  2. Purpose of ohioDD.com • To facilitate the exchange of information between County Boards of DD, providers of DD services, and the individuals being served • A way for information to be exchanged quickly…effortlessly…with no human intervention required

  3. Services Available at ohioDD.com • Demographics: View consumer demographic and relationship information • PAS Information: View PAS Information directly from the County Board • County Billing: Bill your County Board for Supported Living (locally funded) services on-line • Payment Review: View and download Supported Living payments • Billing File Verification: Check your waiver billing file against county authorizations • Utilization Review: Verify authorized vs. paid services

  4. Where does the data come from? • County Board creates info in Gatekeeper • County Board info goes to ohioDD.com database for access on the website • All counties update overnight, some also update once during the day

  6. Create an Account Click “Sign Up” tab on ohioDD.com home page Fill in all fields to request an account Your County Board’s ohioDD.com contact will notify you once your request has been approved.

  7. Log In Click “Log In ” tab on ohioDD.com home page Enter User ID and password Click the “Log In” button

  8. Important Things to Remember • Do not use the “Back” button on your browser. Instead use the “Services” tab at the top of the page, which will return you to the ohioDD.com home page • On the Services page, clicking on the “Instructions” button below a service will open a window containing printable instructions for using that service

  9. Demographics Allows providers to view their consumers' demographic information If relationship information has been entered into Gatekeeper by the County Board, this information will also be displayed

  10. Demographics Press the 'Demographics' button on the ohioDD.com Services web page

  11. Demographics Select the individuals that you want to view If you serve more than one county, select the individual’s county from the drop-down list If you want to see all of your individuals, select 'All' from the drop-down list

  12. Demographics Select the 'Show Demographics' button. Consumers will be listed by county If relationship information is available, it will be displayed directly below the consumer's demographic information

  13. Demographics To return to the Consumer Listing web page, select the 'Back' button. Do NOT use the back button on your web browser.

  14. View PAS Information Allows providers on-line access to view their PAS Information is transmitted directly from the County Board's Gatekeeper system, providing a timely, accurate picture of the services being authorized. Authorizations include bother Waiver and Non-Waiver services.

  15. View PAS Info To view PAS for all individuals, press the 'PAS Information' button. To view a PAS for a particular individual, press the ‘Select by Name’ button.

View PAS Info Clicking on the ‘PAS Information’ button presents you with a list of all of your individuals with their most recent PAS dates To view all the PAS listings for an individual, select between the View and Revision(s) choices at the top of the web page and then press the 'Filter' button

  17. View PAS Info Select the PAS Listing(s) that you want to view Press the 'Show PAS Detail' button You will be shown the PAS detail information for the selected PAS Listing(s)

  18. View PAS Info PAS lines that include waiver Summary Codes are shaded Selecting the check box on the summary line will show the individual PAS lines that are included within the summary information

  19. View PAS Info Selecting the check box on an individual detail line will display the related Utilization information

  20. View PAS Info The 'Show PDF Report' button will create a downloadable PDF file that can be stored on your computer for future reference

  21. View PAS Info To change the filter and sort options of the PAS Listings, select the 'Change Options' button You can select the counties that you want to see and the order in which you want to view the PAS information.

  22. County Billing Allows providers to key and transmit their locally funded billing right from the web site Great for independent providers or smaller provider agencies who prefer to create their own billing

  23. County Billing Enter New Billing Press the 'Enter/ Change Billing' button on the Services page

  24. County Billing Enter New Billing Select the Dates of Service, the Consumer, and the Services you want to bill for Press 'Go'.

  25. County Billing Enter New Billing Enter the units of service provided by date of service and service code If you have previously entered billing for dates in the 'Dates of Service' you specified, these records are displayed as well

County Billing Enter New Billing To copy units from one row of billing to another, select a row of billing with units already entered, then select the check box under the 'C' column (in the same row) Check the checkbox on any line below this line and push the 'C' button to copy the units down to the second row that has been checked

  27. County Billing Enter New Billing If you do not check a second row, the units will be copied down to the bottom of the web page. The 'copy' function will copy the units only for billing rows that have the same Service Code.

  28. County Billing Enter New Billing If you have additional billing for another consumer, press 'Save' and then press 'Do More Billing'. You must save your billing before moving on to enter billing for another consumer.

  29. County Billing Change Existing Billing Press the 'Enter/Change Billing' button on the Services page

  30. County Billing Change Existing Billing Select the Dates of Service, the Consumer, and the Services you want to change. Press 'Go'.

  31. County Billing Change Existing Billing Change the units of service by date of service and service code to be the correct total of units provided If the service was previously e-mailed to the county, changing the units will automatically release the record to be e-mailed to the county again

  32. County Billing Change Existing Billing To delete units for a date of service, click to the right of the existing units number and press the Backspace button on the keyboard to remove the value

  33. County Billing E-mail Billing Press the 'E-Mail Billing' button from the data entry page or from the Services page To see all billing entered by you or by anyone in your agency, press the 'Show My Billing Only' button

  34. County Billing E-mail Billing • Make your selection from the 'Email Billing To' section of the page • Press 'Me Only' to have the file sent only to you • Press 'Me and the County' to have the file sent both to you and to the county directly • If there are any unauthorized services that have been entered, they must be deleted before the file can be sent • To do this, press the 'Delete Billing Records' button when it appears at the bottom of the web page.

  36. County Billing Re-submit Billing Select the Dates of Service, the Consumer, and the Services you want to re-submit

  37. County Billing Re-submit Billing Check the checkbox in the 'Set to Resend' column for the records you want to re-send If you want to resend all of the records, click the “Check All” button in the upper right-hand corner of the table

  38. County Billing Re-submit Billing If you need to correct any of the records, be sure you change the units of service by date of service and service code to be the correct total of units provided

  39. County Billing Re-Submit Billing • Press the 'Email Billing' button to re-submit your billing file • Make your selection from the 'Email Billing To' section • Press 'Me Only' to have the file sent only to you • Press 'Me and the County' to have the file sent both to you and to the county directly

  40. Payment Review Allows providers to view detailed County Funded (Supported Living) payment information This information includes paid as well as unpaid claims. Any claim that is unpaid will include the reason the claim was denied.

  41. Payment Review Press the 'Payment Review' button on the Services page

  42. Payment Review Select the Payment Authorization billing records that you wish to view Press the 'Show Payments' button or download a formatted payment file by pressing the 'Download Payment' button

  43. Payment Review If you select the 'Show Payments' button, you will see a line by line status report for each line of billing paid per individual

  44. Payment Review To find an individual, select from the alphabetic listing at the top of the web page To return to the top of the page, select the upward pointed arrow to the right of the individual's name

  45. Payment Review To download a PDF version of the report, select the 'Show PDF Report' button

  46. Billing File Verification Designed for providers who use their own software to create billing files, but want to "validate" them before they send them to the County Board or ODDD Checks for valid names, Medicaid number, and utilization information

  47. Billing File Verification Press the 'Billing File Verification' button on the Services page

  48. Billing File Verification Use the 'Browse' button to select the billing file that you want to have verified Press the 'Upload File' button

  49. Billing File Verification • The next window displays the verification status of each billing record • To verify another billing file, press the 'Upload Next Billing File' button
