Event Issues • Guidance to departments about cancelling clinics • Sleeping arrangements for faculty and staff who stay the night • Better coordination with: • BJWC – Medical Office Buildings entry and ancillary availability • BJH • Ancillaries - communication and availability • Clinics – coordination regarding closures • WUSM Clinics – sending home BJH employees • SLCH – communication and availability • TOP DOCS, BJH Concierge, and BJH Guest Relations – Wanted information about clinic closures and where patients should call if offices were closed.

Feedback from CAC • Staff confusion • E-mail that Danforth campus was closing • WUSM e-mail saying it was up employee about whether or not to come to work • Clinic closures • Decision to send staff home should be coordinated with clinic (had some clinics who still had patients when staff were told they could go home) • Earlier guidance about whether or not clinics will be closing so staff are available to call patients • Shouldn’t leave decision up to individual physicians • Safety of staff and patients needs to be considered. Had staff risking safety and then had patients no-show or cancel at the last minute

Next Steps • BJH • John Ursch and Kelley Mullen met with Jerry Glotzer and other representative from BJH on Monday, Feb 14 • Use of WUSM staff at BJH, if needed • Coordination with Incident Command Center and providing sleeping arrangements for faculty and staff • BJWC • Communication and availability of Ancillary support, i.e., Lab, CT, MRI, and Radiation Oncology • Communication process for clinic closures • SLCH • Communication and availability of Ancillary support • Communication process for clinic closures

  5. Next Steps • WUSM • Focus groups to follow up on Management Council discussion (looking for a combination of 8 people including WUMC, West County and West Campus Business Managers and Managers/Supervisors) • Charge of groups to develop a summary around: • Communication and emergency planning • Decisions regarding opening/closing • How decisions should be made regarding whether employees go home or come to work • Pay and time issues once a decision about employees is made
