  2. Microsoft Access • Popular database program that helps you store, retrieve, report, and summarize large amounts of related data • Powerful application that allows manipulation of data in many ways

  3. Physical v. Digital • Two types of databases • Both are collections of related information

  4. Physical Database • Physical Database: manual collection of related information • Examples include: filing cabinet, telephone book, rolodex, TV Guide, library card catalog, recipe box, etc. • Can be time-consuming, can take up lots of space • Difficult to locate data in large databases

  5. Computerized Database • Digital Database: computerized collection of related information • Examples include: 411 System, Yahoo Music Launchcast, Yahoo Mail, Icue, USPS.com, etc. • Automated, quicker, space-saver • More organization, can sort files

  6. Main Database Objects • Tables • Queries • Forms • Reports • Easy way to remember: • The quick fox runs.

  7. NOT Tables • All data is stored in one or more tables • Horizontal rows are called records • Vertical columns are called fields • Data is stored in data cells • Data Entry • Enter data in Datasheet View • Enter data using forms

  8. Queries • Question asked about database information • Finds only the requested data • Like a salesperson in a store • “Where are the blue pants with green stars and yellow frogs?” • The salesperson would only show you this type of pants.

  9. Forms • Connected to tables • Automatically stores data in correct field • Looks like fill-in-the-blank forms • Similar to paper forms • i.e. job applications, email accounts, student information forms, etc. • Displays all fields on-screen at the same time

  10. Reports • Processes and organizes data in a functional printable document • Common reports include: customer lists, address labels, accounts payable reports, receipts, sales reports, etc.
