Audio Conferencing • Use any time without the need for reservations • Include up to 96 participants per conference • Phone Number is always the same • Unique, consistent access code and passcode for both audio and web • International toll-free calling • Chairperson needs to enter an Account Key

Telephone Commands Managing Your Conference • * 1 - Dial out to connect a new participant to your conference call • * 2 – Record your conference for someone who cannot attend • * 8 – Allow a conference call to continue without you Security • Set one time security code • * 4 – Lock your conference/*5 Unlock your conference • * # - to obtain a count of the number of call participants • * 9 – to Obtain a Roll Call of Participants Other features • # # - Chairperson mutes all conference lines • 9 9 - Chairperson Unmutes all conference lines • * 6 – Participant mutes their individual line • * 7 – Participant unmutes their individual line • * 0 – Ask for a private conversation with a conference operator Use Web Moderator to view conference participants

  5. Participating in a Conference • Go to www.readytalk.com • First Time UsersYou may need to load the Java plug-in, if not already installed. This is a one-time download Click on the browser check located under the participant login box.

  6. Java Browser Test Results System already has correct version of Java installed Click link to install the correct version of Java.

  7. Joining a Conference • Go to www.readytalk.com • Participants login with the unique access code you provide them • Chairperson logs in with their unique access code and must enter a passcode

  11. Create Meeting Invitations Fill out all the necessary info for participants and click “Next”

  12. Review Your Invitation Choose to send your invitation, or edit it after previewing it

  13. 1. Enter the email addresses of the participants you wish to invite OR 2. Upload a CSV file containing the email addresses of the participants you wish to invite OR 3. Use the preview screen to copy and paste into an email client Send Your Invitation

Participant List • Icons display each users connectivity • Telephone = audio participant • Computer = web participant • Hourglass = in lobby or dialing • Participant arrow dropdown list allows for chairperson to perform various actions: • Disconnect • Chat • Assign as Co-Presenter • Grant Control

Conference Management Chairperson Audio Functions: • Mute All: Mute all participants to block out background noise • Unmute All: Unmute participants • Operator: Dials out to an operator for assistance • Record: Records the web and audio portions of your conference • Listen Only: Places all participants in listen only mode • Continuation: Allows the conference to continue if the chairperson drops out • Lock Audio: Prevents additional participants from joining conference    

  22. Chat: enables the chat window Application Showing Slider: allows you to optimize for better performance Entry Announcement: sets the announcement heard when participants join Quick Start: allows conference to start before chairperson has joined Options

  23. Chat • Allows you to communicate and ask questions through the web interface • The chairperson can chat to co-presenters, a single participant, or the entire conference

  24. Show Desktop Mode • Share your entire desktop with participants • Chat is disabled by default • Participants’ displays are maximized • To stop this mode, select another Presentation Mode from the dropdown box, or end your conference

  25. Show any application that is open (word documents, spreadsheets, websites, software) Find application from in the selection box Show Applications Mode

  26. Grant Control • Grant Control of your desktop or applications to another participant • Grant Control from Select Action Dropdown or the Participant Action Arrow.

  27. Appoint a Co-Presenter • A chairperson can appoint a co-presenter to share responsibility • Multiple co-presenters can be appointed by the chairperson

  28. Showing Button • When showing applications, you will notice a “Showing” button on the window. • The “Showing” button allows you to manage your conference from multiple windows.

  29. Click the Record checkbox Audio Conference must be started The Recorder will appear in your participant list and you will hear “this conference is being recorded” Click the Reports button to access and manage your recordings Recording a Conference

  30. Play: This will play the recording using a Flash player Download: Allows you to download the audio portion or both the audio and visual Email: Allows you to e-mail the recording link to a participant Rename: Changes the name of the recording Manage Recordings

  31. Recording Player • The video portion is synchronized with the audio. • This allows you to fast forward or rewind while keeping the slides in sync with the audio. • Slides, desktop, and application sharing modes are all captured
