  3. The Registrar’s Office Mission statement The mission of the Registrar’s Office at AUB is to have the services provided to students in a friendly, timely and continuous manner. We are accomplishing this mission by striving toward service excellence in everything we do, challenging ourselves to be as efficient and effective as possible in our work, seeking out new and better ways of doing business for ourselves and the community we serve.

  4. What We Do • The Registrar's Office serves as the University's central service and academic support unit to: • Collect and record student and instructional academic program information. • Conduct and manage processes related to registration: • Course offerings/ scheduling • Web registration • Final exams scheduling

  5. What We Do • Coordinate and produce official enrollment and academic certification from academic records. • Provide support for determining academic eligibility and academic progress. • Curriculum guidance (CAPP) • Dean’s Honor List • Probations • Promotions • Graduation

What We Do • Process transfer credit for incoming undergraduate students. • Officially respond to requests for information about students and programs. • Coordinate the collection of information for the catalogue from all academic and non-academic units of the university and identify inconsistencies of anomalies among them.

  7. What We Do • Prepare for commencement and graduation. • Administer in-house printing of diplomas. • Administer the government health insurance plan for Lebanese students (NSSF) • Manage AUB SIS • Ex-officio member of numerous university and faculty committees.

  8. Transcript of Records: • It is issued using the Banner Student Information System. • It includes, in addition to the term averages, the cumulative average, and the transcript totals. • The backside of the transcript includes information about our grading system. The term average distribution for the last three years is included as a histogram.

  9. Grading Scale

  10. Average (AVG) The average (AVG) is calculated by multiplying the grade for each course by the number of credits for the course, then dividing the sum of the results by the total number of credits. The highest grade in a repeated course is used in calculating the AVG. However, all course grades remain part of the student’s permanent record.

  13. Incomplete GradesThe work for a course must be completed on the date on which the semester ends. The procedures involved are the following:

  14. 1. Incomplete course work will be reported as an “I” In the Faculty of Arts and Sciences “I” is followed by a numerical grade reflecting the evaluation of the student available at the end of the semester. This evaluation is to be based on a grade of zero on all missed work and reported in units of five. Thus a grade could be “I 55” for example. 

  15. 2.For securing permission to complete the work for a course, a student must submit a valid excuse to the instructor of the course and the Administrative Committee within two weeks from the date of the scheduled final exam for the course.

  16. 3.Students permitted to complete work for a course must do so within four weeks of the start of the next regular semester. After the incomplete work is done and evaluated by the faculty member, a grade change will be considered by the dean of the faculty (upon the recommendation of the appropriate faculty committee) and a new grade will be reported to the office of the Registrar.

  17. 4.If no valid excuse is presented and the work, if permitted, is not completed within the time limits specified above the “I” will be dropped, and a failing grade will be reported.In the FAS, the numerical grade available becomes the final grade in the course. I55 55

  18. 5.For the purposes of averaging, the numerical grade will be used, until changed through the procedure set above.

  19. The deadline for submission of incomplete grades by the instructor is within 72 hours after a student has completed the course work.

  20. Degree Requirements The degree requirements are summarized as check lists for all undergraduate degrees. The check lists are posted on the Registrar’s Office Web page:http://staff.aub.edu.lb/~webregist/

  21. The currently available check lists are being used by the students and their advisors. They proved to be very helpful and systematic.

In addition to the degree requirements, the webpage (http://staff.aub.edu.lb/~webregist/) includes: -The major Registrar’s Office functions -Announcements: Holidays, Final Examinations Schedule, University Calendar, Registration guide, etc.. -Forms -Links to the catalogue and the AUBsis. - Tuition fees.

  24. Submission of Grades through Banner Web Forms: Effective the Fall Term 2000-2001, the faculty members started submitting the final course grades through the Banner Web Forms.

Additional Available Web Services: • Students can register their courses from their homes via the Internet, or from campus public labs. • Students can view and print their records. • Faculty members can view their schedules and student class rosters. • Advisors can access their advisee records. • Students can make changes in their schedules during the Drop/Add period.

  26. The Curriculum, Advising, and Program Planning (CAPP): The objective is to measure on the Banner SIS system the student’s academic achievement against the requirements of his/her degree. CAPP is used by the Registrar’s Office for degree audit.

  27. CAAP Web CAPPis available to all students and advisors through AUBsis. Web CAPP is a web based interface that allows students and advisors to use CAPP to check student progress against chosen degree requirements.

  28. CAPP "What-if" analysis option of WebCAPP allows the comparison of a student's coursework to any program/major (not only to the current program/major of the student), and displays what has already been met, and what hasn't, of the requirements of the selected program/major.

  29. Student Academic Transcript To access the student academic transcript from the Advisor Menu: As a faculty member, you are requested to submit the student PIN, and this could be keyed in by the student if he/she is present at your office.  As an Advisorfor a given semester, the Advisee list option from the Advisor Menu displays a list of your advisees. The link from the student ID-Number would open access to the student transcript, and the link from the student name opens further individual student information to be displayed.
