Varsity – Silvio Plata from Miami-Dade, Janet Acheson is his TVI! Florida has three of the top 50 Braille Readers in the United States and Canada!!!

  9. 2018 FIMC-VI “Timely Delivery” for Books Shipped by August 31, 2018 • Books ordered in April 2018 – 98.7% • Books ordered in May 2018 – 98.7% • Books ordered in June 2018 –94.4% • Books ordered in July 2018 – 82.8% • Books ordered in August 2018 – 61.2% New braille transcriptions are shipped in volumes as they are completed. These numbers represent the complete books that have been shipped and does not include partial shipments.

  10. Tips for ordering braille books and materials • Submit orders for the titles you have. DO NOT WAIT UNTIL YOU HAVE ALL THE BOOKS FOR ONE STUDENT. Order as soon as you know a title! • Double check the ISBN – that is the most valuable piece of information. • Our system is first order in, first order out. Get your orders in early!

Ordering Digital Text -- NEW Procedures!!! • Your students should be members of Bookshare and Learning Ally! • If a book is not available in Bookshare, you can now request the book directly from Bookshare. • You no longer have to go through FIMC-VI to request the conversion. • Learning Ally is available to all Florida schools free of charge through their grant with the Florida Department of Education. Have someone at your school set-up an institutional membership. • Bookshare can be through organizational or individual memberships.

Ordering Digital Formats • You can download the format you want from Bookshare: • BRF – braille ready file • DAISY Text - pictures are all described and it is tagged for navigation • MS Word • EPub – Robust electronic publishing format based on DAISY standards • Learning Ally formats: • Human Narrated • Digital with Learning Ally Link App

  13. Digital Formats When downloading from bookshare, the file automatically formats for the type of device.

Tips for ordering and handling braille or large print books and materials • Have the books shipped to a location where there will be people working all summer. • Work with the custodians to designate a room or closet (ok…a shelf) for storage for braille books and special materials. Clearly mark the area. • Save the boxes to return the books back in the same boxes.

  15. Ink Print Requests • If FIMC-VI has asked you to send an “ink print” or a copy of the book to use as a master for a braille transcription or large print production, DO NOT pack this with other text books being returned. Clearly mark the box – INK PRINT INCLUDED!

Ink Print Requests • Put this (or these) textbook(s) in a separate box or envelope. • Clearly mark the box or envelope as containing INK PRINT(S). • You should ship this package first class to ensure its timely delivery. We cannot track shipments that are marked Free Matter for the Blind. • If you do include it with other books, clearly mark it as an ink print.

  19. After the boxes are opened, the books are sorted in the receiving department. Once the entire book is received, they are bound for shipment to the next student or sent to Center stock.

  20. Books being returned to the center • Between now and August 31, Denise Battle (Manager 1 for Production and Distribution) will receive approximately 3,000 books into the center • As many as 23,000 volumes – an average of 6,000 volumes a MONTH • Each volume is scanned and either shipped out again or shelved • FIMC-VI receives as many as 15 mail crates a day • This is all done with Ms. Battle, Richard (temp worker) and other staff members helping.

Delivering Books to the Center • For the local teachers that often hand-deliver books to the Center, please note … • There is a cart set-up outside of Room 27 as a drop-off location • All books must be boxed or bound in sets • Books must be delivered between 7:30 a.m. and 3:30 p.m. • You are responsible for unloading the books from the vehicle (if volunteers are available, they can help) • Hillsborough teachers can use school mail to return books

  23. Returning braille books • If a braille volume is damaged, please recycle that volume at your location. If a volume is missing, return the other volumes with a note about the missing volume. • Send Kathee Cagle an email with the access number, title, and volume that is being destroyed or missing. • Try to keep the volumes of one book together in the box. If packing more than one book in a box, please put a piece of paper separating the two books. • If you need more than one box for a book – and you will for many braille books – put a piece of paper in the box saying which volumes are present.

  26. Returning large print books • If a large print volume is written in or damaged, please recycle it at your location. Return the other large print books. • Send Kathee Cagle an email with the access number, title, and volume that is being destroyed or that is missing • Try to keep volumes of one book together in the same box. If packing more than one book in a box, please put a piece of paper separating the two books. • If you separate the volumes from one book into more than one box, put a piece of paper in the box saying which volumes are present.

  27. Returning workbooks • If you order workbooks we are assuming your students will write in it. You do not need to return that book. Please notify Kathee Cagle that the book has been consumed so we can remove it from our database. Please include the access number and title (from the bar code label on the book).   28. Returning APH tangible items (kits, toys, teaching materials, etc.) Criteria for returning: If you would be unhappy to receive these items for your use … don’t send them back to us, dispose of them properly.

Returning tangible items • Only return APH kits and teaching supplies when the kit has all its materials and it is ready for another teacher to use. • Expensive technology devices such as Matt Connects, Smart Braillers, Refreshabraille 18s, etc. will be returned via Fed Ex. Never send them Free Matter for the Blind

Broken Braille Writers • On the FIMC-VI website there is a form for broken braille writers: Home Page/ Ordering / Brailler Repair Form. • Complete that form and follow the directions for submission. All broken braille writers will be sent to APH for repair. • You will receive an email with the submitted form, put that email in the box and ship it to APH via Free Matter for the Blind. • A replacement brailler can be sent to you, but it will be a different brailler. • Functioning braille writers that you no longer need, should be returned to FIMC-VI.

  31. APH Tangible Items • Please check with other teachers in your district to see if they can use the materials. • If the kits or materials are incomplete, dirty, or used extensively, please dispose of them properly. • REMEMBER – IF THE CONDITION IS SUCH THAT YOU WON’T USE IT – NOBODY ELSE WANTS IT EITHER!

  32. APH Orders are Now Online! • FIMC-VI home page / Ordering / APH Orders • We are no longer accepting paper orders.

  33. APH Quota Funds and Ordering Quota funds are limited. However, we can order materials for next school year. Please use the quota funds judiciously. When you submit orders, please list the items in rank order. The items you need the most at the top of the list! Technology items are available for check-out from the Loan Library. You can use the items with your student, collect data as to the usefulness of the piece of technology, and then ask your district to order it directly from APH. BookPorts, Visiobooks and Refreshabraille 18s have been dropped from APH Catalog. Always use the online catalog for the most current status of materials!

  34. Parent Consent Letter for APH • If parents did not return the letter allowing district to share student identifiable information with FIMC-VI and APH, please try to get the letter signed during upcoming IEP meetings. • If the consent is not given by January 2020, that student will be dropped from FIMC-VI registration. The district will be responsible for all braille and large print books, and APH teaching materials. • All new students must have the letter signed! To obtain the letter in English or Spanish, contact Kay Ratzlaff - kratzlaff@fimcvi.org.

  35. Consent Letters and DOE • Consent letters are to be kept on file by the district • Florida Department of Education will be checking files of students identified as visually impaired to confirm that the letters are present and that the assessments align with the new state board of education rule. • All new students to your district must have a letter. Only need ONE letter as long as the child is in your district.
