  1. Excel Charts & Math By: Cesar Ortiz & Kenneth Worley

  2. Excel Spreadsheets This is an example of an Excel workbook. Remember in the workbook the squares are called cells.

  3. Customize Cells To customize cells highlight (mark) the cells and go up to format. You can change several things there, including the way text alignment, fonts and borders (the lines).

  4. Customize Rows • After you click on format, click on rows and you can change the height by making the number larger or smaller.

  5. Customize Columns To customize columns click format, then columns , and you can change the width.

  6. Merging Cells • To merge multiple cells into one cell, highlight the cells that you want to combine. • Right click on the cells, then click on format cells

  7. Merging Cellscontinued • After that go to alignment and check the box that says MERGE!

  8. AddingText or Numbers • To put text or numbers in a cell. Click on the cell and type. You may need to widen the column (or wrap text).

  9. Align text Left, Center, or Right • To align text in a cell to the left, middle, or right in a cell, highlight the text. • Look on the lower toolbar (format toolbar) and find the buttons for align left, align right, and align center.

  10. Show Dollar Signs • Highlight the cells with numbers you want to format. • Go to the Format Menu and click “Cells”, then “Number”. • Click “Currency”. For your budget, you will need “0” decimal places. • $ should be the currency symbol. • And have negative numbers like ($1234.10).

  11. Adding Borders • To put borders around cells, highlight all the cells that need a border • Then click the borders button on the toolbar. • From there you can click on many different types of borders. You can also clear them.

  12. Coloring Cells • To color a cell highlight the cells wanted • Right click, then format cells • Click on patterns and choose a color

  13. Formulas In excel, if you insert certain formulas the workbook will do math for you. The cells are set up like a chess board. They all have a cell address. Example: A is the first column, and 1 is the first row. So the address of the very first cell is A1. The one below it is A2. The one to the right of it is B1. So forth.

  14. Addition & Subtraction After putting some numbers in some cells, you can calcuate in a new cell. For example, in your “total” cell type +a1+a5+a7 in a cell and press enter to add them together. To subtract, type +a1-a5-a7 and press enter to get the answer. Sometimes equations need ( ).

  15. Multiplication & Division Type +a1*a5 and press enter to get the product. For division type +a1/+a5 to get the answer.

  16. Copying and Clearing Cell Formulas & Formats Once you have a cell formated with the $ sign, colors, borders, or math formulas, you can copy and paste it to another cell, so you don’t have to repeat the steps for each cell that is identical to it. On the right click menu, you can clear contents to erase the formulas or text, but not the borders or colors.

  17. Toolbars Many of the tasks you learned here can be completed using shortcut buttons on the toolbar or using the right-click menu on the mouse. As you become more experienced, you will find them and start using them. They make it easier. The one you really want to learn is AutoSum on the toolbar. Learn it!

  18. Trial and Error Remember you can always use the undo button and try again. Learning Excel like any program is trial and error. The more you use it, the more you will learn it and appreciate it. It’s Mr. Kent favorite program!
