  1. Q 3 COACH WORKSHOP TALKING POINTS Implementation Schedule -November 2003- March 2004: PC and equipment installation throughout Riverside County. Amanda Wilbur shared information regarding the Infrastructure Rollout and the C-IV Help Desk procedures to be used upon C-IV implementation. January 2003: Change Discussion Guides will be presented at Leadership Series IIIMarch 2004-May 2004: Training for R1May 24, 2004: Release 1 is implementedMay 2004-July 2004: Training for R2 July 6, 2004: Releases 2 and 3 are implemented Release 2 External Training TestingDuring the month of August county staff visited the project site in Sacramento to test the C-IV training materials and validate the flow of information in web based and instructor led training. Participant feedback will be incorporated into materials in time for Release 2 Pilot training in Stanislaus.Model Office for Release 2-Release 2 Model OfficeConducted in San Bernardino from August 25-November 20, Release 2 Model Office gives staff from Eligibility, Employment Services/Child Care, Fiscal, Foster Care, and Specialized Units the opportunity to complete C-IV System training and scenarios specific to their business area.Release 2Pilot-From December 8-January 30th a pilot of the C-IV system will be conducted in Stanislaus County, and will test all areas of C-IV functioning prior to implementing the system in all the counties. The processes, training and system performance will be evaluated against specific exit criteria (i.e., training effectiveness, performance, change management effectiveness and software functionality).C-IV System Demo – This PowerPoint presentation featured screen shots from Eligibility, Employment Services and Child Care. Each presentation was tailored to the audience in attendance. The Eligibility topics included Run EDBC, reviewing the EDBC Line Item Detail page, generating NOAs and completing the data collection pages of C-IV. Employment Services topics included scheduling activities, completing the Action Plan using information collected during Appraisal and generating NOAs. Child Care topics included the establishment of a case, creating the Child Care Certificate, selecting a service provider from the Resource Databank and generating a Child Care Certificate.Training UpdatesTraining dates for each release were reviewed:

Preparing for your C-IV Journey: a one-hour workshop designed to help staff be successful in completing Web Based Training and Instructor Led Training and using the Learning Management System. Train the Coach: a 3.5 hour long course designed to explain the importance of coaches on the success of C-IV and share coaching techniques. Release 1 March 26, 2004- May 20, 2004 Available for managers, supervisors and RDB maintainers only Release 2 May 10, 2004-July 2, 2004 Majority of staff will be trained for their business area. Learning Management System (LMS)- Prior to Releases 1, 2 and 3 staff and their supervisors will receive and email from the LMS with their training schedule. It will contain their username and password. The coach’s role is to explain to their teams that they will receive emails from “C-IV.Training” informing them of their training and they are not to respond to them. Scheduling conflicts are to be reported to supervisors who will contact the C-IV training coordinator. Staff will have the same username for the LMS and the C-IV system. C-IV Interim Application (CIA) The County Interim Application was developed to reduce the amount of manual conversion data entry after implementation, which will facilitate the ability to run EDBC earlier than without CIA. CIA was developed by DPSS-IT, Staff Development and the C-IV Conversion Support team. It affects CalWORKs, Food Stamps and Medi-Cal only. Since C-IV is a “rules driven” system, it will require more detailed information than we currently collect. Some of these details are relationships of people within a case, comprehensive information on income, expenses, property and resources. Once the system knows these details, it will use them “behind the scenes” to determine eligibility and compute the benefit amount. Staff will begin collecting the additional data for relationships, income, property, etc. after training. Training for coaches will be 9/22 and 9/23. Change Discussion Guides (CDGs) CDG’s have been developed by the Change Management Team and Riverside county staff. They were distributed to Policy during August and used at Model Office. They will be distributed Managers and Supervisors at Leadership Series III in January 2004.
