dialog box, tap Option in the From field to display the Choose a filedialog. • 10. Tap the document you want to check in and tapOK. • ADD ONMODULES: • EMAIL FILING: (currently installed on Virginia’sPC) • Open Text Email Filing, eDOCS Edition is a collection of applications that help users file emails to the eDOCS DM/RM library by making these activities simple and intuitive. • Email Filing Client – The client allows you to select multiple emails or all messages in an Outlook folder and save them to the DM library in a single operation. You can also apply a DM profilesto • OutlookfolderssothatanyfutureemailsdroppedintotheseOutlookfolderswillbe importedintotheDMlibrarywithout further intervention. With the use of Outlook Categories, you can then easily identify which emails have already been saved to the DMlibrary. • Email Filing Assistant – This feature will show you suggestions on how to populate the document profile when saving an individual email using the standard email ‘Save to eDOCS DM ’functionality in DM, based on what has been saved previously. • FilingAdvisor–Willallowforfilingofaselectionofemailsordaterangeofitemsininbox/sentitemstomultiplelocations. It will give suggestion of filing based on domain ofsender/recipient • File to eDOCS DM – This menu will start a filing for a folder or selected emails using the FilingClient. • Markselectedfoldernow–SelectingthismenuoptionforafolderwillrunmarkingintheFilingClientagainsttheselected folder.

  9. Quick File – The add-in will let you easily select recently used metadata to file the selected email(s). When filing a single email, it can also give suggestions based on what has been savedpreviously. InsertTag–ThiswillhelpyoutoinsertataginthesubjectlineofanewemailwiththecorrectformatfortheSubjectFiling feature. Create Auto Subscription Folder – This will make it easier for you to create Outlook folders in the correct format to be picked up as jobs by the Auto Subscription service. There is also a feature to set Custom Security on thesefolders. Show in eDOCS - You can right-click on a folder tagged with a matter and see the documents saved in eDOCS on thismatter.
