School Assessment Coordinator (SAC) reminders The Test Environment: • Choice of testing rooms • Rooms must have adequate lighting, heat and a quiet atmosphere. • Ideally, a testing room should be a typical size classroom. • Larger rooms may be used, but must have adequate security • An adequate writing surface should be provided that accommodate the test booklet. • Enough space should be allowed between students to prevent the sharing of answers. • Freedom from distractions • Only people involved in taking or administering the test should be in the room. • Appropriate actions should be taken to reduce noise, such as turning off alarms or bells. • Any type of music must not be played during the test. • Place a DO NOT DISTURB sign on the door of the testing room. • Place a NO CELL PHONES sign on the door of the testing room. • Students are NOT to be tested in hallways or public areas. No food or drink is permitted on desks or near the test materials.

  5. More SAC reminders… Security Only students, proctors/examiners, and authorized school or district personnel may be in classrooms and testing areas when the assessments are given. This includes pre-test administration organization, during the distribution of the tests, when instructions are given, while students are taking the assessment, or post administration activities (such as booklet collection). However, under no circumstances is anyone allowed to take any pictures or video of the testing materials. This can result in a misadministration of the test. The media are not allowed to have access to the tests, or take pictures or video of the testing materials (including the front or back covers of test booklets and packaged boxes of testing materials for shipping), during any part of the assessment process. Not only is media presence in the school disruptive, it creates anon-standard assessment environment and can lead to misadministration's. Relatives of students may NOT be present in the testing environment during these assessments.

  6. Who do we need to test? • ALL students currently enrolled under YOUR school number. • This includes but is not limited to: • Students who attend The Opportunity Center (TOC) • Students who attend Valley Schools (East and West) • Students who are visiting the Division of Youth Services (DYS) • Students under suspension • Students going through the expulsion process • Students who are absent on test days • Students who may be sent to the Alternative Treatment Unit (ATU) There are no get out of jail free cards (or passes from testing) during CSAP, however Sean and Chrisy are willing to discuss resolutions regarding any of these scenarios.

  7. Are there students who aren’t tested? Well thank you for asking! • The following students fall into the “not tested” category. • Students who do not need to be tested: • Home Schoolers-not enrolled at Vision - (unless arrangements have been made) • Students who are receiving HOMEBOUND services (aka “Section 8” kids) • Online students (Nova net and Novell Star students not included) • Students in residential treatment facilities (RYS) • Incarcerated students (those on the “other” side of DYS) Any student who presents the “To test or not to test” question must be discussed on an individual basis with either Sean or Chrisy BEFORE the test window closes. A test booklet must be turned in for “Section 8” kids, in all content areas.

  8. Who are booklets turned in for? • Regular/no problem assessments • Accommodated students • Absent students (even those who are chronically absent) • Test Invalidated kids • Home Schoolers (who are allowed to test in your school - please separate these booklets from regular test booklets) • Parent Refusals (need a new letter EVERY year) • Section 8 kids (must have discussed these students with Sean or Chrisy)

  9. Who is responsible for testing kids who don’t attend my school? NO, you are! You are! Students who attend TOC, Valley School (West and East), DYS, or any other “program” are still enrolled at YOUR school and are required to test. We have worked out a partnership with these Programs and they will make every reasonable effort to test those students who are currently enrolled. FYI: Arrangements have been made with these Programs that new enrollment will cease (or slow down immensely) during the three week CSAP test window. Around the end of February Chrisy will request a current list of “Program” students, and the school they attend, from both TOC and Valley. You, in turn,will be emailed with a list of your students, which you need to verify ;you will then be responsible for bringing these booklets to Chrisy, at the Emerson building, by the 8th of March. Once testing is complete, TOC and Valley will bring booklets back to Chrisy and then those booklets will be delivered back to your school by the assessment team during processing.

More SAC reminders… Posted Materials Anything posted in a classroom, or other area used for CSAP, CSAPA, or CELApro administration, that provides information which could direct students to the correct answer for any test question, must be covered or removed. All reference materials that a reasonable person might conclude offers students in that classroom or space an unfair advantage over other students in Colorado. All support materials that may be perceived as influencing student responses. CSAP test proctors and CSAPA and CELApro test examiners should discuss the appropriateness of any specific displays with their School Assessment Coordinator (SAC) The following pages will show examples of posted items and how they are handled

On Test day… • Proctors may write on the board/white board/chart paper at the time of testing: • start and stop times, • session number, • page numbers, and • range of item numbers. • You may remind students of the time limits they have when taking a standardized assessment, while remembering to limit the number of distractions occurring while testing. It is recommended that if a teacher provides a “10-minute warning” to students, he/she also may remind students to answer every question at the same time.

What do we remove before handing booklets in? • Before processing your booklets for shipping, • please make sure you have removed: • Draft booklets • Math manipulatives(which you may keep… no really… you can keep them… no joking, you really get to keep them this year!) • Post-it notes • STOP signs • Paperclips, staples, and tape, (which are all forbidden objects and should not be anywhere near the booklets anyway.) • If by chance you choose to live on the edge and utilize the forbidden items, please remove them before we (the Assessment Department) arrive.

  18. STOP pages have not been incorporated into the Lectura and Escritura. A Spanish stop page can be inserted between sessions. This insert is only allowable for Lectura and Escritura. This STOP page may be posted as a reminder for students to actually STOP when this page is approached. No “California” stops allowed in CSAP

  24. How we can help… The Assessment Department GRACIOUSLY helps out by offering *35 hours (no more than 35) of clerical support during CSAP. This is over and above regularly scheduled hours, which will be paid at a rate of $11.50 per hour. Your designated Clerical will have a “special” time card to submit at the end of February, March and April. You (or your principal) will sign off on this time card each month, then send a COPY to Chrisy at the Assessment Office. Below is a breakdown of how the hours are calculated: 35 hours @ $11.50 = $402.50 budgeted amount 23.33 OT hours @ $17.25 = $402.44 budgeted amount If your clerical is scheduled to work 40 hours per week and they stay late 2 nights per week for a total of 4 hours, they will put 4 hours on the OT portion of their SPECIAL CSAP TIME CARD and will be paid at a rate of $17.25. If your clerical is scheduled to work 30 hours per week and they stay late 2 nights per week for a total of 4 hours, they will put 4 hours on those “late” days of their SPECIAL CSAP TIME CARD and will be paid at a rate of $11.50.

Overview… • Rules haven’t changed, and security of these assessments is still high • Every attempt must be made to test every student. • Keep your sacred green boxes… DO NOT DESTROY! • The Assessment Team is available to assist with most anything (other than babysitting) • All paperwork must be completed accurately BEFORE Assessment arrival • You will bundle your own booklets again (3rd grade Reading excluded) according to set guidelines. • You will receive notification (via email) when scripts are available, and a reminder of when to schedule pickups. • You will still call the Assessment Department, 254-5324, should you ponder or need to discuss any part of this process! 
