Last Fiscal Year Budget reductions- continued quality services-appreciate vendors assisting clients in identifying funding sources when Federal money not available Prompt referrals Officer recommendations/communication-great communication between staff and officers New staff training- new staff ready for services quickly

  5. Budget Update • FY2013=No substantial cuts, FY2014=uncertain • Aftercare Case Summary modified-includes risk level, dynamic risk factors and thinking styles • PC2010 • Testing only= NO authorization • Group and IOP counseling= 1 unit for assessment • Individual counseling=use first session for assessment

  6. Monitoring • Common findings: • Don’t tell clients number of tests • Maintain MTRs in file • Change code-a-phone every day (no more than 12 hours notice) • DTL completion by client, not staff (vendor is witness to client information) • Co-payment documentation on DTL and MTR (paid or owed) • Non-compliance reported to assigned officer within 24 hours

Monitoring (con’t) • COC completion, (confirmation only, not primary panel) and Pretrial forms used for defendants and Probation forms for offenders (do not mix up) • Monthly contact with officers and document • Review Program Plan prior to services • Sign and send packing slips upon receipt (Pretrial to Adriana and Probation to Carla) • Notify of staff changes immediately- use Attachment C form available on intranet, filled out completely • Next year • Electronic files OK, no need to print

  8. Release of Information (11b, 6b) Court repercussions- without signed release communication is unauthorized Unlimited access between officer and provider Own release not necessary for Probation/Pretrial Form available on internet and RFP Have defendant/offender sign and date Witness signature

  9. Counseling Requirements Initial meeting with defendant/offender and officer- required for counseling services, officer can call in PC 2022 (group counseling) must use SAMHSA approved manualized curriculum PC 2080 must include manualizedcurriculum (1 hour per week) and 1 hour per month of individual counseling Session is full 60 or 90 minutes- no billing for paperwork completion Discharge summary due within 15 days of termination-(counseling, not testing only cases)

  10. Monthly Requirements (10th) Supply inventory to Carla (Probation) and Adriana (Pretrial) Sweat patch logs to Jennifer MTRs to officers Invoices with supporting documentation to CSM (has improved)

  11. Testing Protocol Bottles have security tape again COC form changes= if collected in alternate cup, and transferred to bottle for lab shipping, must sign “transfer” line on COC No more than 1 unobserved test per month

  13. Sweat Patch Probation is unable to order any more patches If not using them please notify Carla and return all inventory Those few vendors who are using patches, will work to redistribute and get more COC forms

  14. Transportation Tokens only unless pass is cheaper Only give enough tokens for to and from each visit Unable to allow passes for anything but treatment If officer is insisting on a pass, please notify Jennifer Smith

  15. Synthetic Drug Use Not currently testing as tests not keeping up with modifications to substances Be aware of defendant/offender behavior and report to officers In counseling sessions inquire about use If able, please add prohibition to synthetic substances in your intake paperwork If found in residential setting, please notify Jennifer Smith

  16. Miscellaneous Please cc Supervisors with non-compliance emails List provided and on intranet Training with CEUs offered is upcoming, notice to follow
