  1. Using the University of Delaware Interlibrary Loan System to Request Materials Prepared for the Delaware Statewide ILL Meeting June 23, 2009 Megan Gaffney Coordinator, Interlibrary Loan and Document Delivery Services University of Delaware Library gaffneym@udel.edu

  2. In This Presentation… • Introducing ILLiad, the new ILL software at the University of Delaware Library • Overview of ILLiad lending, or, “What happens when my library sends an ILL request to UD?” • Using the new web interface to send your library’s requests to the University of Delaware Library Interlibrary Loan Office • What’s next for ILL at the University of Delaware?

  3. What is the new ILL software at the University of Delaware? • OCLC ILLiad software, implemented in June 2008 • http://www.atlas-sys.com/products/illiad/ • http://www.oclc.org/illiad/

  4. What happens now when a library sends an email or faxed ILL request to the University of Delaware? • ILL Office receives a request by fax or email • Staff manually input the request information into ILLiad • Staff manually fax or email the borrowing library to communicate about the request

  5. What’s New? • Borrowing libraries enter requests into an online form that feeds directly into ILLiad for ILL staff at the University of Delaware to review. • Requests are processed as soon as they are received in the ILL Office without ILL staff having to check for new email requests or re-key any request information. • Communication is automated through built-in email templates – if your library’s request is cancelled, you’ll know about it immediately.

  6. Sample email from ILLiad to a borrowing library

  7. Additional Features • Request Tracking – libraries can see the status of any request in real time. • Request History – libraries can access a history of past requests.

  8. How does this system work for borrowing libraries? • One-time online registration to provide contact and shipping information: http://www.lib.udel.edu/forms/ill-lib.php • After registering, libraries receive a unique username and password for accessing the University of Delaware ILL system’s lending webpages. • Staff at borrowing libraries log on to the ILL lending webpages and start requesting! http://udel.illiad.oclc.org/illiad/lending/lendinglogon.html

  9. Requesting a Username and Password • One logon per library – not per staff member (if your library has more than one person working on ILL). • Please provide your OCLC or NUC symbol if you have one, even if it is not used for ILL. These symbols are the best unique identifiers for borrowing libraries. • An email address is required for communication through ILLiad. Avoid a staff person’s email address if a departmental ILL address is available.

  10. After Registration • University of Delaware ILL staff will process each library’s registration in ILLiad. This may take several hours; it is not an automated process. • A confirmation email will be sent to the address used during registration. It will contain a username and temporary password for logging in. • Passwords are case sensitive. A temporary password will be ill, not ILL. • Questions or problems logging in? Contact ILL whenever the office is open – Monday through Friday, 8:00 AM – 5:00 PM.

  11. Placing ILL Requests Log on with your library’s assigned username at: http://udel.illiad.oclc.org/illiad/lending/lendinglogon.html

  12. After Logging In - Main Menu

  13. Menu Options • Request forms for both loan and photocopy requests • View current request statuses, cancelled and finished request histories • Update contact information • Password changes • Menu does not change and is present on every page

  14. Request Form for Photocopies

  15. Request Form for Loans

  16. Filling Out the Forms • One request per form, please! • University of Delaware call numbers must be entered on the request form and are found in DELCAT: http://delcat.udel.edu. • All requests will automatically be assigned a transaction number (TN) in the ILLiad system. Correspondence and tracking will include that TN. • If your library patron’s name is provided, it will print out on the item’s accompanying paperwork. • Billing does not apply to most Delaware ILL transactions and can be left blank. • Please add any notes or additional information in the Notes field.

  17. What’s Next for ILL Lending Services at the University of Delaware Library? • Increased electronic delivery of articles instead of fax or mail. • Continuing improvements to the ILLiad webpages to make them user-friendly and easy to use. • Any suggestions about the ILLiad webpages? • ILLiad version 8 will be released later this year; enhancements to lending capabilities are unknown at this time.

  18. For More Information…. • Visit http://www.lib.udel.edu/ud/ill/delaware.html for • Information on lending policies. • A link to log in to the ILL system to place requests. • Contact information for the University of Delaware ILL Office.
